Choose a design that fits your profession and experience, then simplify it before submitting it through an employer portal. Remove photos, icons, skill bars, sidebars, and decorative graphics when they carry information that an applicant-tracking system needs to read.

That flexibility comes with an important limitation: Canva is a design tool, not an ATS-compatibility guarantee. A template with columns, text boxes, photos, graphics, headers, footers, or image-based styling can be harder for resume-parsing software to interpret. Greenhouse’s parsing guidance lists those elements among common causes of unsuccessful or incomplete parsing, while Workday explains that results can vary according to the resume format and word order.
So the practical answer is:
- Use Canva’s visual strengths for creative roles, direct email, networking, portfolio sharing, auditions, and printed resumes.
- Use a simplified, text-first version for online applications, especially at large employers.
- Keep a Word or Google Docs version when an employer requests DOCX or when the Canva export does not extract cleanly.
No Canva template should be described as universally ATS-proof. The result depends on the template’s structure, the export, the employer’s software and configuration, and how the document is processed.

How to choose the right template
Match the design to the role
For traditional or corporate roles, prefer a white background, one restrained accent color, a prominent work-history section, and no photo, illustration, skill bar, or portfolio collage. The Minimalist White and Grey Professional, Minimalist Modern, and Professional Modern CV designs are the strongest starting points in that group.
Technology, engineering, and data applicants should prioritize searchable skills, tools, programming languages, platforms, certifications, and detailed project bullets. Avoid percentage bars such as Python 80% or Leadership 90%. They are subjective, may be meaningless to a hiring manager, and may not be interpreted as skills by a parser. Write the skills plainly instead.
Creative professionals can use more visual freedom when the resume is part of a portfolio. Even then, include a portfolio URL and describe actual outcomes, credits, clients, publications, releases, exhibitions, or responsibilities. A resume should summarize the work; it should not try to become the entire portfolio.
Match the design to your experience
- Limited experience: Choose a one-page layout with room for education, projects, internships, skills, volunteer work, and relevant part-time employment.
- Several years of experience: Choose a template with enough room for accomplishment bullets rather than oversized headings or graphics.
- Long career: Use a design that can expand to two pages without making the type tiny or the spacing cramped.

How to make a Canva resume more ATS-conscious
An applicant-tracking system, or ATS, may extract resume text into fields used by recruiters. The goal is not to make a resume ugly; it is to make every important fact easy for both a person and software to locate.
Prefer a single-column structure
A single column with a conventional top-to-bottom order is the lowest-risk approach. Two columns and sidebars can look efficient on screen but may be read in an unexpected sequence. CareerOneStop advises avoiding columns, tables, text boxes, logos, images, and graphics when formatting for online systems. This is practical guidance, not a universal technical rule for every parser.
Use standard headings
Use headings such as Professional Summary, Experience, Education, Skills, Certifications, Projects, Publications, or Awards. A creative label such as My Story may be understandable to a person but provides less predictable structure than Professional Summary or Experience.

Make every important detail text
Write your name, phone number, email address, city and state, LinkedIn URL, portfolio URL, employer names, job titles, dates, and skills as selectable text. Do not use an envelope icon instead of an email address, a pin icon instead of a location, or a progress bar instead of a skill.
Keep contact details out of headers and footers when possible. Greenhouse identifies headers, footers, text boxes, graphics, photos, columns, tables, and unclear sections as potential causes of parsing problems.
Remove decoration that does not help the hiring decision
Before downloading, delete:
- Photos for most U.S. applications
- Skill bars, stars, circles, charts, and rating scales
- Icons that replace written contact details or skills
- Large background shapes and illustrations
- References or references available on request
- Generic hobbies and irrelevant interests
- Long, vague About Me text
- Empty placeholder sections
Keep color if it improves hierarchy and remains readable. The main ATS concern is not that a resume contains color; it is whether important content is hidden in graphics or arranged in a structure that software cannot reliably interpret.
Tailor the words to the job
Compare the job description with your resume and truthfully use relevant terminology. If the posting asks for SQL, Tableau, account management, budgeting, project coordination, or Adobe Illustrator and you have that experience, write the term in a skills section and in a relevant accomplishment bullet where appropriate. Do not add keywords for tools or duties you cannot support.

