Returns and refunds are separate processes: software may help prepare records and applications, but the GST Portal and tax authorities govern filing and refund processing.
Start with the work your business needs to do
List the registrations, return obligations and accounting sources the software must support. GSTR-1 reports outward supplies. GST Portal guidance says applicable normal and casual registered taxpayers must file it, including a nil return when there is no business activity in the period; listed exclusions apply. The same guidance describes filing through online portal entry, the Returns Offline Tool, or third-party ASP applications through GSPs. GST Portal guidance on returns explains the routes and scope.
Filing frequency is not simply a software preference. The portal says eligible taxpayers may opt for quarterly GSTR-1 and describes quarterly GSTR-3B for taxpayers using that option. Its guidance identifies preceding-financial-year turnover up to ₹5 crore, or a new registrant expecting turnover up to ₹5 crore, as eligibility conditions. Check current rules and the selection recorded for your registration and tax period on the portal; a vendor’s feature list cannot establish your eligibility.
Compare features that affect the filing workflow

Zoho Books’ help documentation, for example, describes GSTR-1 and GSTR-3B filing workflows and identifies enabling API access on the GST Portal as a prerequisite. That makes authorization and review steps worth checking in any product, not just this one. Zoho Books filing guidance is the provider’s documented workflow.

Treat refund support as a separate capability
A refund claim is not just another return filing. Under the CBIC rules, the general route is an electronic Form GST RFD-01 application through the Common Portal, directly or through a notified facilitation centre, subject to specified exceptions, including certain claims for balances in the electronic cash ledger. Software can assist with records or workflow, but it does not decide eligibility or grant the refund. See the CBIC refund rules.
Before relying on a vendor’s refund feature, ask precisely what it does:

- Support for new 1099-NEC form
- Organizes supporting records or calculations?
- Prepares an RFD-01 application for review?
- Supports submission through the official process?
- Shows application-stage updates, bank validation, disbursement status, or only some of these?
The official process includes government-side steps. The GST Portal says tax officers process RFD-01 applications electronically and communications take place electronically. PFMS validates the bank account after filing; if validation fails, updated bank details may need to be provided through a registration amendment and the portal’s update-bank-account function. GST Portal advisory on refund processing describes these steps.
Tracking is also split: the GST Portal tracks the application and tax-officer stage, while PFMS provides bank validation and disbursement status. A document-preparation feature or status screen is not evidence of approval or payment. GST Portal refund-tracking advisory explains the distinction.

Use provider descriptions as a shortlist, not a verdict
The following examples document capabilities providers describe on their own pages. Their materials are not independent product tests or a like-for-like comparison; confirm current availability, plan inclusion and exact workflow with each provider.

Run a practical pre-purchase check
- Map your filing needs. Note each GSTIN, taxpayer type, forms, periods and accounting source; confirm current filing frequency and eligibility on the GST Portal.
- Ask for a workflow demonstration. Use a representative period and your actual data format. Watch how imports, reconciliation exceptions, review and corrections work.
- Trace the filing action. Confirm what portal access or API setup is needed, who authorizes submission, and whether the software submits or prepares information for a separate portal step.
- Test refund claims separately. Ask which records, forms, application actions and status views are supported. Do not assume a filing feature includes RFD-01 preparation or refund tracking.
- Get plan terms in writing. Verify the price and taxes, limits by GSTIN or user, support channels, data export and retention, and access after cancellation for the specific plan and edition.
