Zoho Books is the strongest cloud-first choice for many Indian small businesses; TallyPrime and BUSY are often better fits for traditional accounting and inventory-heavy operations, while Vyapar and myBillBook are geared toward quick, mobile-first billing. The right choice depends on whether you need full accounting or mostly invoices, how complex your stock and GST workflows are, and whether you need browser-based access or reliable offline billing.

These are starting points, not universal rankings. For pharmacy, distribution, manufacturing, or complex multi-branch work, assess the specific workflows and implementation effort before choosing a general-purpose product.

What “online accounting software” means

“Online” can describe several different setups. A mobile app, cloud backup, and browser-based accounting are not interchangeable. Check where the books are maintained and whether more than one person can work in them at the same time.

  • Native cloud accounting: The books are maintained in an online system that users access through a browser or app. Zoho Books is positioned this way.
  • Desktop accounting with remote access: The main application may run on a computer or hosted desktop. TallyPrime and BUSY are traditional desktop-first choices; remote use can depend on the edition, hosting, or access setup. Tally’s official site is Tally Solutions.
  • Hosted desktop or virtual machine: A desktop program is made available remotely through a hosted environment. That adds hosting, access, security, and support considerations; it is not the same as a native cloud service.
  • Mobile or desktop billing app: Products such as Vyapar and myBillBook focus on billing and shop workflows. Assess whether their accounting controls meet your needs rather than assuming billing features amount to a complete accounting system.
  • Offline-first with sync: Some apps let users bill offline and synchronize later. Ask how invoice numbering, failed synchronization, and duplicate records are handled.
  • Cloud backup: A copy of desktop data stored online may help with recovery, but it does not by itself provide shared, browser-based books or offline operation.

Which product fits your workflow?

Zoho Books: cloud-first accounting

Zoho Books is the leading option to evaluate if you want browser-based books, remote collaboration, and a broader accounting workflow rather than only billing. Its India plans list GST features, reconciliation, inventory, reporting, and e-invoicing, with higher tiers adding areas such as projects, payroll, fixed assets, budgets, forecasting, and advanced inventory. It may be a poor fit if you depend on extensive offline work, deeply customized legacy Tally processes, or sophisticated manufacturing and distribution workflows. A very small business needing only simple bills and payment tracking may not need its broader feature set.

TallyPrime: traditional accounting and offline work

TallyPrime is worth evaluating when your accountant and staff already know Tally, or when your business depends on detailed ledgers, inventory, and established Indian accounting processes. Its desktop-first character matters: remote or cloud-hosted access is a deployment decision, not an automatic consequence of choosing the product. Confirm edition, users, hosting, support, and total licence cost with Tally Solutions.

It is less suited to a team that expects SaaS-style browser collaboration and instant access across devices without additional configuration.

BUSY: stock-led Indian businesses

BUSY is a strong candidate for traders, distributors, retailers, and multi-branch SMEs that need accounting alongside stock controls and Indian GST workflows. Its official plans describe inventory, reconciliation, e-invoice and e-way-bill features, with higher offerings adding capabilities such as multiple GSTINs or multi-branch support. Review the current editions and qualifications at BUSY plans and pricing.

It may be excessive for a freelancer who needs only invoices and expenses, and it is not the first choice for someone whose priority is a simple, native cloud interface. Its pricing page distinguishes perpetual BUSY 21 products from BUSY Magic subscriptions, so compare like with like.

Vyapar: shop billing and mobile workflows

Vyapar is suited to small shops that prioritize fast billing, stock visibility, payment tracking, and mobile use. Its official site promotes GST billing, POS, barcode tools, WhatsApp bills and reminders, e-invoice and e-way-bill creation, offline billing with later synchronization, and Tally data transfer. Check the current offer and device coverage at Vyapar and Vyapar pricing.

Do not choose it solely because it produces invoices if you also need advanced audit controls, financial consolidation, or complex manufacturing accounting. Test its offline workflow in your actual shop conditions.

myBillBook: simple billing for small businesses

myBillBook is positioned for small-business billing, GST, inventory, payment tracking, and multi-device workflows. It is worth comparing with Vyapar if ease of billing matters more than sophisticated accounting controls. Its official site and product comparison page describe that positioning; confirm current plan limits, device coverage, and accounting functions directly before subscribing.

Marg ERP, ERPNext, and Odoo: specialized or wider systems

Marg ERP belongs on a shortlist for pharmacy, distribution, or other inventory-specific operations, not as a default replacement for a freelancer’s accounting app. See Marg ERP.

ERPNext and Odoo make more sense when accounting must connect to procurement, CRM, projects, manufacturing, or other operating processes. They are a different class of purchase from a lightweight billing app: plan for configuration, migration, training, hosting or implementation support as applicable. See ERPNext and Odoo accounting.

