HubSpot Marketing Hub is the best overall CRM for email marketing if you want customer records, segmentation, forms, automated campaigns, sales follow-up, and reporting in one ecosystem. ActiveCampaign is the better fit when behavior-based automation is the priority. Brevo is the strongest budget and high-send-volume option, while Klaviyo is the specialist choice for ecommerce retention. Zoho offers strong value for businesses willing to assemble a broader software suite, and Salesforce is best reserved for larger B2B organizations already committed to Salesforce.

There is no universally best platform. A newsletter publisher, Shopify store, five-person B2B consultancy, and global sales organization need different products. This guide separates true CRM-plus-marketing platforms from email-first services, compares the real pricing models, and gives you a proof-of-concept test to run before signing an annual contract.

First decide whether you need a CRM at all

Many businesses searching for a CRM for email marketing actually need only an email marketing service. Buying a more powerful platform than your process requires can create unnecessary subscription, training, migration, and administration costs.

An email marketing service is usually enough when you need:

  • Newsletters and occasional promotional campaigns.
  • Basic signup forms and list management.
  • A welcome email or simple autoresponder.
  • Basic segments based on interests or signup source.
  • No sales pipeline, deal stages, or account ownership.
  • No reporting tied to opportunities or revenue.

A CRM-plus-email platform is justified when you need:

  • Sales pipelines and deal stages.
  • Multiple people working with the same company or account.
  • Lead ownership and automatic assignment to representatives.
  • A marketing-to-sales handoff based on behavior or lead score.
  • A unified customer timeline containing emails, forms, calls, purchases, and tasks.
  • Different messages for prospects, active opportunities, customers, and former customers.
  • Automatic suppression of prospect campaigns after a purchase or closed-won deal.
  • Campaign reporting connected to qualified leads, pipeline, or revenue.

Mailchimp illustrates the distinction. It describes itself as a marketing platform with customer information, segmentation, automation, and a Marketing CRM, but its plan documentation emphasizes audiences, sends, templates, and marketing automations rather than a conventional account-and-deal CRM. What a real CRM for email marketing should do

A platform belongs in this category only when email is connected to durable customer data and business actions. Look for six capabilities:

  1. Persistent customer records: contacts, companies or accounts, deals, lifecycle stages, owners, custom fields, consent status, and activity history.
  2. CRM-driven targeting: segments based on lead source, deal stage, purchase history, website activity, support status, engagement, or customer value.
  3. Automated lifecycle messaging: welcome, nurture, onboarding, abandoned cart, post-purchase, renewal, re-engagement, and win-back workflows.
  4. Sales and marketing handoff: lead scoring, task creation, alerts, ownership assignment, deal creation, and automatic workflow changes.
  5. Useful measurement: delivery, clicks, unsubscribes, conversions, pipeline influence, revenue attribution, and suppression reporting.
  6. Data connectivity: native integrations, forms, website tracking, ecommerce events, APIs, webhooks, advertising audiences, and transactional email.

The phrase CRM integration is not enough. Ask whether the integration is native or third-party, one-way or two-way, real-time or scheduled, contact-only or account-and-deal aware, and capable of writing email activity back to the CRM.

How we evaluated the platforms

The ranking uses a weighted framework rather than a raw feature count. A platform can have hundreds of features and still be poor value for a small business that needs only three dependable workflows.

1. HubSpot Marketing Hub: best overall for an integrated CRM and email stack

Choose HubSpot when: marketing and sales need to operate from one customer database and the business can afford a professional-grade marketing budget.

HubSpot is the strongest all-around choice because its CRM foundation, marketing tools, sales tools, forms, landing pages, segmentation, automation, and reporting are designed to work together. It is particularly suitable for an SMB or mid-market company that wants a single system rather than a separate CRM, email platform, form builder, and reporting layer.

Where HubSpot fits best

  • Lead capture from forms and landing pages.
  • Lifecycle-stage and lead-source segmentation.
  • Marketing nurture linked to sales ownership.
  • Task creation and alerts after high-intent activity.
  • Suppression of prospect marketing after conversion.
  • Campaign, pipeline, and attribution reporting.

Its broadest advantage is context. A click is not just an email event; it can be considered alongside the contact’s lifecycle stage, company, owner, deal, and other activity. That can reduce the data-sync problems created when marketing and sales use unrelated systems.

HubSpot pricing and cost traps

The current Marketing Hub pricing page lists a free plan with up to two users. It also displays Starter from $7 per seat per month in one pricing presentation and an alternate $20-per-seat figure in the billing selector. Because the page is dynamic and promotional pricing can change, treat the lower figure as something to verify rather than a dependable budget assumption.

