- Faculty, lecturer, or academic appointments.
- Postdoctoral positions and research roles.
- Fellowships, grants, and academic promotions.
- Some medical, scientific, and research positions.
- Opportunities centered on publications, conferences, or scholarly work.
A U.S.-style academic CV may include education, research, teaching, publications, presentations, grants, fellowships, honors, awards, professional service, memberships, advising, mentoring, certifications, and references. Check the country, employer, institution, job posting, and application system. Depending on the location and role, an application may address photo expectations, languages, work authorization, visa status, citizenship, address, or other personal details differently.
Do not add date of birth, nationality, citizenship, visa information, or a photograph simply because a template includes a placeholder. Include such information only when it is requested or appropriate for the country and application. Europass is an official European Commission service and can be a sensible choice when an employer or institution specifically expects Europass—not a universal requirement for every job in Europe.

How to choose a genuinely useful Word template

- Actual editability: The download should be a real
.docxor.dotxfile, not a PDF preview, image, or locked screenshot. - Transparent cost: Confirm that downloading the editable file does not require a card, paid trial, or payment at export.
- No unwanted branding: Look for watermarks or “created with” footers before using the file.
- Correct document type: A one-page business resume and a multi-page academic CV solve different problems.
- Readable structure: A recruiter should quickly locate your name, experience, education, and skills.
- Low formatting risk: Unnecessary graphics, icons, text boxes, and unusual reading orders can create compatibility or parsing problems.

- Page size: Confirm whether it uses U.S. Letter, A4, or both.

ATS-conscious formatting: what helps and what is not guaranteed
An applicant-tracking system may extract education, skills, and work history before a recruiter reviews the application. There is no single universal parser, so “ATS-friendly” is not a guarantee. It is better understood as a reduction of avoidable formatting risk.
Lower-risk choices
- Use conventional headings such as Summary, Experience, Education, Skills, Research, Teaching, and Publications.
- Keep important information in the document body.
- Use normal text instead of images of text.

- Open your finished
.docx. - Select all the text and copy it.
- Paste it into Notepad or another plain-text editor.
- Check that your name and contact details appear first.
- Confirm that headings, job titles, dates, and bullets remain in a logical order.
- Check that skills have not been separated from their labels and that sidebar content has not been inserted in the wrong place.
This is only a rough inspection; it does not reproduce a particular employer’s ATS. If the pasted text is confusing, move to a simpler template.
Photos and personal details: follow the country and application
For most U.S. employment applications, leave out a photograph unless the employer or role specifically requires one. The U.S. Equal Employment Opportunity Commission says employers generally should not ask applicants for photographs, although a photo may be obtained after an offer for identification purposes.
Photo conventions differ internationally. A headshot may be appropriate in some countries, industries, or roles, while it is inappropriate in others. The UK National Careers Service’s standard CV sections do not list a photo as a normal requirement. Follow the job posting and local practice rather than copying a template’s photo box.
The same caution applies to date of birth, place of birth, nationality, citizenship, home address, and visa or work-authorization information. Add them only when requested or appropriate for the specific application.
A4 or U.S. Letter?
- Use U.S. Letter for most U.S. applications unless the employer specifies another size.
- Use A4 for many UK, European, and international applications.
- Check the template’s page size before editing. Changing it later can create new page breaks, overflow, and spacing problems.
Word provides page-layout and margin controls, but the correct paper size depends on the destination. Microsoft’s page-layout guidance explains where to adjust margins and layout settings.
How long should a CV be?
There is no universal page limit:
- A standard employment resume should be concise and targeted to the role.

- An academic CV can run to several pages because publications, teaching, grants, presentations, research, and service are part of the evidence.
- Berkeley notes that an academic CV grows longer as accomplishments accumulate, while Indeed also recognizes that academic CVs may extend beyond the length of a typical employment resume.
Do not shrink the font or remove relevant evidence merely to force an academic CV onto one page. Conversely, do not turn a targeted business application into a full academic record.

How to save and submit your finished CV
- Preserve the original: Keep an untouched copy of the downloaded template.
- Save an editable master: Use a filename such as
FirstName-LastName-CV.docxorFirstName-LastName-Resume.docx. - Remove template content: Search for names, sample employers, fake dates, instructions, comments, hidden text, photo prompts, and phrases such as “references available upon request” if you do not want them.
- Export a separate PDF: If permitted, save
FirstName-LastName-CV.pdfrather than converting and discarding your Word master. - Inspect the PDF: Open it and check every page, including page breaks, headings, bullets, links, dates, and the final line.
- Follow the application’s instruction: Submit
.docx, PDF, plain text, or another format as requested. Do not send a PDF automatically if the portal explicitly asks for Word.
Microsoft says that exporting a Word document to PDF is intended to preserve formatting. It is still important to inspect the exported file, especially when the template uses tables, text boxes, unusual fonts, or page-size settings.

Common Word template problems and fixes
The template opens as a preview instead of an editable file
The link may have opened Microsoft’s online preview or a PDF. Look for Download, Edit in Word, or Open in Word. Confirm that the downloaded filename ends in .docx or .dotx. A file ending in .pdf is not an editable Word template.
Word says the document is read-only
The file may be in Reading view, opened from a browser or email preview, protected, or subject to permissions. Try Edit Document > Edit in Word for the web, save a local copy, or use File > Save As to create a new .docx. Do not try to remove protection from an untrusted file. Microsoft notes that some protected documents open only in read-only mode in Word for the web.
Text spills onto another page
- Remove unused placeholder text.
- Shorten repetitive bullets.
- Reduce excessive paragraph spacing.
- Check whether the document is set to A4 or Letter incorrectly.
- Adjust table-row controls if the template uses tables.
- Allow a second page when the content genuinely requires it.
- Do not reduce the font to an uncomfortable size just to force one page.
The layout changes in Google Docs or LibreOffice
Different programs may interpret fonts, tables, tabs, text boxes, and page breaks differently. Edit the original in Word when possible, use common fonts, review every page after conversion, and export the final version to PDF when the recipient accepts it. Keep the Word version as your master.
The file contains macros
A normal CV should not need macros. Avoid .docm and .dotm files unless there is a compelling, verified reason to use one. Word for the web does not run macros, and enabling macros in an untrusted download creates unnecessary security risk.
