An office administrator keeps routine office work moving: handling communications and records, preparing documents, scheduling, and supporting staff or visitors. But “office administrator” is a broad job title, not one U.S. occupation with a standard task list. To understand a specific role, compare its posted duties with the closest occupational benchmarks—general office clerk or secretary and administrative assistant—and rely on the employer’s stated requirements and pay range.

What does an office administrator do?

The exact work depends on the employer, industry, and level of responsibility. The U.S. Bureau of Labor Statistics (BLS) describes related occupations rather than one universal office-administrator role. General office clerks often take on changing, mixed clerical work; secretaries and administrative assistants more commonly handle ongoing organizational and staff-support tasks.

General office and clerical work

A role closer to general office clerk work may involve answering calls and email, sorting and delivering mail, greeting visitors, scheduling appointments, preparing or editing routine documents, updating records, processing bills, and entering data. Administrative and staff support

A role closer to secretary or administrative assistant work may include arranging files, preparing documents, managing calendars, arranging meetings, supporting staff, maintaining databases and filing systems, and handling basic bookkeeping. The practical distinction is often how much coordination the employee owns. A vacancy may focus on completing routine clerical tasks, or it may expect independent calendar and meeting coordination, vendor contact, bookkeeping, and broader staff support. Read the actual duty list rather than assuming the title signals a particular level of authority.

How to analyze an office administrator job posting

Use the posting to determine what the employer needs day to day and whether your experience matches that scope. Compare two vacancies across the same factors rather than relying on job titles alone.

  • Task breadth and ownership: Does the role process assigned work, or independently coordinate calendars, meetings, vendors, and staff needs?
  • Industry or specialty: Does it involve general office support, or specialized medical, legal, or other terminology and procedures?
  • Judgment and communication: Is the work mainly routine, or does it require prioritizing requests, interacting with customers, and making decisions?
  • Tools and records: Which word-processing, spreadsheet, database, filing, or document-handling tasks are specified?
  • Experience and training: Does the employer provide on-the-job training, or require prior administrative experience or specialized preparation?
  • Work arrangement: Check the stated schedule, location, and any telework terms. Broad occupational-group statistics do not tell you what a particular employer offers.
  • Compensation: Compare the employer’s pay range with local estimates for the closest occupational category, not with a national figure treated as a guaranteed salary.

What skills and qualifications do you need?

For many entry-level office roles, preparation centers on a high school diploma or equivalent, comfort with word processing and spreadsheets, and the ability to learn office procedures. Communication, organization, accuracy, and writing are useful across the related occupations, alongside the specific software and recordkeeping tasks in the vacancy.

Typical entry preparation

For general office clerk work, BLS says a high school diploma or equivalent is typical and most workers learn on the job. Training may last up to one month and cover office procedures, phone etiquette, and equipment use. Courses in word processing and spreadsheets can help if you are unfamiliar with those applications.

For secretary and administrative assistant roles, high school graduates who are comfortable with word processing and spreadsheets typically qualify for entry-level positions. On-the-job learning commonly lasts a few weeks. The BLS identifies decision-making, interpersonal, organizational, and writing skills as important qualities.

Specialized and senior roles

Some positions require more preparation than a general office job. Legal and medical secretaries may need additional training in specialized terminology and practices. Executive assistants typically need several years of related experience. Treat these as occupation-specific qualifications, not requirements for every job carrying the office administrator title.

Work conditions vary

For the broader office and administrative support occupational group—not office administrators alone—the BLS reported in 2025 that prior work experience was required for 55.6% of workers, on-the-job training for 90.3%, and a high school diploma for 76.3%. Telework was routinely allowed for 21.5%; 76.9% had the choice to sit or stand for critical tasks. These group-level figures provide context, not a prediction of conditions at a particular workplace. What do office administrators earn?

There is no single national median wage for every job called office administrator. The closest BLS wage benchmarks below refer to different occupational groups and are U.S. medians for May 2025; neither is a promised salary for an individual vacancy.

For a realistic comparison, start with the employer’s stated pay range and location. Then consult BLS state or area estimates for the closest occupational category; local wages and job scope may differ from the national median.

What is the job outlook?

BLS projections for 2025–35 show declines in both adjacent occupational groups, but the figures are not forecasts for every position titled office administrator. Projected annual openings remain substantial because many are expected to come from workers leaving an occupation or the labor force, rather than from employment growth.

A declining employment projection and many annual openings can both be true: openings include replacement hiring, not only newly created positions. Use the figures as occupational context, not as a guarantee of how many vacancies will exist in your area.

Bottom line for job seekers

“Office administrator” describes a range of jobs, from routine clerical support to broader administrative coordination. Judge a vacancy by its duties, level of independent responsibility, industry-specific requirements, experience expectations, work arrangement, and stated pay. For wages and outlook, use the BLS category that most closely matches the work and keep its occupation label and date attached to every figure.