The more meaningful tiers are:

  • Professional: listed at $800 per month, including three core seats and 2,000 marketing contacts.
  • Enterprise: listed at $3,600 per month, including five core seats and 10,000 marketing contacts.
  • Onboarding: required one-time fees listed at $3,000 for Professional and $7,000 for Enterprise.
  • Free email: 2,000 sends per calendar month with HubSpot branding.
  • Paid email: send allowances are tied to the selected marketing-contact tier and are listed as five, ten, or twenty times that tier for Starter, Professional, or Enterprise.

Professional therefore has a listed software floor of $9,600 per year before the required $3,000 onboarding fee, additional seats, other Hubs, taxes, or contact expansion. That is very different from evaluating HubSpot by its free CRM or low promotional Starter price.

Best HubSpot proof-of-concept

Build one form-to-nurture-to-sales workflow. A form should create or update the contact, record the source and consent, send a welcome message, branch after a high-intent click, notify or assign sales, create a task, and stop promotional nurture when an opportunity becomes a customer. Then verify that the campaign can be connected to the resulting opportunity.

Who should avoid HubSpot?

A newsletter-only business may pay for more CRM and reporting than it needs. A small company should also avoid assuming that the free CRM or Starter plan provides the same automation and attribution depth as Professional. HubSpot is a strong platform, but advanced email automation is expensive enough that total cost should be modeled before migration.

2. ActiveCampaign: best for sophisticated automation at a lower entry cost

Choose ActiveCampaign when: behavior-based email automation, segmentation, lead scoring, and nurturing matter more than having the broadest general-purpose business platform.

ActiveCampaign places visual automation at the center of the product. It is well suited to triggers such as form submissions, page visits, email engagement, lead-score changes, purchases, and sales events, followed by branches, waits, scoring, tasks, and follow-up messages.

Strengths

  • Visual workflow design for complex nurture paths.
  • Behavioral segmentation and lead scoring.
  • Increasing plan levels for multichannel automation, predictive sending, attribution, and advanced reporting.
  • Sales features such as pipelines, deal management, tasks, and sales automation when the relevant CRM capability is included.

At 1,000 contacts, ActiveCampaign’s current comparison page gives example prices of $15 per month for Starter, $49 for Plus, $79 for Professional, and $145 for Enterprise. Those figures are not the cost of an identical CRM-plus-email package. The help documentation says Starter limits each automation to five actions; Plus adds multichannel automation and landing pages; Professional adds advanced segmentation, predictive sending, attribution, connected automations, and advanced reporting. Full Deals and pipeline capabilities are documented as paid enhanced-CRM add-ons on Plus, Professional, and Enterprise.

In other words, the $15 example is an email automation entry point, not a safe budget for a team that needs full sales engagement. Model the contact tier, plan, CRM add-on, seats, messaging, and reporting requirements together.

Trade-offs

As automations multiply, governance becomes important. Name workflows, document entry and exit rules, prevent unwanted re-entry, and test what happens when a person purchases, unsubscribes, or changes owner. ActiveCampaign can be a better automation value than HubSpot, but it is less compelling if the company needs a fully integrated general business suite with extensive account, service, content, and reporting functions.

3. Brevo: best budget and multichannel option

Choose Brevo when: email volume, irregular sending, SMS, WhatsApp, transactional email, and basic CRM matter more than sophisticated sales operations.

Brevo has an unusually flexible pricing model. The free plan lists $0 per month, up to 100,000 stored contacts, 300 email sends per day, basic reporting, marketing automation for up to 2,000 contacts, and free sales features. That large contact-storage allowance does not mean the free account is suitable for large campaigns: the daily sending limit remains the practical constraint.

The paid plan documentation lists:

  • Starter: from $9 per month, with no daily sending limit; the lowest listed tier covers 5,000 monthly emails and up to 500 contacts.
  • Standard: from $18 per month.
  • Professional: from $499 per month.
  • Enterprise: custom pricing.
  • Sales Essentials: $31 per month.
  • Sales Advanced: $64 per month.
  • Dedicated IP: listed at $251 per year.

Brevo separates marketing campaigns, transactional messages, and automation email. That separation matters for receipts, password resets, shipping notices, and other operational messages that should not be treated as promotional campaigns. Pay-as-you-go credits can also make sense for an organization that sends occasional large campaigns rather than a predictable monthly volume.

