Start with the IRS Form 1040 page for the current form and check the 2025 instructions for revisions and details. Keep the current form open as you work; its printed labels and order are the guide for where information goes.
This walkthrough covers the main decisions and transfers on the return. Your income, deductions, credits, and other circumstances determine which additional schedules you need.
1. Gather your records and confirm the tax year
Form 1040 is the annual federal income tax return filed by U.S. citizens and residents. This guide is for the 2025 tax year, generally filed in 2026. Forms and tax rules change, so use the current 2025 form and matching instructions, and check the IRS pages for updates before filing.
Before filling out the return, gather the records that apply to you. This is a practical preparation list, not a list of documents that everyone must attach:

- Your name, address, Social Security number or other taxpayer identification information, and the corresponding information for a spouse and dependents, if applicable.
- Income statements and records for the income categories that apply to you, such as wages, interest, dividends, retirement income, business income, or investment sales.
- Records supporting deductions, credits, taxes already paid, and any other items you plan to report.
- A copy of your prior-year return, which can help you check identifying details and compare carryover items.

2. Enter your identifying information and dependents
Complete the name, address, taxpayer identification, and dependent portions using the labels on the 2025 form. Transcribe names and identification numbers carefully. The IRS warns that a missing or incorrect Social Security number can increase the tax due, reduce a refund, or delay it.
Identification-number rules can differ for spouses, dependents, people using an ITIN, and nonresident aliens. If one of those situations applies, follow the relevant section of the 2025 Form 1040 instructions rather than assuming the same rule applies to everyone.
3. Choose the filing status you qualify for
The 2025 Form 1040 lists five filing statuses:
- Single
- Married filing jointly
- Married filing separately
- Head of household
- Qualifying surviving spouse
The IRS says, “More than one filing status can apply to you. You can choose the one for which you qualify that will give you the lowest tax.” Qualification is based on your circumstances, not just the label you would use for your relationship. For example, head-of-household eligibility depends on household and support facts, and married-filing rules have exceptions. Check the filing-status section of the 2025 instructions before choosing.

Understand the responsibility on a joint return
On a joint return, spouses combine income and allowable expenses. Both generally sign, and both are generally responsible for tax, interest, or penalties on the joint return. If you are weighing a joint return against separate returns or are unsure about joint liability, review the IRS guidance relevant to your situation or consult a qualified tax professional.
4. Report income and adjustments
Follow the income labels and sequence printed on the 2025 Form 1040. Enter the income that applies to you, then use the form’s instructions to carry totals from any required schedules. Depending on your circumstances, income may include wages, interest, dividends, retirement income, or other categories. Do not report an item merely because it appears on the form; use its instructions to determine whether it applies.
Additional income and adjustments may flow through Schedule 1. Common schedules for particular kinds of income include:

| Schedule D | Certain capital transactions |
| Schedule E | Rental and pass-through income |
| Schedule F | Farm income and expenses |
This is not a complete list of forms that might apply. Check the IRS schedule descriptions and each schedule’s instructions for your specific income.

5. Choose deductions and calculate taxable income
Use the deduction options and lines that apply to you, following the current form and instructions. Itemized deductions are reported on Schedule A. Whether to use a particular deduction depends on eligibility and the applicable 2025 rules; do not assume that a deduction is available to every filer.
Check whether Schedule 1-A applies
The 2025 instructions introduce Schedule 1-A for deductions related to qualified tips, qualified overtime, qualified vehicle-loan interest, and an enhanced deduction for seniors. The IRS lists these maximums for tax year 2025: up to $25,000 for qualified tips; up to $12,500 for qualified overtime, or $25,000 for joint filers; up to $10,000 for qualified vehicle-loan interest; and up to $6,000 for the enhanced senior deduction, or $12,000 for two eligible joint filers. These are ceilings, not guaranteed deductions: eligibility rules and modified-adjusted-gross-income limits apply. Review the 2025 Form 1040 instructions and the Schedule 1-A instructions before claiming an amount.

Continue in the order shown on the 2025 form. Apply credits and calculate tax using the current-year instructions, then include payments such as withholding and estimated tax payments where the form directs. Additional taxes may flow through Schedule 2; additional credits and payments may flow through Schedule 3.
Dependents, education costs, foreign income, Marketplace health coverage, self-employment, and other special circumstances can require additional forms. Use the IRS schedule directory to identify relevant schedules, then follow their instructions to determine whether they apply and how their amounts transfer to Form 1040.

7. Review the refund or amount due, then sign and file
After completing the applicable income, deduction, credit, tax, and payment sections, the return calculates whether you are due a refund or have an amount to pay. Before submitting it, review the completed return against the records you gathered:
- Check names, addresses, and taxpayer identification numbers, including dependent information.
- Confirm that every schedule required for your circumstances is complete and included as directed.
- Recheck arithmetic and every amount transferred from a schedule to Form 1040.
- Compare withholding and estimated payments with your records.
- Follow the current instructions for signatures and submission. A joint return generally requires both spouses to sign.
The IRS Form 1040 page links to filing resources, including free filing options and where-to-file information. Filing addresses and program eligibility can change, so verify the current directions and conditions on the IRS Form 1040 page when you are ready to file.
Should you file on paper or electronically?
The IRS lists tax-preparation software and Free File Fillable Forms among its filing resources. Electronic filing may be useful if you want guided calculations, but the available service, supported forms, eligibility, and terms depend on the current filing season. Check the IRS Form 1040 filing resources for current options. Do not assume that every service is free or supports every return.
