To fill out a federal Form W-4, complete Step 1, complete Steps 2–4 only if they apply to your situation, then sign and date Step 5 and give the form to your employer. The W-4 tells payroll how much federal income tax to withhold from your wages; it is not your tax return and does not set Social Security or Medicare withholding.
What the W-4 does—and what it does not do
Your W-4 is an instruction to your employer for calculating federal income tax withheld from your paycheck. Withholding is a prepayment toward the tax you calculate on your return. If too little is withheld, you may owe when you file; if too much is withheld, you may receive a refund.
The form does not determine your final tax bill or change payroll deductions for Social Security and Medicare. The IRS estimator also does not calculate those taxes, although it can account for Additional Medicare Tax in relevant circumstances. For other income or tax obligations not covered by ordinary wage withholding, you may need to consider estimated tax payments; see the IRS guidance in Publication 505.
How to complete each step of the 2026 W-4
The official 2026 form says: “Complete Steps 2–4 ONLY if they apply to you; otherwise, skip to Step 5.” Use the current form and instructions because amounts and eligibility rules can change by tax year: 2026 Form W-4.

Step 1: Enter your information and expected filing status
Provide your name, address, and Social Security number, then select the filing status you expect to use on your federal tax return. Filing status affects the standard deduction and tax rates used to calculate withholding, so choose the status that reflects your expected return—not one simply intended to increase take-home pay.
Step 2: Account for multiple jobs or a working spouse
Complete Step 2 if you have more than one job at the same time or you are married filing jointly and your spouse works. Without an adjustment, withholding at each job may be calculated as if that were your only income, which can leave too little withheld from the household’s combined earnings.

The 2026 form offers three approaches:
- Use the IRS Tax Withholding Estimator. This is the most personalized route, especially when pay or circumstances are not simple.
- Use the Multiple Jobs Worksheet. Enter the worksheet result in Step 4(c) on the W-4 for the highest-paying job.
- Check the box in Step 2(c) on both W-4s. Use this only when there are exactly two jobs total. The IRS form says this is generally more accurate than the worksheet when the lower-paying job’s pay is more than half of the higher-paying job’s pay.
Complete Steps 3 and 4(b) on only one W-4 when you have multiple jobs, preferably the one for the highest-paying job. Do not repeat the same credit or deduction adjustments on each form.
Step 3: Enter eligible dependent and other credit amounts
Step 3 adjusts withholding for the dependent credits and other credits you reasonably expect to qualify for. Follow the current-year form’s calculation and eligibility rules; do not enter a dependent count or a credit amount merely because someone is part of your household.

A larger Step 3 amount generally reduces the federal income tax withheld from paychecks. That can mean a smaller refund—or a larger amount due—when you file, depending on your actual tax liability and other withholding.
Step 4: Add other income, deductions, or extra withholding
- Step 4(a), other income: Enter estimated income outside wages from jobs if the current form instructions say it belongs here. This can help account for income that does not have ordinary wage withholding.
- Step 4(b), deductions: Enter the amount for deductions beyond the basic standard deduction that you expect and are eligible to claim, following the 2026 instructions and any applicable limits.
- Step 4(c), extra withholding: Enter an additional dollar amount to withhold each pay period. This lowers take-home pay and may help reduce a balance due or increase a refund.
These entries are estimates, not guarantees that you qualify for a credit or deduction or that all tax will be paid through payroll. The IRS’s Publication 505 explains withholding and estimated tax considerations.

Step 5: Sign, date, and give the form to your employer
Sign and date the form, then submit it to your employer—not the IRS. An unsigned W-4 is incomplete. IRS guidance says employers generally must apply a revised form by the start of the first payroll period ending on or after 30 days from receipt, subject to exceptions; see IRS Topic No. 753.

The 2026 estimator is an IRS online tool that can produce a prefilled W-4 for eligible users. Have current pay stubs and year-to-date withholding available. The IRS says the estimator is unavailable to nonresident taxpayers and to people without a job, pension, or annuity with federal income tax withholding. Its result depends on the information entered and is not a guarantee of your final tax result or a substitute for checking credit and deduction eligibility. In its March 12, 2026 announcement, the IRS said use of the updated estimator takes around 25 minutes on average. That is the agency’s average estimate, not a promise of how long an individual will need. The update reflects then-current changes involving tips, overtime, car-loan interest, and the senior deduction: IRS estimator update announcement.
When to review or change your W-4
You can submit a revised W-4 when you want to change federal income tax withholding. Recheck it after a major change that could affect your expected income or tax situation, such as starting or leaving a job, a change in household earnings, a change in expected filing status, or a change in dependents or deductions. For a less straightforward change, use the estimator with updated pay and withholding information rather than relying on an old calculation.