Where Brevo falls short

Brevo’s contact and deal capabilities can be sufficient for a small business, but its CRM depth and automation are not equivalent to a deeply customized Zoho CRM, HubSpot, Salesforce, or advanced ActiveCampaign setup. That is an editorial fit assessment based on the documented product scope, not a claim that Brevo lacks useful CRM features. Choose it for affordable multichannel communication and basic customer management, not for elaborate account governance.

4. Zoho CRM plus Campaigns or Marketing Automation: best value in a broader suite

Choose Zoho when: price, customization, and the wider Zoho ecosystem matter, or the business already uses Zoho for CRM, books, support, or other operations.

Zoho is not one single email product. Buyers may combine Zoho CRM with Zoho Campaigns or Zoho Marketing Automation. Zoho CRM provides customer records, campaign management, email marketing, web forms, mass email, and autoresponders. Zoho Marketing Automation adds journeys, segmentation, website tracking, lead qualification, and CRM integration.

The free Zoho CRM edition currently advertises three users, 5,000 contact records, 150 emails per day, five workflow automation rules, reports, and a mobile app. An official edition comparison lists annual-billing reference prices of $14 per user per month for Standard, $23 for Professional, $40 for Enterprise, and $52 for Ultimate. That makes the CRM Standard price floor $168 per user per year before adding the separate email or marketing automation product, taxes, and additional requirements.

Zoho’s own comparison material advertises Zoho Campaigns from $4 per month for 500 contacts, but that figure is a vendor comparison reference rather than a guaranteed universal checkout price. Confirm the exact product, contact tier, billing cycle, currency, and included features.

The main Zoho trade-off

The platform can deliver strong value, but administration is more distributed. Before buying, identify whether each required feature lives in CRM, Campaigns, Marketing Automation, or a bundle. Verify how contacts, consent, email activity, lead scores, and lifecycle stages synchronize. A lower subscription price can be offset by setup time and the need to maintain multiple applications.

5. Klaviyo: best for ecommerce and B2C retention

Choose Klaviyo when: purchases, browsing, carts, product catalogs, subscriptions, loyalty, and customer lifetime value are the center of your marketing strategy.

Klaviyo is best understood as a B2C customer-data and marketing platform rather than a conventional sales CRM. Its value comes from real-time customer profiles and ecommerce events. Those events can power welcome flows, browse abandonment, abandoned cart, post-purchase, replenishment, price-drop, back-in-stock, and win-back campaigns.

The platform advertises integrations across ecommerce, subscriptions, loyalty, support, and other systems, along with segmentation and predictive analytics. When order, product, and event data are correctly synchronized, Klaviyo can make messages substantially more relevant than a simple list-based newsletter tool.

The free plan currently includes up to 250 active profiles, 500 email sends per month, and $5 of mobile messages per month. It also includes basic segmentation, reporting, automations, and email support for the first 60 days. Paid pricing primarily uses active profiles, not simply every stored contact, and the public calculator should be used because email, mobile messaging, analytics, service, and data products can be selected separately.

Why Klaviyo is not the default B2B CRM

A Shopify brand may care about product views and lifetime value more than company hierarchies, sales reps, opportunity stages, and account forecasting. A traditional B2B sales team may need the reverse. Klaviyo is a strong fit when commerce events are the source of marketing intelligence; it is not automatically the best system for a complex B2B pipeline.

6. Salesforce Marketing Cloud: best enterprise B2B option

Choose Salesforce when: Salesforce already owns the organization’s sales data and the business needs enterprise governance, account-based marketing, complex nurturing, scale, and implementation support.

Do not treat Salesforce Marketing Cloud as one undifferentiated product. Two relevant products have different purposes:

Independent industry research cited in the Salesforce 2026 ISG Buyers Guide identifies strengths in personalization, journey orchestration, segmentation, AI, and ecosystem integration, while also identifying complexity and implementation usability as challenges. That is why Salesforce should be recommended for a genuine enterprise requirement, not simply because it has the largest feature list.

7. Mailchimp: best for simple email marketing with light customer management

Choose Mailchimp when: the business primarily needs newsletters, promotional campaigns, forms, templates, basic segmentation, and straightforward journeys.

Mailchimp is familiar and accessible. It offers an email editor, templates, segmentation, A/B testing, customer journeys, and a marketing CRM. It is a practical starting point for an email-first organization, especially when there is no need for multiple contacts at one account, opportunity forecasting, sales ownership, or complex CRM-triggered handoffs.

Its current plan documentation lists a free plan with up to 250 contacts, 500 monthly sends, and a 250-per-day limit. Essentials supports up to 50,000 contacts with monthly sends equal to ten times the contact limit. Standard supports up to 100,000 contacts with sends equal to twelve times the contact limit, and Premium supports up to 200,000 contacts with sends equal to fifteen times the contact limit.

