Order bags for the people who are actually meant to receive them—not automatically for the venue’s capacity or total footfall. Count each recipient group once, add any separately allocated staff or speaker bags, include a contingency that reflects real uncertainty, and subtract usable stock already assigned to the event.
Planning equation: planned, non-overlapping recipient allocations + justified contingency − usable stock already assigned = order quantity. This is a practical planning method, not a formally validated industry standard.

Start with the distribution promise
Write down who is supposed to get a bag and how they will receive it. Count registration kits, VIPs, staff, sponsors, and booth handouts separately, then check that no one appears in more than one allocation. Give each allocation an owner and a distribution point so bags do not get counted twice or handed out without a plan.
- If every registered attendee gets a bag, use the confirmed attendee or kit count rather than the venue’s maximum capacity.
- If bags are selective giveaways, estimate the number of likely recipients—not everyone expected to attend.
- Count speakers, staff, AV crew, sponsors, volunteers, or late additions only when they need bags and are not already included.
- Subtract reusable stock only if it is usable and specifically assigned to this event.
Estimate by event type
Conference, seminar, or attendee kit
Start with confirmed registrations if a bag is promised to each attendee. Add non-overlapping allocations for speakers, crew, sponsors, or expected late registrations. Decide how bags will be distributed: handing them out at registration makes quantities easier to control than leaving them on a self-service table, where some people may take more than one.

Exhibition booth or trade-show handout
Estimate planned recipients at the booth using a defined interaction, such as a qualified conversation, demo, or badge scan. Consider show duration, staffing, booth location, and whether different visitors receive different giveaway packages. Use past event results if available; otherwise, state the traffic assumption you are relying on. Promotional Product Inc. offers an aisle-capture heuristic, but supplier heuristics vary and do not establish a universal capture rate.
Launch, campus fair, race, or customer event
Count the group that will actually receive a bag: for example, customers expected on the day, students who stop at a stall, race entrants, or registered participants. Add volunteers, marshals, or late participants only if they are intended recipients. Total footfall is not a useful substitute when distribution is selective.

Choose a contingency that fits the risk
A reserve can cover walk-ins, late additions, damaged bags, additional staff needs, or a setup where people may take extras. It also means paying for and storing more bags, some of which may be difficult to reuse after an event.
Supplier recommendations provide reference points, not a universal rule. Bag Printing UK advises about 10% extra for speakers, staff, and late arrivals. Perfect Imprints recommends a 10–15% buffer in its formula, and illustrates it with 300 expected attendees × 1.15 = 345 units. These are supplier recommendations and a worked example, not independent measurements of event demand.

Use a smaller reserve when registrations are firm, distribution is controlled, quantities can be updated near the deadline, or leftovers will be hard to reuse. A larger reserve may be justified when walk-ins are common or running out would leave promised kits incomplete. Decide the contingency explicitly rather than applying a percentage without considering the event.

Choose the product after listing what it needs to carry. Check that its dimensions fit the largest items and that its construction can handle their combined weight. Compare material, anticipated reuse, presentation, and imprint area; then confirm that the decoration method and proof work on the selected bag.

Minimum order quantities, price tiers, customization, and production and delivery schedules depend on the supplier and product. Confirm current terms with the seller and leave time for artwork, proof approval, production, shipping, inspection, and kit assembly. Turn the estimate into an order quantity
- List recipient groups: Record the promised attendee allocation and any distinct staff, speaker, sponsor, or giveaway allocations.
- Remove overlap: Check names or group definitions so a person included in a registration kit is not also counted as a separate attendee allocation.
- Estimate selective handouts: For a booth or stall, use planned interactions or another explicit recipient rule rather than total attendance.
- Set the reserve: Tie it to a named uncertainty such as walk-ins, damage, or uncontrolled self-service.
- Subtract usable assigned stock: Do not subtract inventory that is damaged, unsuitable, or reserved for another purpose.
- Confirm supplier terms: Check quantity breaks, minimums, proofing, and delivery timing; adjust the final order if a price tier changes the economics and the extra stock can be used.
