Freshdesk is the best default choice for most small and midsize customer-support teams in 2026. It combines ticketing, a shared inbox, a customer portal, knowledge-base tools, automation and reporting at a comparatively clear price. But it is not the right answer for every business: Zendesk is better suited to complex enterprise operations, Help Scout to simple email-first support, Intercom to AI-first SaaS support, Gorgias to ecommerce, HubSpot to CRM-centered companies, and Jira Service Management to internal IT.
The right choice depends on who needs help, where requests arrive, how much routing and reporting you need, and whether your costs will be based on agent seats, tickets, AI outcomes or add-ons. Prices below were checked against the vendors’ listed pricing signals on August 16, 2026; verify them before purchasing.

| Software | Best for | Pricing signal checked | Pricing model | Main limitation |
|---|---|---|---|---|
| Freshdesk | Most SMB and mid-market support teams | Growth $19, Pro $55, Enterprise $89 per agent/month, annually | Per agent, with AI and other usage charges | Advanced enterprise and product-led needs may require another platform |
| Zendesk | Enterprise and complex omnichannel support | Support Team $19, Suite Team $55, Suite Professional $115 per agent/month, annually | Per agent, plus add-ons and usage-based features | Can be costly and administratively heavy for small teams |
| Help Scout | Small, email-first teams | Standard $25 per user/month | Per user | May not scale well for complex contact-center operations |
| Intercom | AI-first SaaS and in-app support | Essential $29 per seat/month, plus Fin from $0.99 per outcome | Per seat plus AI usage | Outcome-based AI billing can make costs harder to predict |
| Gorgias | Ecommerce support | Plans scale by ticket volume; not priced per agent | Ticket volume plus AI resolution usage | Specialized for commerce rather than general service management |
| HubSpot Service Hub | CRM-connected service | Free for up to two users; Starter displayed from $7 annually or $20 monthly per seat | Per seat and broader ecosystem pricing | Total cost may rise with other HubSpot products and limits |
| Jira Service Management | Internal IT and employee service | Free for three agents; Standard $20; Premium $51.42 per agent/month | Per agent | More configuration-heavy than a simple customer-support inbox |

What help desk software does
Help desk software centralizes customer or employee requests, turns them into trackable conversations or tickets, assigns ownership, automates routine work, stores support knowledge and reports on service performance.
#1 Best Overall
- Connects To: Desk phones via included cable.
- Ideal For: Office and desk-centric workers using desk phones
- Audio Performance: Keep background noise out of your call with a noise-canceling microphone.
- Talk Time & Roaming Range: Work Better, Hands Free, with a roaming range of up to 120 m/400 ft. Talk all day with up to 7 hours of talk time per charge.
- Global Warranty & Wearing Style: 2 years; monoaural light weight convertible (which can be worn either over-the-ear, over-the-head or behind-the-head).
The category includes several different types of products:
- Customer-support help desks: Freshdesk, Zendesk, Help Scout and Zoho Desk focus on email ticketing, shared inboxes, portals, knowledge bases, SLAs and support reporting.
- Conversational or product-led platforms: Intercom emphasizes in-app messaging, proactive communication, segmentation and AI agents.
- Ecommerce service platforms: Gorgias connects conversations with orders, shipping, returns and commerce platforms.
- IT service-management platforms: Jira Service Management focuses on internal requests, incidents, assets, on-call schedules and structured workflows.
A shared inbox may be enough for a small team handling modest email volume. A full help desk becomes more valuable when you need formal SLAs, multiple queues, detailed reporting, customer self-service, complex routing or several support channels.
Best overall: Freshdesk
Freshdesk is the most defensible general recommendation for a typical small or midsize customer-support team. Its listed Growth plan includes ticketing, a shared inbox, customer portal, knowledge base, analytics and reporting, roles and permissions, and 500 initial Freddy AI Agent sessions.
Freshdesk lists Growth at $19 per agent per month when billed annually, Pro at $55 and Enterprise at $89. The clear progression makes it easier to understand what you are buying than a headline price that excludes essential features.
Its main trade-off is that advanced needs can increase the bill. The pricing page lists additional Freddy AI Agent sessions at $49 per 100 sessions, day passes at $2 and connector-app tasks at $80 per 5,000 tasks. Those usage charges should be included in any realistic estimate.
Choose Freshdesk if: you need conventional ticketing, self-service, automation and reporting without immediately buying an enterprise platform.
Do not choose it if: your central requirement is sophisticated product-led messaging, highly complex enterprise governance or IT service management.
Best for enterprise: Zendesk
Zendesk is the strongest candidate for complex, high-volume customer service operations. Its broader offering includes omnichannel routing, messaging, live chat, telephony, skills-based routing, IVR, advanced analytics, AI agents, intelligent triage, Auto Assist, approval workflows, sandbox environments, custom agent roles and extensive integration options.
Zendesk lists Support Team at $19 per agent per month when billed annually, Suite Team at $55 and Suite Professional at $115. These are not equivalent plans. Support Team is centered on email and ticketing, while Suite Team adds AI, a knowledge base, omnichannel routing, messaging, live chat and telephony.