The important cost detail is that Mailchimp counts subscribed, non-subscribed, and unsubscribed contacts toward the contact total. Archived, cleaned, and deleted contacts do not count. Exceeding contact or send limits can create additional charges, so list hygiene affects the bill.

8. Freshmarketer and Freshsales Suite: worth considering for Freshworks users

Choose Freshmarketer or Freshsales Suite when: the company already uses Freshworks or wants an affordable connected layer for forms, web tracking, email campaigns, and customer journeys.

Freshmarketer lists a free plan with 100 marketing contacts and 500 monthly email sends. Its Growth plan is listed at $15 per month when billed annually with 500 marketing contacts. Additional marketing contacts are listed from $100 per 5,000 contacts per month, and a dedicated IP is listed at $199 per account.

The main caution is product boundaries. Freshsales, Freshmarketer, and Freshsales Suite are not interchangeable names for one identical product. Pricing: compare the billing unit, not the headline price

CRM email marketing prices are difficult to compare because vendors bill different things. A platform may charge for stored contacts, marketing contacts, active profiles, monthly sends, seats, organizations, or a combination.

For example, do not compare HubSpot Professional’s $800 monthly price with Brevo Starter’s $9 price as though they provide the same product. One is an advanced all-in-one marketing tier with onboarding and marketing-contact allowances; the other is a low-volume email tier with a different CRM and automation scope.

Pricing traps to check

  • Contact definition: Are unsubscribed, non-subscribed, inactive, or archived records billed?
  • Active-profile billing: Does a profile become billable after an event, message, or engagement?
  • Send ceilings: Is the allowance daily, monthly, or tied to the contact tier?
  • Seats: Are marketing users, sales users, and CRM users charged separately?
  • Add-ons: Are pipelines, attribution, advanced reporting, SMS, or transactional email separate?
  • Onboarding: Is implementation mandatory, recommended, or entirely your responsibility?
  • Annual contracts: Can you cancel monthly, and what happens to prepaid service?

CRM platform or separate CRM and email service?

An integrated platform is simpler when you want one source of truth. It can reduce duplicate records, conflicting lifecycle stages, broken handoffs, and reporting mismatches. It may also cost more and create greater vendor lock-in.

A separate CRM and email service can provide best-of-breed functionality. You might pair a sales CRM with an ecommerce email platform or newsletter service. That approach can be sensible when sales and marketing have very different requirements, but only if you budget for integration, field mapping, duplicate handling, consent synchronization, API limits, monitoring, and troubleshooting.

Choose an integrated platform when simplicity, shared data, and one reporting model matter most. Choose separate tools when a specialist capability, such as ecommerce event marketing, materially improves revenue and the integration is reliable enough to maintain.

  • Track bounces, spam complaints, unsubscribes, and suppression lists.

Google’s sender guidance requires all senders to use SPF or DKIM and requires bulk senders to use SPF, DKIM, DMARC, valid DNS, TLS, low spam rates, and aligned domains. For marketing and subscription messages sent at more than 5,000 messages per day to personal Gmail accounts, Google requires one-click unsubscribe and a visible unsubscribe link. United States marketing email

CAN-SPAM applies to commercial email, including business-to-business messages. Requirements include accurate header information, non-deceptive subject lines, a valid physical postal address, a clear opt-out mechanism, and prompt processing of opt-outs. The business remains responsible even when a third-party platform sends the email. Review the FTC’s CAN-SPAM guide.

CAN-SPAM does not make purchased lists a safe strategy. Purchased data creates legal, reputation, consent, and deliverability risks, and the sender remains responsible for compliance.

UK and European recipients

For UK recipients, PECR generally requires consent for unsolicited electronic marketing to individuals, subject to limited soft-opt-in exceptions. Do not overvalue open rates

Opens are not a clean measure of human attention. Apple Mail Privacy Protection and mailbox security systems can create artificial or incomplete open signals. Clicks, replies, purchases, qualified leads, conversions, and revenue are generally more useful decision metrics.

Your CRM should preserve the consent source, consent timestamp, subscription type, unsubscribe status, suppression history, and—where relevant—the legal basis for processing. It should also distinguish promotional email from receipts, password resets, shipping notices, and other transactional messages.

Common failure modes

Contact-count surprises

Mailchimp counts subscribed, non-subscribed, and unsubscribed contacts toward its contact total, while Klaviyo’s core free and paid marketing model uses active profiles. HubSpot emphasizes marketing contacts, and Brevo combines contact-storage allowances with send-volume tiers. These models are not directly comparable.

