How Newsrooms Can Protect Confidential Sources When Using AI Tools

Protect sources by keeping identifying and confidential material out of unapproved AI tools, documenting approved uses, checking service terms, and applying established digital-security practices.

Do not paste a source’s identity, confidential documents, identifying communications, or sensitive unpublished reporting into an AI service unless your newsroom has explicitly approved that exact tool and workflow. A paid plan, privacy setting, or vendor assurance is not enough on its own. Protecting a source requires controls over what staff submit, which services they may use, who can approve exceptions, and how the rest of the reporting workflow is secured.

What information should stay out of unapproved AI tools?

Classify information before choosing a tool. Treat a source’s name and contact details, identifying metadata, confidential documents, unpublished reporting, and sensitive drafts as protected. The Associated Press advises staff not to put confidential or sensitive information into AI tools. The Thomson Reuters Foundation’s 2025 newsroom guide gives examples of rules prohibiting uploads of unpublished drafts, source identities, and confidential documents to external AI platforms.

Removing a name does not necessarily make material anonymous. A document may contain metadata, and details in its contents or surrounding context can identify a source when combined. The Committee to Protect Journalists (CPJ) warns that metadata may help identify a source.

When a task involves protected material, keep it out of external tools unless security, legal, and editorial leads have approved that specific workflow. That approval should be based on the particular service’s current contract and configuration—not a general claim that a vendor or product is private.

Which AI tasks might a newsroom allow?

There is no universal industry-wide list of safe uses. A newsroom can define narrow, lower-risk tasks, but should assess both the material being entered and whether the result can be checked against original sources.

Workflow Policy approach What to check
Summarizing public documents or assisting with non-sensitive copy A newsroom may allow this in a specifically approved tool. Confirm the input is genuinely public or non-sensitive, and review the output before publication.
Transcription or translation of non-sensitive material A newsroom may permit this under its own rules. Check the material’s sensitivity and verify the transcript or translation against the original.
Work involving a confidential source, identifying details, or sensitive unpublished material Keep it out of unapproved AI services; allow an exception only through explicit review of that exact workflow. Assess identifiability, service terms and configuration, access, retention, deletion, data use, and the threat to the source.

The AP’s July 23, 2026 standards update lists early-stage research, document summarization, transcription, translation, headline and summary suggestions, and copy assistance among uses it permits within AP. It also says, “AI does not replace reporting, sourcing, editorial judgment or verification.” Those are AP’s standards, not blanket permission for other newsrooms or approval to upload confidential material.

For any AI-assisted reporting, journalists should check factual claims against original records and sources. The Thomson Reuters Foundation guide warns that AI can introduce factual errors or plagiarism and recommends human review and proper attribution; the AP describes AI output as unvetted source material.

How should a newsroom approve tools and workflows?

Start with an inventory, including informal use and personal accounts. The Thomson Reuters Foundation recommends recording what tools staff use and why, mapping risks and possible solutions, and assigning oversight. Turn that inventory into an approved-tools and approved-uses list, plus a clear route for staff to ask before adopting a new service or workflow.

  1. Record the proposed use. Note the task, users, frequency, information categories involved, and person responsible for oversight.
  2. Classify the input. Decide whether it is public, non-sensitive, confidential, identifying, or otherwise capable of exposing a source.
  3. Review the specific service. Security, legal, and editorial leads should check the current contract, account type, settings, retention and deletion behavior, access controls, and whether submitted data may be used by the service.
  4. Set the permitted scope. Document which staff may use the tool, for which tasks and information, and any review or attribution requirements.
  5. Reassess when conditions change. Recheck the approval if the service, account, settings, contract, task, or sensitivity of the material changes.

The sources cited here do not establish current data-handling terms for any particular AI vendor. Do not infer that a paid tier or privacy toggle makes a workflow appropriate; verify the service’s terms and configuration for the newsroom’s actual account.

AI use is already part of newsroom work: in its 2025 research, the Thomson Reuters Foundation reported that over 55% of journalists surveyed used tools such as Grammarly or ChatGPT to polish writing or translate copy. That figure is a finding from the Foundation’s research, not a universal rate or a measure of whether those uses involved confidential information.

How do AI rules fit into source security?

AI policy is one part of a wider source-protection plan. CPJ recommends assessing the risks to both journalist and source, including who might target them and what capabilities that actor may have. Apply that assessment to communications, devices, documents, accounts, and any proposed AI workflow.

  • Protect reporting and newsroom accounts with two-factor authentication and unique, strong passwords.
  • Keep devices and apps updated, and consider the security of the tools used to communicate or handle documents.
  • Use end-to-end encrypted messaging where possible, while recognizing that deleting a message from an account may not remove a server-side copy.
  • Review documents and communications for metadata and contextual details that could reveal a source.
  • For sensitive document submissions, CPJ points to SecureDrop when a newsroom has it set up. For high-risk situations or uncertainty, seek specialist digital-security advice.

These precautions are not guarantees. Adapt them to local law, the source’s circumstances, and the specific threat; consult a digital-security expert when the risks are unclear.

Who may approve exceptions and access a source’s identity?

Write down who can approve an exception to the AI rule, who may access identifying information, where that information is stored, and how a suspected exposure is escalated. Limit identity access to the people who need it to do their work, and make responsibility for protecting it explicit.

The AP’s anonymous-source guidance offers one example of accountability: it requires manager approval, and the manager is responsible for knowing and protecting the source’s identity. Other newsrooms should define their own approval chain rather than assume AP’s process applies to them. Reuters’ restriction on uploads to non-approved external tools appears in its visual-journalism standards; it should not be read as a rule for every Reuters workflow.

What should a newsroom AI policy say?

A practical policy can spell out these rules in plain language:

  • Protected information includes source identities and contact details, identifying metadata, confidential documents, unpublished reporting, and sensitive drafts.
  • Staff may not enter protected information into an unapproved AI tool. An exception requires documented security, legal, and editorial approval for the exact service, account, settings, and task.
  • Only listed tools and uses are approved. Staff must ask before using a new tool, personal account, or workflow.
  • Tool approval records the allowed information and task, oversight owner, and verified service terms and configuration.
  • AI-assisted work must be reviewed by a journalist and checked against original sources and records before publication.
  • The policy identifies who approves exceptions, who can access source identities, how identities are stored, and how incidents are escalated.

The Associated Press’s published guidance puts the core caution plainly: “We urge staff to not put confidential or sensitive information into AI tools.” The Thomson Reuters Foundation likewise recommends clear newsroom rules against uploading source identities, unpublished drafts, or confidential documents to external platforms.
