Renting Grain Bins: How to Set a Fair Rate and Write the Agreement

Grain-bin rent is negotiated locally. Compare what rates include, choose a clear payment basis, and put equipment, utilities, grain care, and removal terms in writing.

There is no reliable nationwide price for renting a grain bin. Rates are negotiated locally and depend on capacity, location, condition, equipment, services, and who pays for utilities, labor, repairs, and grain losses. To set a fair rate, compare current local farm-storage offers with commercial storage and the owner’s costs, then agree in writing on the rent basis, payment dates, responsibilities, and grain-removal deadline.

How much does it cost to rent a grain bin?

Use local quotes as the main guide. Iowa State University Extension recommends comparing current farm-storage rates, commercial elevator rates, and the owner’s costs. Commercial rates are a reference, not a direct equivalent: a farm renter may do more of the handling and grain management and take on spoilage or shrinkage risk, so a discount may be appropriate. The Iowa State page was updated in August 2024; its example charges illustrate the method and should not be treated as current local prices. Iowa State Extension’s farm-storage rental guidance explains these approaches.

A dated regional survey can provide context, but it cannot establish what a bin should cost elsewhere. University of Missouri Extension’s 2024 survey reported the following averages. It included only 10 responses, so treat the figures as Missouri evidence, not national rates.

These averages vary substantially by bin-size group and come from small respondent groups. The survey does not establish a rate for a particular bin, location, or package of services. See University of Missouri Extension’s 2024 custom rates survey for the underlying results.

Adjust a comparison for what the rent includes

Ask what each quoted rate covers before comparing offers. A lower price may leave the renter responsible for equipment, electricity, handling, or grain management, while a higher one may include some of those items. Nebraska Extension identifies location, size, condition, access for loading and unloading, aeration, repair responsibilities, and local supply and demand as factors in negotiating a fair rate. Its publication dates to 2000, so it is useful for these enduring considerations, not as evidence of current prices. Nebraska Extension’s grain-bin rental guidance sets out the factors.

Choose a rent basis and payment schedule

State exactly how rent is calculated. Common approaches include a fixed annual charge, a monthly charge, or a per-bushel rate tied to the quantity stored. With annual rent, the charge may apply even if the bin is used for only part of the year or not used at all. Monthly rent can instead track the months of use. For a per-bushel rate, specify whether the calculation uses the bin’s stated capacity or the actual volume stored.

Record when payment is due. Iowa State Extension describes arrangements that require a minimum payment at the beginning and the balance when grain is removed, as well as arrangements that collect payment at removal. The parties should choose the schedule and write it into the agreement rather than rely on an assumption.

What the grain-bin rental agreement should cover

A written agreement helps prevent a disagreement over what was rented, what the price covers, or who is responsible when grain or equipment is damaged. Include the following terms, tailored to the arrangement:

  • Bin and included assets: Identify the bin, its location and capacity, and the access provided. List any included dryer, leg, handling equipment, or other parts of the system.
  • Rent calculation: State the price and unit—such as a fixed annual amount, dollars per bushel, or dollars per bushel per month—and define the quantity used to calculate it.
  • Payment: Set out any advance or minimum payment, the balance due, and the payment dates or events that trigger payment.
  • Term and removal: Write down the start and end dates and when grain must be removed. Iowa State Extension suggests September 1 as a removal point so storage is available for the next crop, with a new arrangement if storage continues beyond then. That is Extension guidance, not a universal legal deadline; set a date that fits the parties’ location and cropping schedule.
  • Utilities, operation, and upkeep: Assign the cost of electricity, fan and stirator operation, drying, repairs, and maintenance. Iowa State recommends a separate electricity meter where possible; if there is none, agree on how usage will be estimated and charged.
  • Grain management and risk: Identify who checks and manages the grain, who decides when fans run, and who is responsible for shrinkage, spoilage, or other damage. The cited guidance does not prescribe a universal allocation, so make the parties’ agreement explicit.

If the bin is not part of a land lease, identify it as a separate leased asset rather than assuming the land agreement covers it. Missouri Extension notes that these assets may be rented for fixed payments or under flexible arrangements based on use. Missouri Extension’s farm lease guidance discusses separate leases for grain bins and other assets.

Compare a farm bin with commercial storage

Compare the total cost for the expected storage period, not just the headline rate. Include handling and labor the renter must provide, electricity and drying, equipment access, loading and unloading convenience, grain-management duties, and responsibility for losses. Commercial storage can help anchor a negotiation, but the farm-bin price may reasonably differ when the renter takes on work and risk that a commercial provider would otherwise handle.

Use the right agreement for the arrangement

A private rental between a bin owner and a producer is not the same as storage under a federal warehouse program. USDA Agricultural Marketing Service describes its Uniform Grain and Rice Storage Agreement for warehouse operators storing grain in which the Commodity Credit Corporation has an interest. It should not be treated as the default form for a neighbor-to-neighbor bin rental. USDA AMS’s grain warehouse information explains that separate program context.

Rates and legal terms vary by location, season, bin features, and included services. The figures above are a small Missouri survey from 2024, not a current nationwide benchmark, and the guidance cited here does not determine local legal or insurance obligations. For a Manitoba farm, the provincial government also provides a Grain Bin and Farm Building Rental Cost Planner; its application is specific to Manitoba.