CRM add-on surprises

A plan may advertise CRM features while placing pipelines, advanced sales engagement, lead scoring, attribution, or additional users in a higher tier or add-on. Confirm whether deals, marketing automation, sales seats, and reporting are included in the exact plan.

Data-sync failures

  • One-way synchronization does not write clicks or conversions back to the CRM.
  • Duplicate contacts split engagement and revenue history.
  • Different systems overwrite lifecycle-stage values.
  • Ecommerce events arrive late or with missing product data.
  • Missing consent fields cause contacts to be re-added incorrectly.
  • A won deal does not suppress prospect nurture.
  • Two systems both claim to be the source of truth.

Automation failures

  • Re-entry creates duplicate sequences.
  • A customer stays in a prospect workflow after purchase.
  • Repeated form submissions create multiple records.
  • Time-zone rules send messages at inappropriate hours.
  • Missing data sends a contact down the wrong branch.
  • A workflow has no exit condition.

Attribution failures

  • Five leads from different sources.
  • Two companies with multiple contacts.
  • One active opportunity.
  • One existing customer.
  • One unsubscribed contact.
  • One high-value customer.
  • One contact with missing optional fields.
  • One duplicate record.

Require these workflows

  1. Lead capture: a form creates or updates the person and records the source and consent.
  2. Welcome sequence: send immediately, wait, branch based on a click, and exit when the person becomes a customer.
  3. Sales handoff: a high-intent click increases a score or creates a task, alerts the correct representative, and appears in the CRM timeline.
  4. Customer suppression: a purchase or won deal removes the contact from prospect nurture and begins customer onboarding.
  5. Unsubscribe: after opting out, the contact cannot re-enter a promotional workflow through another list or integration.
  6. Reporting: trace the campaign, click, conversion, opportunity, and revenue, then export the underlying records.
  7. Failure recovery: pause a workflow, identify a failed action, correct the data, and resume without duplicating messages.

  • What counts as a billable contact or active profile?
  • Are unsubscribed and non-marketing contacts billed?
  • What happens when the contact or send limit is exceeded?
  • Are CRM seats separate from marketing seats?
  • Is onboarding mandatory?
  • Is an annual contract required?
  • Does the platform support RFC 8058 one-click unsubscribe?
  • How are transactional messages separated from marketing messages?
  • Can you export contacts, events, consent records, workflow history, and email assets?
  • What happens to historical data after cancellation?
  • Are APIs, webhooks, custom objects, and rate limits adequate for your integrations?
  • Is revenue attribution native or an add-on?

  • Solo consultant or newsletter business: start with Mailchimp or Brevo unless you genuinely need pipeline reporting and sales tasks.
  • Small B2B service company: shortlist HubSpot, ActiveCampaign, and Zoho. Choose based on whether unified breadth, automation depth, or suite value matters most.
  • SaaS startup: prioritize behavioral triggers, onboarding, product events, lifecycle stages, and suppression. ActiveCampaign or HubSpot are logical starting points, subject to integration requirements.
  • Shopify or ecommerce brand: shortlist Klaviyo first, then Brevo if sending economics and multichannel value matter more than advanced ecommerce analytics.
  • Business already using Zoho: compare the total cost and administration of Zoho CRM plus Campaigns or Marketing Automation before adding another vendor.

Is Mailchimp a CRM or an email marketing platform?

Mailchimp includes customer records, segmentation, automation, and a feature it calls Marketing CRM. It is best treated as an email-first marketing platform, however, rather than a full account-and-opportunity CRM. If you need deal stages, sales ownership, complex handoffs, or pipeline attribution, compare it with HubSpot, ActiveCampaign, Zoho, or a dedicated sales CRM.

What is the cheapest CRM for email marketing?

There is no single cheapest option because vendors bill differently. Brevo has a free plan with 300 daily email sends, up to 100,000 stored contacts, and free sales features, while Zoho offers a free CRM edition for three users and 5,000 records. Contact count is less important than process complexity. A business with 300 contacts may need a CRM if several salespeople manage opportunities and marketing must respond to deal stages. A newsletter with 50,000 subscribers may need only an email platform. Buy a CRM when you need shared customer records, ownership, sales handoff, pipeline reporting, or lifecycle automation—not merely because the list is large.

Should I buy an annual CRM subscription?

Run the proof of concept first. Test imports, consent, duplicates, automation entry and exit rules, sales handoff, unsubscribe suppression, reporting, exports, and failure recovery. Annual billing may reduce the monthly rate, but it also increases the cost of a poor migration or a platform that cannot meet your workflow requirements.
