5 ChatGPT Prompts to Instantly Improve Your Working Relationships—for Better Preparation

ChatGPT cannot read a coworker’s mind or instantly repair trust, but it can help you prepare. These five prompts separate facts from assumptions, rewrite tense messages, rehearse pushback, make feedback two-way, and create a practical follow-up plan.

ChatGPT cannot instantly repair a workplace relationship, reveal what a colleague really thinks, or make another person respond well. It can instantly help you prepare: separate facts from assumptions, rewrite a defensive message, rehearse pushback, make feedback two-way, and choose a concrete follow-up action.

That distinction matters. Use ChatGPT as a communication editor and rehearsal partner—not as a mind reader or substitute for the human conversation. The five prompts below are designed for tense Slack messages, unclear emails, missed commitments, feedback conversations, cross-functional disagreements, and relationship repair.

What ChatGPT can realistically improve at work

The most useful role for ChatGPT in workplace communication is preparation. OpenAI’s prompt guidance recommends giving the model context, audience, constraints, tone, format, and desired outcome, then refining the result rather than treating the first answer as final. ChatGPT can help with What still depends on people
Preparation: organize what happened and what you want. Whether the other person is willing or able to change.
Drafting: turn an intention into an email, Slack message, or opening sentence. Whether the facts are complete and accurate.
Reframing: flag blame, mind-reading, absolutes, and defensiveness. Whether the message is fair in the actual workplace context.
Rehearsal: practice likely questions, disagreement, or pushback. How the real conversation unfolds.
Reflection: identify your assumptions and possible contribution. Directly obtaining the other person’s perspective.
Follow-through: create an action, deadline, and check-in. Doing what you said you would do.

Do not ask ChatGPT to determine what a colleague “really meant.” Research on interpersonal perspective-taking found that simply imagining another person’s perspective did not reliably improve accuracy; directly obtaining that person’s perspective through conversation was more effective. Use the model to generate possible explanations and clarifying questions, then ask the person directly. Read the perspective-taking research.

There is also a reason to tell the model to challenge you. A 2026 Science study involving three preregistered experiments and 2,405 participants found that sycophantic AI advice increased users’ confidence that they were right while reducing responsibility-taking and willingness to repair interpersonal conflicts. That is why the prompts below explicitly ask ChatGPT to separate facts from interpretations and identify what you may have contributed. See the study via DOI.

Choose the prompt for the problem

If you are thinking… Use
“I do not know what their message means.” Prompt 1: facts, assumptions, and clarifying questions
“I am about to send an angry or defensive message.” Prompt 2: rewrite without removing accountability
“I keep avoiding this conversation.” Prompt 3: rehearse realistic pushback
“I need to give or receive useful feedback.” Prompt 4: make feedback two-way
“The relationship is strained, or I want to strengthen it.” Prompt 5: repair, appreciation, and follow-through

Before you paste anything into ChatGPT

Give the prompt enough context to be useful, but do not paste confidential workplace material by default. Include:

  • Your role and the other person’s role.
  • Whether there is a power difference.
  • The relationship history that genuinely matters.
  • The channel: Slack, email, meeting, one-on-one, or phone.
  • Your desired outcome.
  • Observable facts, including exact wording when useful.
  • What you may have contributed to the problem.
  • Constraints such as length, tone, timing, cultural context, or company policy.

Replace identifying information with placeholders such as [manager], [coworker], [project], and [customer]. Remove names, email addresses, employee IDs, performance-review text, medical or accommodation information, compensation details, customer secrets, unannounced business information, and legal or investigation materials.

Check your employer’s AI policy before entering workplace information. ChatGPT’s privacy depends on your account type, settings, retention controls, connected tools, and your organization’s governance. OpenAI’s responsible-use guidance says workplace policies come first and recommends keeping a human in the loop for important work.

Prompt 1: Separate facts from assumptions and get the other person’s perspective

Use this when: an email or Slack message seems abrupt, tension followed a meeting, you suspect passive-aggressive behavior, or you are tempted to diagnose a colleague’s motives.

Act as a neutral workplace communication coach. My goal is to improve the working relationship and solve the problem, not to prove that I am right.

Context:
- My role: [your role]
- The other person’s role: [their role]
- Our relationship and any power difference: [context]
- Communication channel: [Slack/email/meeting/1:1]
- Desired outcome: [outcome]

Situation:
[Describe what happened using the exact words or observable actions where possible.]

Please do the following:

1. Separate observable facts from my interpretations.
2. Identify assumptions I may be making.
3. List two or three plausible explanations, clearly labeled as hypotheses—not facts or motives.
4. Identify what information is missing.
5. Give me five respectful questions I could ask the person directly to understand their perspective.
6. Suggest one shared goal and one low-risk next step.

