The best online bookkeeping service depends on what your business needs done: monthly transaction categorization and reconciliations, accrual accounting for investors, tax support, or a broader outsourced finance team. For a straightforward QuickBooks Online setup, QuickBooks Live or Merritt may fit; startups needing accrual support may prefer Pilot; businesses looking for broader accounting and back-office help can consider Bookkeeper360. How to choose an online bookkeeping service

Start with the work you need, not the monthly headline price. Basic bookkeeping commonly covers transaction categorization, account reconciliation, and financial reports. Check software, contact, and exit arrangements

Confirm compatibility with your accounting platform and business systems before onboarding. QuickBooks Live is for QuickBooks Online users, while Bookkeeper360 supports QuickBooks Online and Xero. Pilot is described as integrating with QuickBooks, Shopify, and Gusto. Bench uses its own bookkeeping software, so ask how records can be exported or transferred if you leave. The publishers use different criteria and do not establish one objectively best provider. It is not a full back-office or tax-preparation package. Intuit says monthly service does not include sending invoices, paying bills, inventory management, accounts receivable or payable management, financial or tax advice, tax-return filing, 1099 preparation or sending, or payroll management. Cleanup takes about 30 days after Intuit receives the required information. Intuit says the service may not suit extremely complex businesses, businesses dealing in foreign currency or cryptocurrency, or businesses with heavily mixed personal and business expenses. Its comparison lists $355/month as the starting price when billed annually, followed by listed tiers of $625 and $895/month. NerdWallet also reports that clients are assigned a team rather than a single point of contact.

This may suit a business that wants accounting-platform compatibility and the option to add services. Ask which plan includes the bookkeeping cadence and support you need, what triggers a higher tier, and whether the assigned team provides a named day-to-day contact. 3. Pilot: for startups that need accrual bookkeeping

NerdWallet characterizes Pilot as startup-oriented and says it supports accrual accounting, with integrations including QuickBooks, Shopify, and Gusto. Listed add-ons include R&D tax-credit services, stock administration, catch-up bookkeeping, and billable expenses.

The comparison lists a $299/month starting price when billed annually, plus an onboarding fee equal to one month of bookkeeping. It also reports a first-year discount for pre-revenue companies and says prices increase above $15,000 in monthly expenses. These are volatile offer details, not a quote; ask Pilot to confirm eligibility, billing, the expense threshold, and exactly what the base plan covers.

Bench may be worth considering if its software and workflow suit your business. Before enrolling, ask what export formats are available, what migration help costs, whether you need separate software for ongoing accounting, and what the optional tax or catch-up work includes.

5. Merritt Bookkeeping: for simpler books and a flat-rate snapshot

NerdWallet lists Merritt at a flat $250/month and describes QuickBooks integration, monthly transaction categorization, simple financial reports, and catch-up bookkeeping. It may fit a business that wants predictable basic bookkeeping rather than a broader accounting relationship.

The trade-off is scope: NerdWallet says Merritt does not offer payroll, HR support, accrual accounting, or tax planning. If you need any of those, ask whether a separate provider is required and compare the combined cost rather than relying on the flat bookkeeping price alone.

6. 1-800Accountant: compare tax advice with the bookkeeping plan

NerdWallet lists $469/month billed annually for the 1-800Accountant plan with bookkeeping. It says all plans include year-round tax advice, but only the highest plan includes full-service bookkeeping. Lower-priced plans may therefore be relevant to businesses seeking tax advice and quarterly reviews rather than monthly books.

Confirm what “full-service bookkeeping” means in the specific plan, the frequency of work, and whether tax-return preparation is included. A provider-authored comparison gives different 2026 starting prices for 1-800Accountant and several competitors; those figures use potentially different plan assumptions and should not be treated as directly equivalent to NerdWallet’s prices.

7. Bookkeeper360: for a wider menu of bookkeeping and back-office work

Fit Small Business lists Bookkeeper360 monthly bookkeeping starting at $399 and weekly bookkeeping at $599. It describes QuickBooks Online and Xero support and cash- or accrual-basis bookkeeping, with optional tax, payroll, sales tax, CFO, and back-office services. It also lists onboarding or prior-bookkeeping projects from $1,000, payroll from $200/month, sales tax from $125/month, and fractional CFO services from $2,000/month.

The broader menu can help a business consolidate finance tasks, but may be more than a very small business needs. These are Fit Small Business price snapshots; ask for a quote that separates recurring bookkeeping from onboarding and each selected add-on.

How to compare prices without being misled

Published prices are snapshots, not a reliable like-for-like quote. A NerdWallet comparison and a provider-authored 1-800Accountant comparison report different 2026 starting prices for several of the same services: for example, NerdWallet lists Pilot at $299/month billed annually, while 1-800Accountant lists $349/month. The provider-authored comparison also lists Xendoo at $395/month, QuickBooks Live at $300/month, and 1-800Accountant at $419/month. These sources do not establish identical plans, billing terms, or included scope, so do not combine their figures into a single ranking.

  • Which accounting method, reports, reconciliations, and bookkeeping cadence are included?

  • What software subscriptions or integrations must you maintain, and what does data export or migration cost if you leave?
  • Can the provider give you one primary contact, and what response and close timelines are included?

Fit Small Business’s framing favors Bookkeeper360 for breadth, Pilot for startups, Bench for bookkeeping with optional income tax filing, and Merritt for flat-rate basic service. Those are that publisher’s editorial judgments, not guarantees of fit. Compare the providers against your own scope and quote rather than assuming any published “best” label applies to your business.

Questions to ask before signing

Will the service replace my accountant?

Not necessarily. Bookkeeping records and organizes transactions; tax preparation, tax planning, audit representation, and financial advice are distinct services. QuickBooks Live explicitly excludes tax-return filing and tax advice. Other providers may offer tax-related add-ons or plans, but confirm the precise service and who is responsible for filing.

What should I prepare for onboarding?

Ask for the provider’s document checklist and confirm access requirements for bank, card, payroll, sales, and accounting systems. For QuickBooks Live, Intuit says cleanup takes about 30 days after it receives the required information; the timeline is tied to receiving that information, not simply to signup.

What happens if I cancel?

Get the cancellation terms and data-transition process in writing. Ask how long records remain accessible, which formats can be exported, whether the provider will assist with migration, and whether access depends on a separate software subscription. NerdWallet specifically reports ongoing financial-data access after Bench cancellation, but this does not establish the exit policy of other providers.
