Crypto Tax Software vs. Spreadsheets: Which Is Better for Tracking Gains?

A spreadsheet can suit a small, well-documented crypto history; software can reduce manual work across many wallets and transactions. Either way, reconcile records and review basis and classifications.

A spreadsheet can work for tracking crypto gains when your history is small, straightforward, and supported by complete records. Dedicated crypto tax software is usually more practical when activity spans multiple wallets or exchanges, transaction volume is high, or you need a tax report to review or import. Neither option guarantees correct tax treatment: you must still reconcile records and check cost basis, transfers, classifications, and broker data.

What each option can—and cannot—do

A crypto tax spreadsheet is a recordkeeping and review tool. It can organize transaction details and help you inspect calculations, but a spreadsheet does not automatically establish that every wallet transfer was matched, the cost basis is right, or a tax form is complete. The IRS requires records adequate to support positions taken on federal returns, regardless of the tool used. IRS digital asset guidance

Crypto tax software can import and organize activity, match transfers, calculate gains, and produce reports, depending on the product and plan. Those features reduce manual work; they do not prove that an import is complete or a classification is correct. Review the underlying transactions before relying on a report.

Choose based on the shape of your records

A spreadsheet is a reasonable fit when

  • Your transaction history is limited and uncomplicated.
  • You have complete records from the exchanges and wallets you used.
  • You can reconcile every transfer and consistently capture the information needed to calculate gains or losses.
  • You are prepared to review the tax treatment and prepare or check the required forms separately.

Software is more practical when

  • Your history includes many transactions or activity across multiple wallets and exchanges.
  • You need help importing records, matching transfers, or identifying missing data.
  • You need a downloadable tax report or an export for tax-filing software.
  • Manual reconciliation would be difficult to perform consistently.

These are workflow differences, not evidence that one method is inherently more accurate. No independent comparison establishes that spreadsheets or software produce fewer errors or save a particular amount of time.

What records you need to track crypto gains

For a digital-asset disposition, the IRS identifies details including the asset type, date and time, units, fair market value, and basis. Basis is generally the U.S.-dollar cost, though the method depends on the transaction. Keep records of purchases, receipts, sales, exchanges, dispositions, and income, and retain enough information to support the positions on your return. IRS digital asset guidance

Whichever method you choose, make each record traceable to its source. If an entry is missing, duplicated, or ambiguous, flag it for reconciliation rather than filling in an assumed value. An unmatched transfer or missing basis can affect the result, and an organized spreadsheet cannot establish a value you do not have evidence for.

How software plans and imports affect the decision

Before paying for software, check whether it supports the exchanges, wallets, chains, and file formats in your history. Then compare its transaction limit with your complete tax-year activity and confirm whether the plan includes the reports or filing integrations you need. Plan features, prices, limits, and integrations can change; verify them for the tax year you are filing.

As examples on vendor pages checked for this article on October 9, 2026, Koinly lists free and paid plans with different transaction limits and reports. Its help documentation says the free plan permits viewing imported transactions and calculated gains and a tax summary, but not generating reports; calculations halt if the account exceeds 10,000 transactions. CoinTracker lists a free summary preview and paid tiers with transaction limits and tax forms; its pricing page lists Base at $59 per year. These are dated vendor terms, not a complete apples-to-apples comparison, and should be rechecked before purchase. Koinly pricing · Koinly free-plan details · CoinTracker pricing

CoinTracker’s help documentation describes filing-software integrations, and its TurboTax FAQ says a paid plan is required for that integration. TurboTax describes crypto filing and portfolio imports, but an import is a downstream filing step, not a substitute for complete records. Confirm the supported import process and formats for your tax year. CoinTracker filing-software integrations · CoinTracker TurboTax FAQ · TurboTax crypto tax information

A practical workflow: reconcile first, then report

  1. Gather source records. Collect transaction histories and relevant statements from every exchange and wallet used during the tax year.
  2. Import or enter the activity. Use software imports where supported, or record transactions in a spreadsheet. Keep source references so you can trace entries back to original records.
  3. Reconcile transfers and gaps. Check that movements between wallets are not mistakenly treated as sales, and investigate missing, duplicated, or unmatched entries and missing basis.
  4. Review the tax treatment. Check transaction classifications and basis rather than accepting defaults without review.
  5. Check the report or return data. Confirm the tax-year forms and filing software accept the report or import, then compare reported amounts with your reconciled records.

A spreadsheet may also be useful alongside software. Koinly documents CSV report exports that can be opened in spreadsheet software for analysis and custom pivot tables. That makes a spreadsheet useful for reviewing exported data even when it is not the primary calculator. Koinly tax-report exports

U.S. tax reporting is broader than capital gains

Digital assets held as capital assets are generally subject to capital-gain or loss treatment when sold or otherwise disposed of. IRS guidance points to Form 8949 for capital-asset dispositions, Schedule 1 for certain ordinary income such as forks, staking, and mining, and Schedule C for certain business activity. The appropriate reporting depends on the transaction and your circumstances. IRS digital asset guidance

Do not treat every receipt as a capital gain or assume all crypto activity belongs on the same form. Identify income and business activity as well as dispositions, and seek qualified tax help when the facts or records are difficult to classify.

What Form 1099-DA changes—and what it does not

For covered transactions, brokers must report gross proceeds for transactions effected on or after January 1, 2025, and basis for certain covered transactions effected on or after January 1, 2026. The phase-in does not mean a broker statement will contain complete basis for every asset or transaction. Keep your own records and reconcile broker information against them and the current forms and instructions. IRS: Digital asset proceeds from broker transactions

Which should you use?

Use a spreadsheet as your primary tracker if your history is limited, your records are complete, and you can verify every transaction and basis. Choose software when multiple wallets, exchanges, or a high transaction count make manual organization and reconciliation burdensome—but treat the resulting report as a draft to inspect, not a guarantee. If you cannot resolve missing records, transfers, basis, or tax classifications, consult a tax professional rather than relying on either tool to guess.
