How do you write a press release?
A press release, also called a news release, is a statement that gives the news media information about a significant event. Organizations, their communications teams, or a PR agency acting for them typically issue one. PR Newswire explains the format and its purpose.
Use this workflow to make the announcement clear and useful:
- Identify the news. Write down what changed, who is affected, when it matters, and why the intended audience should care. If there is no meaningful development, do not try to manufacture one with promotional language.
- Draft a specific headline. Summarize the announcement in plain language, preferably with a strong verb.
- Add a subheadline if it helps. Use it for a useful supporting detail, not a rewording of the headline.
- Write a self-contained lead. Put the central development and essential facts in the opening paragraph.
- Build the body with context and evidence. Explain what is new, who is affected, relevant timing, and any details needed to verify or understand the announcement.
- Add a genuine quote. Use an approved statement from a named person whose title is accurate. The quote should add perspective rather than repeat the factual paragraphs.
- Give readers a next step, then identify the organization. Include a call to action only when it is useful. Close with a short organization description and a named media contact who can respond to questions and provide supporting materials.
- Fact-check and edit. Verify names, titles, dates, figures, locations, links, and quote approvals. Remove jargon, repetition, unsupported superlatives, and claims you cannot substantiate.
PR Newswire advises putting the most important news first; a template cannot make a routine announcement newsworthy by itself.

What is the correct press release format?
There is no single mandatory format for every newsroom or distribution channel. A conventional release often uses this order:
- Specific headline
- Optional subheadline
- City and issue date as a dateline, when appropriate for the channel
- Lead paragraph stating the central announcement
- Body paragraphs with context, evidence, and an attributed quote
- Relevant call to action, if there is one
- Organization boilerplate
- Named media contact and accurate follow-up details

What should the first paragraph of a press release say?
The lead should state the main development and answer the relevant who, what, when, where, and why. Not every announcement needs all five details in the same sentence, but readers should understand what happened and why it matters without first wading through company background. Put secondary context later.
How do you write a press release headline?
Make the announcement immediately recognizable. Prefer concrete wording and an active verb over vague claims such as “revolutionary” or “industry-leading” unless those descriptions can be substantiated and are genuinely newsworthy.

PR Newswire recommends a headline of no more than 100 characters, preferably 70 or fewer; Cision also suggests aiming for 70 characters or less, in part because some interfaces may truncate longer headlines. These are publisher recommendations, not universal rules or proven thresholds for media coverage. A branded headline can suit some announcements, but the news itself should still be clear.
What should be included in a press release?
- The announcement: What changed and why the development is relevant.
- Essential details: The people or organization involved, timing, location when relevant, and who is affected.
- Verifiable support: Context or evidence for factual claims. If you use statistics, identify their original publisher and year, and preserve the scope of the original finding.
- An approved quote: A real statement from a named person with an accurate title, adding explanation or perspective.
- Optional next step: A relevant action for readers, such as where to find event details or product information.
- Boilerplate and media contact: A concise description of the organization and accurate details for press follow-up.
Images or other multimedia can help explain a story when they are relevant and available, but including an asset does not guarantee attention or engagement.

How long should a press release be?
PR Newswire recommends 300–500 words as a practical range. Treat that as guidance rather than a universal standard or a proven formula for coverage. A short release is preferable when it contains everything needed to understand and assess the news; extra length is justified only when it adds necessary context or substantiation.

Make the release relevant to the journalists and audience you are trying to reach. Identify reporters who cover the subject, personalize direct outreach, and make it easy to assess the announcement quickly. Be ready to answer follow-up questions and provide supporting materials.

Direct outreach offers more control over targeting and personalization; distribution can broaden circulation but may involve a cost.
