Farm Inventory Management: What to Track and How to Value It

A practical guide to farm inventory management: define the record’s purpose, track quantities and values, choose a maintainable format, and keep tax inventory separate from management counts.

Farm inventory management works best as a set of records tailored to a clear purpose—not one catch-all list. Track saleable crops and livestock, important supplies, and equipment in ways that capture identity, quantity, condition, location, count date, and value where relevant. A day-to-day stock count, a financial statement, and a tax inventory can have different scopes, so keep those purposes distinct.

Decide what your farm inventory is for

Start by naming the decision or report the record must support. A management count helps you see what is on hand; an equipment register supports asset management; a balance sheet records financial position on a specified date; and a tax inventory follows tax rules that may depend on the farm’s circumstances and tax year. One linked system can support several uses, but the records should identify which purpose and date each count or valuation serves.

  • Operational tracking: Focus on quantities, locations, purchases, use, and what needs replenishing.
  • Financial reporting: Record a value and valuation basis as of the reporting date.
  • Tax records: Include items and apply accounting treatment according to current IRS guidance for the farm’s situation.
  • Asset management: Identify equipment and facilities with details useful for ownership, condition, insurance, or financial statements.

What to include in a farm inventory system

A practical system can consist of separate crop, livestock, supplies, and equipment records linked to supporting documents. For each record, use consistent item names, units, dates, and locations, and identify who is responsible for updating it. Reconcile recorded quantities to physical counts when practical.

Crops and harvested products

Record the crop or commodity, storage location, unit of measure, quantity on hand, date counted, and quality when it affects value or sale. USDA Farm Service Agency instructions for its FSA 2037 financial form use crop type, unit, number of units, and price per unit for crop inventory. Growing crops

Growing crops are different from harvested stock: record crop and acreage, and include estimated input cost per acre if the relevant financial form requires it. The FSA 2037 instructions cite seed, fertilizer, and fuel as examples of inputs in their growing-crop calculation.

Livestock

For livestock held for sale, useful fields include type, head count, weight, and price per unit. The FSA 2037 instructions include those fields for market livestock; breeding, dairy, or draft animals may be treated differently, particularly for tax accounting. Keep the management record’s scope clear rather than assuming every animal belongs in every inventory.

Farm supplies and production inputs

For operational purposes, prioritize supplies that matter to production and replenishment decisions. Track purchases, usage, or remaining quantity according to the task. Tax treatment is separate: IRS Publication 225 distinguishes supplies included in inventory from incidental supplies deductible when purchased, so a management supply log should not be mistaken for a tax determination.

Equipment and facilities

An equipment register can capture the asset name, model or serial number, year, condition, ownership, purchase price, and market value. Supporting documents

Keep invoices, purchase and sales records, and other documents that substantiate entries. Farmers.gov identifies invoices, closing statements, canceled checks, and bank statements among documents that help maintain farm business information. Farmers.gov, Maintain Your Farm Operation.

Choose a recordkeeping format you will maintain

There is no single format that suits every farm. University of Wisconsin Extension notes, “There is no ‘best’ record keeping system for all situations.” Choose based on the farm’s categories, sites, users, reporting needs, and ability to update records accurately.

Format Can work well when Trade-offs to consider
Paper notebook or ledger The workflow is simple or the people recording counts prefer paper. Extension guidance says paper can require more time and introduce errors. Plan how to organize pages and preserve records.
Spreadsheet You need flexible categories, calculations, or straightforward summaries. It requires accurate entry and time to set up units, fields, and formulas; inconsistent entries can undermine the totals.
Farm-specific software The operation needs integrated records or reports across multiple categories, sites, or users. Check current features, costs, offline access, integrations, export options, and support for your production type. Setup and accurate data entry still matter.

University of Wisconsin Extension describes notebooks and ledger books as paper options and spreadsheets and software packages as electronic options. It notes that electronic methods can perform calculations but require basic computer knowledge and time to learn or set up. Before adopting any format, check whether people can update it where counts happen, whether changes and supporting documents can be reviewed, and how records will remain accessible and recoverable if paper or a device is lost. No specific backup method or software product is prescribed here; the right choice depends on the farm’s workflow.

Keep quantities and valuations tied to a date

A value without a date and basis can be misleading. For a financial record, document the count date, measured quantity, unit, and the basis used to value it. Note quality or weight where those factors affect the item’s value. Keep source documents that support purchases, sales, and other changes to stock.

For the FSA 2037 balance sheet, crop inventory is recorded with unit, quantity, and price per unit as of the balance-sheet date. Its fields for livestock intended for sale within twelve months include head count, weight, and price per unit. Use these instructions only for that reporting task; another management, financial, or tax purpose may call for a different scope or treatment. USDA FSA, Instructions for FSA 2037.

Separate tax inventory from a management count

IRS Publication 225 (2025) says, “If you are required to keep an inventory, you should keep a complete record of your inventory as part of your farm records.” It says the record should show actual count or measurement and valuation factors such as quality and weight when applicable. Examples include harvested or purchased farm products held for sale, feed or seed, certain supplies, and livestock held primarily for sale. The publication also describes exceptions to inventory and uniform capitalization rules, subject to eligibility conditions. For tax years beginning in 2025, it states that a farm may qualify for an inventory exception if average annual gross receipts for the preceding three tax years were $31 million or less and the farm is not a tax shelter. That is a tax-year-specific threshold, not a general operating benchmark. Check the current IRS publication and the farm’s circumstances, or consult a qualified tax professional, before deciding what tax rules apply.

A workable routine for keeping records current

  1. Set the purpose and date: Label each count as an operating check, financial statement record, equipment register, or tax record, and note its relevant date.
  2. Define categories and units: Choose consistent names, measures, and locations for crops, livestock, supplies, or assets.
  3. Assign responsibility: Decide who records counts, purchases, use, sales, and changes in condition.
  4. Capture evidence: Retain invoices and transaction documents that explain changes in quantities or values.
  5. Reconcile when practical: Compare the record with a physical count and investigate differences rather than silently replacing figures.
  6. Review the output against its purpose: Confirm the record includes the fields required for the intended management decision or form, without assuming that one record automatically satisfies another.
