What to Do When Your Mortgage Application Portal Is Not Working

A mortgage portal outage does not confirm that an upload succeeded or change a deadline. Learn how to contact your lender, submit documents safely, and verify your application status.

If your mortgage application portal will not open, accept documents, or complete a submission, contact your loan officer or the lender’s mortgage support team promptly. Explain what failed and when, note any deadline, and ask for a lender-approved way to continue. Do not assume an upload succeeded, send financial records through ordinary email without approval, or assume a technical problem extends a deadline. Keep copies of what you submit and ask the lender to confirm that the right team received and can open the files.

First, identify what is failing

“The portal is not working” can describe several different problems, and the next step depends on which one you have. Note whether you cannot sign in, cannot upload a document, cannot complete an electronic signature, or cannot submit the application. Also record the page or task, the time of the problem, and the exact error message if one appears. This gives the lender something specific to investigate and helps you explain what still needs to be done.

  • Sign-in problem: You cannot access the account or reach the application. Report whether the problem involves a password, verification step, or an error after signing in.
  • Upload problem: The site rejects a file, freezes during upload, or gives no clear confirmation that it finished.
  • Electronic-signature problem: You cannot open, sign, or return a document electronically.
  • Final submission problem: You filled in the application but cannot complete or confirm the submission.

These problems may call for different help. An upload error concerns a particular document; a sign-in error may prevent you from reaching all of your tasks; and a failure at final submission may leave the lender unsure whether it received the application at all. Tell the lender which function failed rather than describing every issue simply as an outage. The exact remedy depends on the lender’s portal and instructions, so there is no universal mortgage-portal troubleshooting checklist.

If a screenshot would help explain the error, save one without exposing your password, verification code, or unnecessary personal or financial information. Keep a note of what you were trying to do and whether the page showed any confirmation. Do not treat a progress bar, a closed window, or an apparent end to the upload as proof that the lender received the file.

Contact the lender promptly and ask for a safe next step

Use a phone number or secure contact method the lender has already provided, contact your loan officer, or find the lender’s contact information on its official website. Do not follow an unexpected link in a message or send sensitive records to an address you have not confirmed with the lender. Tell the representative which portal function failed, when it happened, what you were trying to submit, and what deadline applies.

The Consumer Financial Protection Bureau (CFPB) advises borrowers: “Ask your loan officer for precise instructions on how and where to submit the information.” Its guidance also recommends confirming that the right person received the documents. See the CFPB’s guidance on submitting documents and answering lender requests (last modified December 12, 2024).

Be specific about time-sensitive circumstances. For example, tell the lender if you have a purchase-contract date, a rate-lock date, or a deadline the lender gave you. Ask what to do now, whether the lender has a secure alternative submission route, and whether the deadline still applies. A portal failure alone does not establish that a deadline has changed; get the lender’s answer directly.

When you compare ways to reach the lender, focus on whether the contact route is verified, when support is available, what backup submission options are approved, and how receipt will be confirmed. The lender’s official support details matter more than another borrower’s experience or an old phone number found elsewhere. Support hours and procedures can change, so verify current information on the lender’s official website or with your loan officer.

Use only a lender-approved alternative for documents

If an upload is blocked, ask whether the lender can provide another secure portal or upload route, or give you different instructions. Do not assume regular email is an approved substitute. Mortgage records can contain sensitive personal and financial information, so the lender should tell you what channel to use.

When you send documents, submit copies and retain the originals. Afterward, ask the lender to confirm that the correct team received the files and can open them. Keep the confirmation, the name of the person you spoke with, the time of the conversation, and the agreed next step. If the lender says a file is missing or unreadable, ask which document needs attention and how to replace it using the approved channel.

Follow the lender’s instructions for file type, size, and password protection. There is no universal specification for mortgage portals. As one lender-specific example, Chase’s Mortgage Application Timeline page says its Apply center accepts JPEG, PDF, and PNG files up to 5 MB and cannot review password-protected files. Those limits describe the portal on that page; do not assume they apply to another lender or even to a different submission route.

If you need to digitize paper records, a portable document scanner is one optional convenience. It is not a mortgage requirement: you may already have digital copies, or the lender may approve another way to submit documents. No particular scanner is endorsed here, and buying one does not guarantee that its files will meet a portal’s format, size, or security requirements. Check the lender’s rules first.

Check whether the file itself is causing the upload failure

Before retrying, read the portal’s own error message and any lender instructions for that task. Check the file format, size, and whether it is password-protected if the portal says that matters. A rejected file may need to be saved in an accepted format or reduced in size, but do not alter a document in a way that makes it incomplete or difficult to read. If the portal gives no useful explanation, ask the lender what it accepts rather than guessing.

Avoid repeatedly uploading the same sensitive file to an unverified page or link. If you retry through the lender’s confirmed portal, note the time and whether a confirmation appears. If there is still no clear receipt confirmation, contact the lender and ask it to verify the upload before you assume the task is complete.