Replace duty-only bullets with evidence. For example:
- Weak: Managed social media accounts.

Should you include a photo?
For most U.S. job applications, leave the photo off. The U.S. Equal Employment Opportunity Commission explains that employers generally should not ask applicants for photographs before making an offer, subject to limited identification-related exceptions. A photo can also consume valuable space and create an unnecessary parsing or bias concern.
Photo conventions vary internationally, and modeling, acting, entertainment, and some public-facing roles may have different expectations. Follow the employer’s instructions and local convention rather than applying a U.S. rule everywhere. A LinkedIn or portfolio profile can provide a headshot separately.
If you remove a photo from a Canva template, rebalance the page. Enlarge the summary or experience area, adjust spacing, and make sure the page does not look as though a blank image box was simply deleted.

There is no universal one-page rule. Students and early-career applicants often benefit from one focused page. Applicants with substantial experience may need two pages. A complete, readable two-page resume is better than a one-page design with tiny type, cramped spacing, or missing accomplishments. CareerOneStop recommends one to two pages depending on the applicant’s experience, and Canva’s own resume guidance likewise allows two pages when the content warrants it.
Do not add a second page solely to make the design feel balanced. If page two contains only a few lines, remove low-value content or adjust the layout. If your career history genuinely needs two pages, do not reduce the font until it becomes difficult to read.

- Open Canva and search for Resume.
- Browse by style, industry, career stage, or template type.
- Open the live preview and check whether the design is marked Free or Pro.
- Select Customize this template.
- Replace every placeholder with your own information.
- Rename or delete sections that do not apply.

Canva documents can be exported through Share → Download. Canva’s PDF guidance distinguishes PDF Standard from PDF Print: PDF Standard is intended for ordinary digital sharing, while PDF Print is intended for printing.
PDF Standard or PDF Print?
- Online portal: Use the employer’s requested format. If PDF is accepted, a text-based PDF is often a reasonable choice, but test it first.
- Printed resume: Choose PDF Print and inspect the printed result for contrast, margins, and page breaks.
- Employer requests DOCX: Submit DOCX rather than substituting a Canva PDF. Rebuild or maintain the resume in Word or Google Docs.
- Direct email or portfolio sharing: A polished Canva PDF is appropriate, especially for creative work.
Exporting as PDF does not guarantee successful parsing. A PDF can still contain columns, graphics, text boxes, or image-based pages that create problems in a particular system.

How to test the exported resume before submitting it
Use this smoke test on the downloaded file, not just the Canva editor:
- Open the PDF outside Canva.
- Select all of the text and copy it into Notepad or another plain-text editor.
- Check that the name, email, phone number, job titles, employers, dates, skills, and education appear.
- Read the extracted text from top to bottom. Confirm that columns have not been interleaved.
- Search the PDF for important job-specific terms.
- Click the LinkedIn and portfolio links to confirm that they work.
- Check page breaks, margins, spacing, contrast, and the file name.
- If the application portal displays parsed fields, inspect those fields before submitting.
This test is a useful diagnostic, not a guarantee. Workday notes that parsing varies by format and word order, and the same document may behave differently in another employer’s system.
Also check the file size. Greenhouse documents a 2.5 MB parsing limit for resumes uploaded to its system. A photo-heavy or graphics-heavy Canva file can exceed that limit. If an upload fails, check the employer’s instructions and file-size limit, remove unnecessary images, export again, and repeat the text-extraction test.
What to do when the Canva resume fails
The text appears in the wrong order
Likely cause: Two columns, sidebars, layered objects, or text boxes.
Fix: Move the content into a single column, place contact information in the body near the top, or rebuild the resume in Word or Google Docs.
Contact information disappears
Likely cause: The details are in a header, footer, icon, image, or decorative text box.
Fix: Type the name, email, phone, location, and links as ordinary text in the main document area.
The file is rejected
Possible causes include the wrong extension, an oversized file, an image-only export, unsupported PDF structure, missing application fields, or an employer portal that requires DOCX. Read the upload instructions, use the requested file type, reduce graphics, export again, and test the result. If it still fails, rebuild the resume in Word or Google Docs and complete the portal’s manual fields carefully.