- ⚠️ DESK PHONE ONLY — Check Your Port Before Buying: This is an RJ9 headset designed exclusively for desk phones. It uses a 4-pin RJ9 connector — NOT compatible with computers, laptops, tablets, or smartphones. RJ9 wiring varies by phone brand. If your microphone doesn't work, try all 3 included adapters — different brands use different pin configurations
- Tuned Exclusively for Calls & Conference Audio — Not Designed for Music Playback The headset’s speaker drivers are calibrated to deliver crisp, intelligible speech during phone calls. Its sound signature prioritizes spoken dialogue: voices come across clear and natural, yet the rich, immersive sound needed for music, movies and gaming cannot be achieved.
- Pro Noise-Canceling Microphone: Flexible uni-directional boom mic filters out office chatter, keyboard clicks, and AC hum. Your callers hear your voice with studio-like clarity — not your environment. Adjustable boom arm for perfect positioning
- Single-Ear Awareness Design: Mono design keeps one ear free — stay aware of teammates, ambient office sounds, and doorbells while on calls. Ideal for call center agents, receptionists, and collaborative open offices
- All-Day Lightweight Comfort: Ultra-soft PU leather ear cushion with ventilated design + adjustable headband. Designed for 8+ hour shifts without ear fatigue. Cloud-like fit that stays comfortable through back-to-back meetings
Zendesk also lists Copilot at $50 per agent per month when billed annually. AI-agent usage is measured through automated resolutions, and other voice, app and action features may involve separate charges or add-ons.
Choose Zendesk if: you need complex routing, multiple channels, governance, custom workflows, deep reporting or a platform that can support a large service operation.
Do not choose it if: a small team mainly needs a shared email inbox and basic assignment. The administration and feature cost may exceed the value of the extra capability.
Best for small businesses: Help Scout
Help Scout is a strong choice for a small team that wants support to feel like organized email rather than a heavily configured enterprise system. It adds assignment, saved replies, knowledge bases, workflows and reporting to a shared-inbox model.
Its listed Standard plan costs $25 per user per month and includes multiple inboxes, live chat and SMS, WhatsApp, Instagram, Messenger, multiple knowledge bases, one basic SLA policy, basic workflows and an AI Inbox assistant.
Help Scout is particularly attractive when the team has relatively simple queues, informal escalation and a preference for a human-centered interface. However, model the cost of every user and additional inbox before signing up.

Choose Help Scout if: support is primarily email-based and the team values simplicity over highly specialized routing.
Do not choose it if: you need a large contact center, extensive voice operations, workforce management or unusually complex permissions and workflows.
Best for AI-first SaaS support: Intercom
Intercom is built around in-app messaging, proactive communication, shared inboxes, ticketing, help centers and AI. It is especially relevant to SaaS companies that want support conversations connected to the product experience.