Check GST and e-invoicing capabilities precisely

“GST-ready” can mean tax calculations on an invoice, reports for preparing returns, reconciliation against purchase data, or direct filing. Those are distinct capabilities. Ask the vendor or your accountant which workflow the selected plan supports and what still needs review.

  • Can it handle CGST, SGST, IGST, cess, HSN/SAC, reverse charge, credit and debit notes, exports, and the composition scheme as applicable to your business?
  • Does it produce GSTR-1 and GSTR-3B reports, support GSTR-2B or purchase reconciliation, or submit returns through a connected filing workflow? Do not assume one means the others.
  • Does e-invoicing include IRN generation and QR code creation in your plan? Are there transaction limits, API requirements, or extra charges?
  • Can it generate e-way bills, and are limits or plan conditions attached?
  • Can you manage multiple GSTINs, separate invoice series, branch permissions, and inter-branch transactions?
  • Are audit trail, transaction locking, and data retention adequate for your business and accountant?

E-invoice obligations depend on current law, turnover, transaction type, and business circumstances. Software that can generate an IRN does not decide whether a particular transaction must be reported. Confirm applicability and return treatment with a CA and the current GST portal.

Zoho’s pricing page says the Free plan is available indefinitely while annual revenue remains below ₹25 lakh. The page also lists additional users at ₹150 per user per month on annual billing or ₹180 on monthly billing, plus add-ons such as employees, locations, document scans, expense claims, SMS, shipping labels, and BillPay. Before treating any BUSY figure as a total cost, confirm whether it covers the required edition, number of users, renewal, SQL, support, and implementation. Use the official BUSY pricing page for current terms. Vyapar’s official pages promote free-version or trial messaging but do not establish a reliable paid price here; myBillBook’s exact price is likewise not stated.

Build a first-year cost checklist

For any shortlisted product, ask for the amount due in year one and at renewal, with the same number of users and business units included. Include:

  • Plan or licence and applicable GST
  • Extra users, companies, GSTINs, branches, warehouses, or locations
  • E-invoice/e-way-bill quotas and other usage-based charges
  • Hosting, remote access, storage, and backup
  • Support, annual maintenance, training, and implementation
  • Migration, integrations, and paid add-ons
  • Any limits on invoices, data exports, attachments, or transaction volume

Test the workflow before migrating your books

Use a trial or demo with representative data rather than judging from a feature list. Have the person who handles accounts and the person who raises invoices both try the product.

  1. Create a test organisation and configure its GSTIN and relevant tax settings.
  2. Add sample customers, vendors, items, HSN/SAC codes, and tax rates.
  3. Create local and interstate invoices, then test a credit note and purchase return.
  4. Generate the GST reports you and your CA actually use; establish whether the software reports, reconciles, or files.
  5. Test the e-invoice and e-way-bill workflow for applicable transactions, including what requires an online connection.
  6. Import a bank statement and reconcile a small sample of transactions.
  7. Check user permissions, accountant access, approvals, and transaction locking.
  8. Export ledger and invoice data and confirm that attachments or other records you need are included.
  9. If connectivity is unreliable, test offline billing and later synchronization, including the handling of invoice numbers and failed syncs.
  10. Ask your accountant to review sample reports before moving live records.

Plan migration, data access, and continuity

When moving from Tally, Excel, or another system, do not assume a one-click transfer includes complete history. Confirm what can be imported and validate the result before closing the old books.

  • Opening balances, customer and vendor masters, item masters, HSN/SAC, and tax rates
  • Historical invoices, stock quantities, and stock valuation
  • Bank reconciliation, fixed assets, attachments, and audit trail
  • Export formats available, such as Excel, CSV, PDF, or a proprietary file
  • Whether data remains available after cancellation, for how long, and whether downloads are complete

Also ask what happens if an internet connection fails during billing. Confirm whether invoice numbers are reserved locally, how sync conflicts are resolved, and whether e-invoice generation requires a live connection. For a desktop or hosted system, establish who is responsible for backups, recovery, and remote access.

Make the choice using your business’s priorities

If browser-native collaboration and a broad accounting workflow matter most, start with Zoho Books. If established desktop accounting, offline operation, and accountant familiarity dominate, assess TallyPrime. For stock-led Indian businesses, compare BUSY with TallyPrime and, where the industry warrants it, Marg ERP. For basic shop billing with mobile and offline needs, trial Vyapar and myBillBook. Choose ERPNext or Odoo only when the wider operational system justifies implementation effort.

Before deciding, score candidates against your actual needs: GST workflow, accounting depth, online access, billing, inventory, ease of learning, scalability, permissions and auditability, support, and total cost. Give inventory more weight for a retailer or distributor, and cloud access and expense handling more weight for a consultant. A short, realistic trial plus an accountant’s review is more useful than a universal ranking.
