How to Calculate Depreciation on Computer Hardware: A Cheat Sheet

Calculate straight-line book depreciation with cost, residual value and useful life. See how the US five-year MACRS tax class differs from book depreciation.

To calculate straight-line book depreciation for a computer, subtract its estimated residual value from its capitalized cost, then divide by its estimated useful life. For US federal income-tax purposes, computers and peripheral equipment generally fall into the five-year MACRS class, but that tax recovery period is not a default useful life for financial statements. Book depreciation and tax deductions are separate calculations.

Book depreciation: use this formula

Under IAS 16, depreciation is “the systematic allocation of the depreciable amount of an asset over its useful life.” The depreciable amount is generally the asset’s cost less its estimated residual value. The method should reflect how the asset’s economic benefits are expected to be consumed; straight-line is one possible method, not a rule for every computer. Annual straight-line depreciation = (capitalized cost − residual value) ÷ estimated useful life

  • Capitalized cost: the amount recorded as the asset’s cost under the applicable accounting policy.
  • Residual value: the estimated amount recoverable when the asset reaches the end of its useful life.
  • Useful life: the period the entity expects to use the asset, based on its circumstances and expected use.

Illustrative calculation

Suppose a computer has a capitalized cost of $2,000, an estimated residual value of $200, and an estimated useful life of four years. For a full year using straight-line depreciation: ($2,000 − $200) ÷ 4 = $450 annual depreciation. After one full year, its carrying amount would be $1,550 before impairment or other adjustments. These figures illustrate the arithmetic; they are not a recommended computer life or resale estimate.

For a partial first reporting period, apply the entity’s policy and relevant accounting framework. IAS 16 does not establish a universal useful life or residual value for computers; estimates should reflect the asset and be reviewed as required by the applicable framework.

US federal tax: a separate calculation

For tax, depreciation is a deduction for recovering the basis of certain property over the time it is used. The IRS says depreciation generally begins when property is “placed in service”—ready and available for its intended business or income-producing use. Buying a computer does not necessarily mean it is already placed in service. The IRS’s Publication 946 explains the rules.

For US federal tax, the IRS lists computers and peripheral equipment as five-year MACRS property. That is a tax classification, not a claim that every organization should use a five-year book life. Tax deductions depend on the applicable basis, method, convention, placed-in-service timing, business or income-producing use, and any elections or special allowances. Do not apply a book residual value mechanically to the tax calculation.

The IRS’s 2025 table lists these recovery percentages for five-year property under the half-year convention. They are tax-year-specific guidance; verify the correct convention and rules for the actual tax year before calculating a deduction.

These percentages apply to the relevant depreciable basis remaining after any applicable section 179 deduction or special depreciation allowance. Eligibility, elections and the correct convention matter, so the table alone does not determine a taxpayer’s deduction.

Tax-year 2025 provisions are not timeless limits

For tax year 2025, the IRS describes a maximum section 179 deduction of $2,500,000, reduced when the cost of section 179 property placed in service exceeds the $4,000,000 investment threshold. Publication 946 for 2025 also describes a 40% special depreciation allowance for certain qualified property acquired before January 20, 2025 and placed in service during the specified 2025 window, and a 100% allowance for certain qualified property acquired and placed in service after January 19, 2025. Eligibility and elections apply, and these rules should not be carried into another tax year without checking current guidance. Consult IRS Publication 946 for the relevant year.

How book and tax depreciation differ

Question Financial statements under IAS 16 US federal income tax
Purpose Allocate an asset’s depreciable amount over its useful life. Recover eligible business or income-producing property basis through tax deductions.
Life or class Estimated useful life based on expected use and circumstances. Statutory MACRS property class; computers and peripherals generally fall into the five-year class.
Residual value Used to determine the depreciable amount. Tax basis and statutory rules apply; book residual value is not automatically imported.
Method Choose a method reflecting the expected pattern of consumption; straight-line is one option. Use the applicable MACRS method and convention, subject to rules and elections.
Updates Review estimates and method as required by the reporting framework. Check IRS guidance and tax-year law for the relevant year.

IAS 16 applies to IFRS reporting; it is not the accounting rule for every jurisdiction or national GAAP. The tax example here is limited to US federal rules. Other countries’ tax systems and accounting frameworks may differ.

  • For book reporting: estimated useful life, residual value, method and accumulated depreciation.
  • Separately for tax: method, convention and any applicable elections or special allowances.

The actual book life and tax deduction cannot be determined from the asset label alone: they depend on the reporting basis or jurisdiction, dates, cost, use, estimates and applicable tax rules.