Do not diagnose either person. Do not tell me what the other person really thinks. Challenge my account respectfully and identify anything I may have contributed.

What this should produce

  • A list of what actually happened.
  • An uncertainty map rather than a confident motive diagnosis.
  • Questions you can ask the person directly.
  • A shared objective, such as clarifying ownership or agreeing on a deadline.
  • A low-risk next action, such as a private conversation instead of a public correction.

Example: Instead of concluding that a coworker is trying to undermine you because they wrote, “I already handled this,” the prompt can help distinguish the observable message from interpretations such as frustration, confusion about ownership, or a genuine update. You can then ask, “Can we clarify who owns this part going forward?”

If ChatGPT confidently says the colleague is jealous, insecure, manipulative, threatened, or passive-aggressive, discard that section. Ask: “Remove all unsupported motive claims. Replace each one with an observable description or a question I can ask directly.”

Prompt 2: Rewrite a tense message without removing accountability

Use this when: you are angry, your draft contains “always” or “never,” the request is unclear, or a message could sound accusatory.

Review the message below as a workplace communication editor.

My goal is:
[what I want the recipient to understand or do]

Recipient and relationship:
[role, relationship, power difference, and context]

Draft:
[paste the draft]

First, identify:
- Blame or accusation
- Mind-reading or assumed intent
- Absolutes such as always or never
- Vague requests
- Unnecessary emotional intensity
- Missing facts, impact, or deadline
- Any accountability I should take

Then provide:

1. A concise Slack version of no more than 60 words.
2. A professional email version of no more than 150 words.
3. A natural spoken opening for a private conversation.
4. Three specific questions I can ask the recipient.
5. A brief explanation of the most important changes.

Use this structure where appropriate:
observable behavior or situation → impact or risk → specific request → invitation for their perspective.

Keep the message direct and accountable. Do not make it artificially cheerful, submissive, vague, or corporate-sounding. Preserve my intent and natural voice.

Before and after

Original: “You always leave me out of these decisions, and then expect me to fix the problems afterward. This is really frustrating.”

Possible revision: “I was not included in yesterday’s decision about the launch timeline, but I am now responsible for the implementation work. That creates a risk to the deadline. Can we review the decision and agree on who should be involved in future timeline changes?”

The revision does not erase the concern. It makes the situation observable, explains the impact, identifies a request, and leaves room for information the writer may not have.

Do not confuse warmth with effectiveness. Excessive softening can hide the problem, make the request ambiguous, or sound patronizing. The goal is respectful directness—not universal niceness.

If the output sounds like corporate boilerplate, ask: “Rewrite this as something a thoughtful colleague could say aloud. Use plain language, short sentences, and no therapy or corporate jargon.” If it makes you too conciliatory, ask: “Keep the concern and request intact. Make the wording respectful without weakening accountability or implying that I am responsible for the other person’s reaction.”

Prompt 3: Rehearse a difficult conversation with realistic pushback

Use this when: you need to address a missed commitment, repeated communication problem, disagreement with a manager or peer, or corrective-feedback issue.

Help me rehearse a difficult workplace conversation.

Conversation goal:
[what needs to happen]

Participants:
- Me: [role]
- Other person: [role]
- Relationship and power difference: [context]

Situation:
[describe the facts]

My concerns:
[concerns]

What I want to avoid:
[blame, escalation, defensiveness, public embarrassment, etc.]

Run the exercise in two rounds.

Round 1:
- Play the other person.
- Ask me one question or give one response at a time.
- Be realistic, not hostile and not overly agreeable.
- Include possible uncertainty, defensiveness, disagreement, or new information.
- Do not make the other person a caricature.

After Round 1, give me feedback on:
- Clarity
- Specificity
- Listening
- Curiosity
- Accountability
- Emotional regulation
- Whether my request was clear
- Whether I left room for the other person’s perspective

Round 2:
- Let me try again using your feedback.
- Increase the difficulty only if my response is effective.

Finish with:
1. A natural opening sentence.
2. Three phrases for responding to defensiveness.
3. One boundary or escalation phrase if the discussion becomes inappropriate.
4. One follow-up action.

Tell the model not to resolve the conflict for you: “Do not make progress happen automatically. Make me earn it by asking questions, acknowledging impact, and making a specific request.” Otherwise, the simulated colleague may be unrealistically reasonable.

A preregistered 2026 study of 1,371 participants found that 65% of people who prepared with a chatbot initiated a difficult conversation, compared with 59% in the control condition. Among those who actually had the conversation, however, the chatbot-preparation group was not more satisfied with the outcome. The study examined interpersonal conversations generally, not workplace relationships specifically. That supports using rehearsal to reduce avoidance and improve follow-through—not promising a better relationship. Read the study.

