Why EPFO Claims May Be Rejected: Outdated Details and Errors Explained

EPFO claim problems can stem from mismatched UAN, Aadhaar, PAN or bank details. Start with the reason in your claim status and use the correction route that applies to your record.

If your EPF claim is rejected, start with the specific reason shown in your claim status in the EPFO member portal. A mismatch in UAN profile details, Aadhaar, PAN or bank information can obstruct processing, but EPFO has not published a complete, current ranking of rejection reasons. The correction route depends on which record is wrong and what the portal makes available to you.

Check the claim status before changing details

Sign in to the EPFO member portal and read the reason attached to your individual claim. Use that reason to identify the record that may need attention: your UAN profile, Aadhaar, PAN/KYC, bank account or employment-service details. Do not assume a general list can diagnose your case; the status shown for your claim is the starting point.

Compare the relevant UAN information with the underlying identity or employment record, then follow the correction option currently available in your account. Portal labels and workflows can change, so confirm the current process in the member portal.

UAN profile details may be stale or inconsistent

An incorrect or outdated name, date of birth, gender, parent detail or service date can conflict with identity or employment records used in processing. EPFO said in a 19 January 2025 profile-update release that members whose UAN is validated through Aadhaar can update listed profile fields themselves without uploading documents. Some cases, including certain UANs obtained before 1 October 2017, may still require employer certification; the self-service route is not available for every member or every case.

EPFO reported that profile/KYC issues accounted for about 27% of member grievances. That figure describes grievances, not the share of claims rejected. The same release said almost 45% of correction requests routed through employers in FY 2024–25 could be self-approved under the revised process, eliminating nearly 28 days of employer-approval delay on average for eligible requests. These are EPFO’s reported process figures, not a prediction of how quickly an individual correction will be completed.

Aadhaar may not match the UAN, or the wrong Aadhaar may be linked

First distinguish a mismatch in identity fields from an incorrect Aadhaar number linked to the UAN. EPFO’s 13 August 2025 instruction sets out different routes for these situations:

  • Name, gender and date of birth match Aadhaar: the employer can seed Aadhaar to the UAN through KYC in the employer portal.
  • One or more of those fields do not match: the employer can file a correction using the online Joint Declaration (JD) process.
  • The wrong Aadhaar is linked: the employer can submit the correct Aadhaar through online JD for regional-office approval.

These routes are described in EPFO’s 13 August 2025 circular on seeding and correcting Aadhaar in UAN. Ask your employer which route applies to the discrepancy; do not send identity documents or numbers to unofficial agents.

PAN or other KYC information may not align

EPFO’s UAN/KYC FAQ says the name in Aadhaar and PAN should match PF records for KYC to succeed, and describes raising a name-change request when there is a mismatch. It also discusses correcting erroneous PAN information through the member portal. Because later profile-update reforms changed some correction routes, treat the FAQ as baseline guidance and follow the workflow currently shown in your account rather than relying on an older approval sequence.

Bank information may be incorrect or not seeded

The bank account associated with your UAN needs to be accurate. Check the account number and other bank details against your own bank records before using the current portal option to add or correct them.

EPFO announced on 3 April 2025 that employer approval was no longer required for bank-account seeding. It also removed the requirement to upload a cheque-leaf image or an attested bank-passbook image with an online claim. The release said 1.7 crore members had benefited from the image-upload relaxation since the pilot began on 28 May 2024; that number does not mean 1.7 crore claims were saved from rejection. An employer-side correction or update may still be pending

Some profile or KYC corrections still require employer action, depending on the member’s case and the portal route available. Contact your employer’s administration or HR team with the issue shown in your claim status and ask whether it needs an employer-filed update, certification or JD correction.

If the employer does not respond, EPFO’s UAN/KYC FAQ advises members to escalate internally and, if there is still no response, submit a grievance through EPFiGMS. The FAQ predates some newer process changes, so use it for escalation guidance, not to override current portal instructions.

What to do next

  1. Read the claim status: note the exact reason displayed in the member portal.
  2. Identify the record involved: compare the relevant UAN detail with your Aadhaar, PAN, bank or employment record.
  3. Use the available correction route: make a self-service update if offered, or contact your employer when certification, KYC seeding or an online JD is required.
  4. Check the claim again: follow the status in the portal after the relevant correction or update has been submitted.
  5. Escalate an unanswered employer request: contact HR or administration first, then use EPFiGMS if there is no response.

EPFO warns members not to disclose their UAN password, PAN, Aadhaar, bank details or OTP to callers or in response to messages. Use official EPFO services and grievance channels rather than paid intermediaries or anyone asking for sensitive details to “fix” a claim.
