Why Mortgage Brokers Lose Past Clients Between Renewals—and How to Keep Them

Lender loyalty and automatic renewal notices can push mortgage brokers out of the picture. A structured, personal renewal process helps borrowers compare rates, terms, payments and switching costs before they decide.

Mortgage brokers can lose borrowers between transactions because the existing lender stays visible while the broker disappears. A bank’s renewal notice arrives with a ready-made offer, often before the borrower thinks to seek advice. Retention depends on showing value months earlier with a personal review, clear payment scenarios and a documented comparison—not on assuming a client will remember who arranged the last mortgage.

Why clients drift back to their lender

Incumbency is the biggest structural advantage. Canada Mortgage and Housing Corporation’s 2024 Mortgage Consumer Survey found that 74% of renewers, refinancers and repeat buyers stayed with their current lender. Renewers were also among the consumers most likely to deal directly with a lender rather than use an intermediary.

Familiarity reinforces that habit. The Financial Consumer Agency of Canada (FCAC) reported in 2025 that 37% of borrowers chose a lender because they already banked there. The lender already has the customer’s account, payment history and contact details, so a renewal message can feel easier than restarting a search.

Price still creates the strongest opening for a competitor. In CMHC’s 2024 survey, 41% identified a better interest rate as the leading reason to switch. Better terms and conditions and better client service each accounted for 9%. FCAC’s 2025 research found that people considering a future switch cited better interest rates (77%), better product terms (21%), perks or offers (18%) and better client service (13%). A broker who contacts a client only to ask whether they have received a renewal letter is competing on the lender’s timetable, not the borrower’s decision.

“Why did my mortgage broker stop contacting me?”

Most broker relationships are organized around a transaction: application, approval, closing and a final reminder. Without a renewal workflow, the next scheduled task may be years away. Contact information can change, a borrower’s income or plans can shift, and the broker may not know when the original term ends.

That silence is costly because the lender’s automatic process keeps working. A renewal notice can arrive with a simple acceptance path while the broker remains out of sight. There is no official Canadian statistic that measures a standardized broker-client churn rate specifically between renewals, but the loyalty figures show why an unplanned gap is dangerous.

Why renewal timing matters more in 2025 and 2026

Payment affordability makes the next conversation more urgent. Bank of Canada analysis published in 2025 estimated that five-year fixed-rate borrowers renewing in 2025 or 2026 could face average payment increases of 15% to 20%. Five-year fixed mortgages represent about 40% of Canadian mortgages, and borrowers renewing in 2026 were expected to see an average increase of 20%.

Those are averages, not a forecast for every household. The actual change depends on the original rate, remaining balance, amortization, new rate and payment schedule. A renewal review should show the borrower’s own numbers and discuss practical responses, such as selecting a different term, adjusting amortization where permitted or making an accelerated principal payment. It should not imply that every renewal produces the same shock.

What a retention program should do

1. Build a renewal calendar

Record the mortgage term-end date, lender, balance, amortization and preferred contact method in a CRM or workflow system. Assign an owner and schedule human outreach well before the lender’s automatic renewal notice. The exact lead time can vary by lender and borrower complexity; the key control is that no account depends on memory.

  • Confirm the term-end date and current payment.
  • Set tasks for an early check-in, a detailed review and a final decision window.
  • Log every call, email, document request and promised follow-up.
  • Surface clients whose income, credit, property or moving plans have changed.

2. Send a decision aid, not a rate blast

A short, personalized comparison makes the broker’s work visible. Put the incumbent’s offer beside available alternatives and show the payment at each rate. Include term length, fixed or variable structure, prepayment privileges, portability, penalty method, renewal conditions and any switching costs that are known. Rates attract attention, but terms and service are documented reasons people move as well.

The comparison should distinguish an indicative option from an approved offer and state the date and assumptions behind each payment. That prevents a low headline rate from being mistaken for the lowest total-cost or most flexible choice.

3. Explain payment pressure in plain language

Use the borrower’s balance and remaining amortization to illustrate a current payment, a likely renewal payment and at least one alternative. Show how a shorter or longer term changes both payment and exposure to future rates. Discuss budget impact before recommending a product, and invite the borrower to identify a payment they can sustain.

4. Stay useful between transactions

Periodic check-ins keep the relationship relevant without turning every message into a sales pitch. Ask whether the borrower’s income, debts, household, property plans or credit goals have changed. A move, renovation, investment-property purchase or need to consolidate debt can create a reason to review financing before the formal renewal window.

5. Ask for referrals after value is delivered

A referral request is more credible after a useful review, a solved documentation problem or a clear explanation of options. Asking only at closing trains the relationship around a single transaction; asking after help has been provided connects introductions to an observable benefit.

Should you use your broker again at renewal?

Yes, if the broker will perform a current comparison rather than simply repeat the old recommendation. Ask for the lender’s renewal offer to be reviewed alongside alternatives, including penalties, transfer fees, flexibility and payment consequences. A broker may find a better overall fit, but cannot guarantee a lower rate: pricing depends on the borrower’s profile, property, loan-to-value ratio, lender policies and the market on that date.

The FCA’s UK Financial Lives 2024 survey provides supporting evidence that borrowers value this broader role: among UK broker users, 90% said the broker understood their needs, 81% reported receiving impartial advice and 73% said the broker helped them consider options they had not thought of. These figures are UK results, not Canadian measurements, but they illustrate why advice must extend beyond quoting a rate.

How early should you talk to a mortgage broker?

Start when there is enough time to understand the renewal offer, gather documents and investigate alternatives before the lender’s deadline. Earlier contact is especially important when payment affordability is uncertain, credit has changed, self-employment income must be documented, a move is possible or a transfer could involve penalties and fees. The broker should tell you what is known, what still needs verification and when a rate or approval could expire.

Why did my bank’s renewal notice arrive first?

Your lender controls the existing account and can issue a renewal offer through its normal servicing process. That does not mean the offer is the best available or that you must accept it immediately. Send the notice to your broker, ask what assumptions it uses and compare the complete cost and flexibility of alternatives before signing.

Retention approaches compared

Approach Timing Human contact What is compared Payment education Follow-up ownership Cost and compliance burden
Automatic reminder only Near expiry Minimal or none Usually the incumbent rate Not stated Often unclear Low operating cost; weak audit trail
Rate-only outreach Near expiry Some Headline rates Limited Varies Moderate effort; can omit material terms
Structured renewal review Well before expiry, then scheduled checkpoints Personalized conversation Rate, total cost, penalties, terms and flexibility Borrower-specific scenarios Named owner and logged tasks Higher staff and documentation effort; requires consistent compliance controls

Questions to ask before accepting an offer

  • What will my payment be under the proposed rate, term and amortization?
  • What is the total cost over the term, including fees and penalties that can be estimated?
  • How do prepayment privileges, portability and penalty calculations differ?
  • What happens if I move, refinance or need to break the mortgage early?
  • Which assumptions are confirmed, and which depend on an underwriting decision?

FCAC summarizes the decision appropriately: “Each mortgage holder’s journey is different, and what works for one person may not suit another.” A broker who makes that difference visible before renewal has a better chance of remaining part of the borrower’s next decision.