LLM role-play for workplace social skills is also an emerging research area, not settled evidence that a generic prompt improves workplace relationships. Stanford’s overview describes this developing direction.

Prompt 4: Turn feedback into a two-way conversation

Use this when: you are giving developmental feedback, asking for feedback, preparing for a one-on-one, or addressing a repeated behavior.

Design a short, two-way workplace feedback conversation.

Context:
- My role: [role]
- Other person’s role: [role]
- Relationship and power difference: [context]
- Purpose of the conversation: [purpose]
- Observable examples: [specific behaviors, dates, or situations]
- Desired change or outcome: [outcome]

Create a 10-minute conversation plan that includes:

1. A respectful opening that explains the purpose.
2. Two specific observations, written without labels or judgments.
3. The effect or risk of each behavior.
4. A clear, realistic request.
5. Two questions that invite the other person’s explanation.
6. A point where I ask for feedback on my own contribution.
7. Three possible responses if they disagree.
8. A mutually agreed next experiment.
9. A follow-up date or checkpoint.

Then give me:
- A natural spoken version.
- A short written version.
- A checklist of phrases to avoid, including mind-reading, absolutes, character judgments, and vague praise.

Do not use a praise sandwich. Keep the conversation specific, fair, and genuinely two-way.

A practical structure is:

  1. Observation: describe the behavior without labeling the person.
  2. Impact: explain the result, risk, or effect.
  3. Request: state what should happen next.
  4. Invitation: ask for the other person’s view.
  5. Reciprocity: ask what you could do differently.

This is a drafting aid, not a guaranteed formula for preventing defensiveness. A 2025 review of 25 years of organizational feedback research found that feedback is more complex than universal rules suggest and is experienced differently across contexts. See the feedback research review.

Do not present the “praise sandwich” as universal science. Genuine appreciation can be appropriate, but burying important corrective feedback between compliments may make the message less clear. Feedback is more likely to be useful when it is specific, fair, timely, and open to a response.

Prompt 5: Repair tension, express appreciation, and create follow-through

Use this when: a meeting went badly, you mishandled an interaction, a relationship became strained, or you want to acknowledge a specific contribution without sounding formulaic.

Help me improve a strained or important working relationship.

Choose the appropriate mode:
- repair after tension
- take responsibility for my part
- express specific appreciation
- reset the working relationship
- maintain a healthy relationship after a successful project

Context:
- My role: [role]
- Other person’s role: [role]
- Relationship and power difference: [context]
- What happened: [facts]
- What I may have contributed: [your contribution]
- What I want to be different next time: [desired change]

Please provide:

1. The main relational issue in neutral language.
2. What I should take responsibility for, if anything.
3. A natural spoken opener.
4. A short written version if a message is appropriate.
5. One concrete action that would demonstrate repair or appreciation.
6. Two questions that invite the other person’s view.
7. A plan for the next two interactions.
8. A follow-up checkpoint.

If I caused harm, make the apology specific: name the behavior, acknowledge its impact, take responsibility, and state the repair I will make. Do not use if-you-felt language, excuses, or performative emotional language.

If I am expressing appreciation, make it specific to an action and its impact. Avoid vague flattery, exaggeration, or language that creates an obligation to reciprocate.

Flag any sign that this situation should be handled through a manager, HR, compliance, union, ombuds, legal, or emergency channel rather than through an informal relationship conversation.

For a repair conversation

A useful apology names the behavior, acknowledges the impact, accepts responsibility, and identifies what you will do differently. For example: “I interrupted you repeatedly in the meeting and dismissed your concern before understanding it. That made it harder for you to contribute. I should have paused and asked a question. In our next project meeting, I will make space for you to finish and I will follow up on the issue.”

Avoid “I’m sorry if you felt offended.” It makes the other person’s reaction the problem and avoids naming your action.

For appreciation

Specific appreciation connects an observable contribution to its effect: “Your handoff included the assumptions and open questions, which helped me finish the analysis without redoing the work.” Avoid vague praise, exaggeration, or gratitude that pressures someone to accept an excessive workload.

Research has associated gratitude with helping behavior at work across experimental, diary, and experience-sampling designs, but appreciation is not a substitute for fair workload, compensation, accountability, or organizational change. See the workplace gratitude research.

The one-line upgrade that makes every prompt better

Append this instruction to any of the five prompts:

Before answering, ask up to three clarifying questions if essential context is missing.

Use a neutral, practical tone. Separate facts, interpretations, and recommendations. Do not invent motives, diagnose personality, or assume that my account is complete. Identify what I may have contributed. Give me at least two reasonable options when trade-offs exist. Challenge me respectfully if I appear to be seeking validation rather than useful guidance.

Keep the final wording natural and suitable for a real workplace. The output is preparation, not a substitute for direct conversation, company policy, HR, legal advice, or professional support.