Intercom lists Essential at $29 per seat per month, with Fin AI Agent from $0.99 per outcome. The plan includes Messenger, a shared inbox, ticketing, prebuilt reports and a public help center. The key question is not simply whether AI is included. Estimate how many conversations Fin will resolve, how many will escalate to humans and whether those outcomes remain billable when the customer needs additional help.
Choose Intercom if: support begins inside your product and you want messaging, proactive engagement and AI in one system.
Do not choose it if: you primarily need a traditional, high-volume ticket queue with predictable seat-based costs.

Best for ecommerce: Gorgias
Gorgias deserves its own ecommerce category rather than being treated as a generic ticketing competitor. It connects customer conversations with commerce context such as orders, shipping, refunds, returns and subscriptions.
Its pricing page describes a help desk that is not priced per agent, with plans scaling from 50 to 5,000 tickets per month. It emphasizes connections to Shopify, BigCommerce, Magento and WooCommerce, more than 100 apps and integrations, and AI on every plan. AI is charged when it resolves a conversation.
The official pricing information available for this comparison did not expose a reliable numeric plan table, so verify the live plan selector or checkout before relying on a specific quote.
Choose Gorgias if: order lookup, returns, shipping status and ecommerce integrations are central to support.

Best for CRM-connected service: HubSpot Service Hub
HubSpot Service Hub is most compelling when your company already uses HubSpot CRM and wants service activity connected to sales, marketing and customer records.
HubSpot lists a free plan for up to two users. Its displayed Starter pricing begins at $7 per seat per month on annual billing or $20 per seat per month on monthly billing.
The headline seat price should not be treated as the complete cost. Advanced service features, automation, reporting, usage limits and other HubSpot hubs can change the economics substantially. Compare the cost of the full HubSpot setup with a standalone help desk before deciding.

How help desk pricing really works
Per-agent pricing
Freshdesk, Zendesk, Help Scout, HubSpot and Jira Service Management primarily expose per-agent or per-user pricing. This is relatively predictable when headcount is stable, but occasional users and collaborators can create unnecessary seat costs.
Seat pricing plus AI usage
Intercom combines seat charges with Fin outcomes. Freshdesk includes a limited number of AI sessions and lists additional session packs. Zendesk measures automated resolutions and may charge separately for other advanced capabilities.
Ticket-volume pricing
Gorgias emphasizes ticket-volume ranges rather than agent count. That can work well when the team has many agents but controlled demand, while seasonal spikes can create budget risk.
Bundled ecosystem pricing
HubSpot and Atlassian may be economical when the company already uses their surrounding ecosystems. The total bill can rise when the buyer needs adjacent products, higher editions or larger usage limits.
Calculate the fully loaded monthly cost
Do not compare only the advertised entry price. Use this model:
Monthly software cost =
agent seats
+ collaborator or light-user seats
+ AI usage
+ voice and SMS charges
+ premium channels
+ required add-ons
+ implementation or migration costs
For example, a hypothetical 10-agent team should calculate:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
10 agents × the first plan containing required features
+ expected AI usage
+ voice or SMS
+ additional inboxes
+ required integrations or add-ons
= realistic monthly estimate
This is an illustrative calculation, not a vendor quote. Annual billing can lower the displayed per-month price, but it also creates a longer commitment. Compare both monthly and annual totals and check what happens to unused AI credits or volume allowances.
Quick Recap
Decision guide
- Who is requesting help? Customers point toward Freshdesk, Zendesk, Help Scout, Intercom or Gorgias; employees and IT teams may need Jira Service Management.
- Where do requests begin? Email favors Help Scout or Freshdesk. In-app conversations favor Intercom. Orders and returns favor Gorgias.
- How complex is routing? Basic assignment may suit Help Scout. Multiple teams, skills, SLAs and escalation paths favor Freshdesk or Zendesk.
- Is AI required? Compare outcomes, sessions, resolutions and human escalations rather than just checking whether an AI feature exists.
- Which ecosystem already matters? Existing HubSpot, Atlassian, ecommerce or product infrastructure can outweigh a small difference in standalone pricing.
- What is the likely failure mode? Avoid paying for enterprise complexity, unpredictable AI usage, irrelevant commerce features or a CRM bundle you will not use.

- List mandatory channels, integrations and authentication requirements.
- Count full-time agents, occasional collaborators and administrators.
