Strong broker–lender relationships are built through sound file preparation, clear communication and consistent borrower-first decisions—not through familiarity that guarantees an approval, exception, faster decision or better terms. These five practices can help mortgage brokers work more effectively with wholesale lenders while keeping each recommendation suited to the borrower.
Here, “wholesalers” means wholesale mortgage lenders. In the U.S. channel described by the Consumer Financial Protection Bureau (CFPB), a broker solicits the loan and takes the application, while the lender makes the underwriting decision using information the broker provides. A wholesale lending agreement is generally required before a broker originates for a lender. Requirements differ by jurisdiction.

1. Learn a lender’s guidelines before sending a file
Start by understanding the lender’s products, eligibility criteria, documentation requirements and current guideline updates. A lender may be a good fit for one borrower or scenario and a poor fit for another. Knowing its lane helps you avoid avoidable mismatches and ask more useful questions before you submit.
Ask your lender contact which scenarios the lender handles well, what commonly makes a file ineligible, and whether there are overlays or documentation details to confirm. Because product criteria can change, check the lender’s current materials rather than relying on a past file or an informal recollection. The American Association of Private Lenders recommends that lenders keep brokers informed about lending criteria, product offerings and guideline changes, and that brokers understand lender processes and goals.

2. Submit complete, accurate files—and flag complications early
The lender’s underwriting decision depends on the information the broker provides. A well-organized, internally consistent file makes it easier to understand the borrower’s circumstances and identify what still needs attention. Be candid about gaps, unusual facts or potential complications rather than hoping they go unnoticed.
Before submission, confirm what documents and format the lender needs. If a fact could affect eligibility or documentation, raise it with the appropriate contact and ask what supporting information would help. Accurate preparation does not guarantee approval or a particular decision time; underwriting remains the lender’s decision.
3. Make communication prompt, focused and two-way
Agree on an appropriate way to contact the account executive or underwriting contact, and make sure you know who handles different kinds of questions. Share material changes promptly, ask specific questions, and update the borrower when lender criteria or a decision affects the file.
Communication should also flow back from the lender. In a March 20, 2026 article, loan officer Nguyen Mai told Mortgage Professional America, “Better communication or even overcommunication would be helpful,” and called for clearer updates on lender overlays and more attention to broker feedback. That is a practical relationship habit, not a promise that frequent contact will change underwriting outcomes.
4. Use lender feedback and training to improve future submissions
If a file is declined, suspended or returned for more information, ask for a clear explanation when one is available. Record what the lender identified and use it to improve future file checks, documentation or product selection. Treat feedback as a way to understand the lender’s requirements—not as a guarantee that a similar future file will receive the same decision.
Attend relevant lender training and ask how product or guideline changes affect the types of borrowers you serve. The American Association of Private Lenders recommends timely review, constructive feedback, educational resources and training as parts of productive broker–lender cooperation.

5. Keep borrower suitability and transparency at the center
A strong relationship is not, by itself, a reason to place a borrower with a particular lender. Compare available options against the client’s circumstances, including product and guideline fit, lender practices, service, required turnaround, transaction complexity and the likelihood that an exception will be needed. Consider compensation and any potential conflict as part of that assessment.

Its suitability guidance describes assessing the client and product, considering options, explaining the recommendation clearly, providing oversight and documenting the assessment. These are Ontario-specific requirements and guidance, not universal rules.

FSRA also identifies disclosure obligations for Ontario brokerages involving roles and lender relationships, compensation, conflicts and material risks. Disclosure requirements elsewhere depend on local law. Explain relevant relationships and compensation as applicable, and document why the selected option fits the borrower—not simply why it works well for the broker or lender.

Use a consistent set of criteria when deciding which lender to approach. The first four considerations below are reflected in FSRA’s Ontario suitability guidance; communication, feedback and training are also emphasized in industry advice. Apply local suitability and disclosure rules wherever you work.
| Factor | What to assess |
|---|---|
| Product and guideline fit | Does the lender offer a suitable product, and does the borrower appear to meet its current criteria? |
| Service and turnaround | Can the lender’s service and expected process meet the client’s needs? Confirm current expectations rather than assuming a familiar contact changes timing. |
| Complexity and exceptions | How complex is the transaction, and is an exception likely to be required? Confirm the lender’s process for handling the scenario. |
| Communication | Are there appropriate contacts and a clear way to raise questions, share changes and keep the borrower informed? |
| Feedback and training | Can you get useful explanations when a file needs work, and access education about relevant product or guideline changes? |
| Compensation and conflicts | Are compensation, lender relationships or other relevant conflicts appropriately considered and disclosed under applicable rules? |
A lender relationship can make communication and process knowledge more effective, but it should remain one consideration among product fit, service, timing and transaction needs. Verify current lender guidance and follow the rules in the jurisdiction where the loan is arranged.