This add-on addresses the biggest risk in using an agreeable chatbot for conflict: getting a polished confirmation of your existing story instead of useful scrutiny.

How to use the output

  1. Start a chat and paste the prompt. Replace the bracketed fields with anonymized, relevant context.
  2. Answer clarifying questions. If the model asks none, check whether you supplied enough information.
  3. Audit the analysis. Look for invented motives, one-sided validation, missing power dynamics, or advice that conflicts with company policy.
  4. Request the right format. Ask for email, Slack, spoken, or one-on-one language, depending on the situation.
  5. Edit it into your own voice. The goal is a message you can say naturally, not an impressive AI-generated script.
  6. Choose the right channel. Address sensitive disagreement privately when appropriate instead of correcting someone publicly.
  7. Have the human conversation. Do not follow a script mechanically. Listen for new information and update your understanding.
  8. Follow up. Confirm the action, owner, deadline, or check-in date.

If the other person gives you new information, pause and summarize it: “What I’m hearing is that the timeline changed because of the client request—is that right?” Then decide whether your original request still makes sense.

Adjust the prompt for authority and context

Relationship What to emphasize
Peer Coordination, shared goals, mutual adjustment, and clear ownership.
Manager to employee Specific expectations, impact, support, documentation, and the employee’s opportunity to respond.
Employee to manager Power dynamics, privacy, appropriate channels, and any concern about retaliation.
Manager receiving feedback Explicitly invite disagreement and avoid implying that candor will be punished.
Customer or external partner Service obligations, contracts, scope, escalation paths, and the limits of an interpersonal script.

Do not assume the solution is always warmer language. With a peer, collaboration may be the priority. With a direct report, clarity and fair expectations matter. With a manager, the power imbalance may make an apparently casual conversation risky. With a customer, contractual or service obligations may matter more than repairing rapport.

When not to use ChatGPT as your relationship coach

Prompt optimization is appropriate for ordinary friction, ambiguity, drafting, and preparation. It is not the right primary response to:

  • Harassment, discrimination, retaliation, stalking, threats, or workplace violence.
  • Serious bullying or repeated abusive conduct.
  • Immediate safety concerns.
  • Wage, leave, accommodation, or employment-law questions.
  • Formal performance-management, disciplinary, termination, or investigation decisions.
  • Medical, disability, protected personal, or highly confidential employee information.
  • Situations where you have substantial authority over someone and your wording could affect their employment.

In these situations, ChatGPT may help you organize neutral notes or questions, but it should not replace HR, management, legal counsel, compliance, a union representative, an ombuds office, an employee-assistance resource, or emergency services. A prompt cannot fix discrimination, retaliation, chronic understaffing, conflicting incentives, unclear ownership, unfair workload, or a broken process.

Be alert to the possibility that “improve the relationship” is an overly individualistic answer to a structural problem. If the same issue affects many people, changing your wording may be useful but is unlikely to solve the underlying system.

Privacy and ChatGPT settings for workplace conversations

Personal accounts

On a personal Free, Plus, or Pro workspace, you can turn off model improvement through Profile → Settings → Data Controls → Improve the model for everyone → Off. OpenAI says new conversations after opting out will not be used to train models, although chats may remain in your history unless you delete them. See OpenAI’s data-use guidance.

Temporary Chat

For sensitive personal reflection, you can start a new chat and select the Temporary button in the upper-right corner of the web interface. OpenAI says Temporary Chats do not appear in chat history, do not create or use memories for personalization, and are not used to improve models; they may still be retained for up to 30 days for safety purposes. Labels and availability can vary by platform and plan. See the Temporary Chat FAQ.

Temporary Chat is not a reason to paste confidential company information. Also, deleting a chat does not necessarily mean every uploaded file is deleted at the same time; OpenAI says uploaded files can be stored separately in the Library. Review the chat and file-retention guidance.

Business and managed accounts

OpenAI says inputs and outputs from ChatGPT Business, Enterprise, Edu, and the API are not used to train models by default. That does not mean a managed account is invisible to your employer. Organization administrators may control access, retention, export, auditing, monitoring, or other data-handling settings depending on the account and company policy.   • Did the next interaction become easier or more predictable?

  • Does the situation now require formal support or escalation?

ChatGPT takes your side.
Ask: “Give me the strongest reasonable interpretation from the other person’s perspective and identify what evidence would distinguish the possibilities.”
It invents motives.
Ask it to remove every unsupported motive claim and replace it with an observable description or direct question.
The message sounds like HR boilerplate.
Request plain language, short sentences, and wording a thoughtful colleague could actually say aloud.
The rewrite becomes too apologetic.
Tell it to preserve the concern and request while removing blame and assumed intent.
