What to include in a resignation letter
- A clear resignation statement: Say directly that you are resigning. Include your job title and employer if needed to make the notice unambiguous.
- Your intended final work date: Use a specific calendar date rather than a vague phrase such as “in two weeks.”
- A professional close: Brief, sincere thanks are optional. You can offer reasonable help with the transition, but do not promise work beyond what you can or are expected to do.
- Your name and the notice date: Include these in a letter; an email should also make the sender and timing clear.
Do you have to give two weeks’ notice or submit a letter?
There is no universal notice period established by the sources cited here. Do not assume that two weeks is a legal requirement or applies to your job. Review your employment agreement or offer documents, employer policy, any applicable collective agreement, and local rules to understand what notice and process apply to you.
A written resignation can create a record of your decision and intended final date, but Harvard Business Review notes that in most cases quitting does not require a letter. Employer procedures or agreements may still call for written notice. Follow the delivery instructions that apply to your workplace: a letter, email, or employer form may be appropriate depending on the situation. For federal employees
The U.S. Office of Personnel Management’s Guide to Processing Personnel Actions, Update 47, says: “Each person who resigns should be asked to do so in writing.” It identifies Part E of Standard Form 52 as one way to submit a written resignation. - Check the required process. Find out whether your employer wants a letter, email, form, or another method, and who should receive it.
- Confirm your final date. Check your agreement, policy, and any applicable local requirements before naming the date.
- Keep the message focused. You do not have to explain why you are leaving. Add a reason only if you choose to and it serves a purpose.
- Adjust the tone honestly. Keep the resignation direct and professional. Include thanks only if they feel genuine, and make any transition offer realistic.