There is a difference between a file appearing to transfer and the lender confirming it can use the file. A browser message or progress indicator may tell you something happened on your screen, but it does not answer whether the right person received a readable document. Keep any on-screen confirmation, then ask the lender to verify receipt if the task or status remains unclear. Do not send a second copy through a different channel unless the lender approves that approach.

Clarify application status and any timing requirements

Ask the lender to confirm whether it received the application or file, whether the application is considered complete, and whether you need to take another action. A technical error does not by itself establish an extension, preserve an application, or change a lender’s deadline.

For context, CFPB guidance says that to receive a Loan Estimate, an applicant must provide six key items: name, income, Social Security number, property address, estimated property value, and requested loan amount. Lenders generally must send the Loan Estimate within three business days after receiving those six pieces of information. The CFPB page was last reviewed September 11, 2024; see What do I have to do to apply for a mortgage loan?

If you choose to proceed after receiving a Loan Estimate, the CFPB says to notify the lender within 10 business days after the estimate is delivered or mailed, whichever is earlier. Otherwise, the lender may revise the estimate or close the application as incomplete. The CFPB’s guidance, last reviewed September 11, 2024, explains this timing in the same mortgage application guidance. A separate CFPB page says delayed supporting documents can delay closing and advises borrowers to send requested information promptly. Its intent-to-proceed guidance was last reviewed February 2, 2024: What does “Intent to Proceed” mean? These are specific timing rules and guidance, not a general exception for portal outages. Ask your lender how they apply to your application.

In practice, make your status question concrete: “Did you receive my application/document?”, “Is the file complete and readable?”, “Is anything else outstanding?”, and “What deadline applies now?” If you are waiting on a Loan Estimate or deciding whether to proceed, distinguish that question from a later document-upload issue. Ask the lender to explain any relevant action and timing for your particular application instead of assuming the portal problem has paused the clock.

Keep a record and follow up through the agreed channel

Write down whom you contacted, when you spoke or sent a message, what the lender instructed you to do, and when you expect a response. Keep copies of the documents you sent and any upload confirmations or error details. Check the email, voicemail, and postal mail channels the lender uses, and respond promptly to requests. The CFPB recommends keeping contact information current and checking messages regularly in its document-submission guidance.

If the agreed backup route has not produced confirmation, follow up with the lender rather than submitting the same records through a different, unapproved channel. Ask whether the lender can see the documents, whether they are readable, and whether anything else is outstanding. That gives you a clear record of what remains to be done instead of relying on a browser message or assumption.

Delayed supporting documentation can delay closing, so do not let a portal problem sit without a plan. That does not mean you should rush sensitive documents through an unapproved route. Contact the lender promptly, use the method it approves, and check messages for any further request. If the lender asks for replacement or additional information, respond through the agreed channel as soon as you can.

What to tell the loan officer

A concise report helps the lender route the problem. You can provide the following information without sending sensitive documents in an unapproved message:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • The account or application you were trying to access, using only the identifying information the lender requests through its verified contact channel.
  • The task that failed: sign-in, upload, e-signature, or final submission.
  • When it happened, the page or step, and the exact error message if there was one.
  • The document or action involved, without attaching the document unless the lender has approved that channel.
  • Any purchase-contract, rate-lock, or lender-stated deadline.
  • Whether the portal showed a receipt or confirmation, and what the lender wants you to do next.

If the lender’s instructions are unclear, ask for the approved submission method, the deadline that applies, and a way to confirm receipt. CFPB guidance is to submit copies, keep originals, and confirm that the right person received the documents.

Frequently Asked Questions

What should I do first if my mortgage application portal is not working?

Note what failed, when it happened, the page or task, and any error message. Then promptly contact your loan officer or the lender’s mortgage support team through a verified phone number or secure contact route. Ask for the approved next step and whether any deadline still applies.

Can I email my mortgage documents if the upload portal is down?

Do not assume ordinary email is approved. Ask the lender for a secure, lender-approved alternative and use only the channel it specifies. Send copies rather than originals, retain your copies, and ask the lender to confirm the right team received and can open the files.

How do I know whether my mortgage document upload went through?

A progress bar or apparent completion is not proof that the lender received a readable file. Save any confirmation shown, then contact the lender if receipt is unclear and ask it to verify the correct team has the document and can open it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Are mortgage portal file-size and format limits the same at every lender?

No universal specification is established. Check the instructions for your lender and the particular upload route. For example, Chase’s MyHome Apply center page describes JPEG, PDF, and PNG files up to 5 MB and says password-protected files cannot be reviewed; those are Chase-specific limits, not a general rule.

Does a mortgage portal outage extend my application deadline?

Do not assume that it does. Ask your lender to confirm the deadline and your application status. CFPB guidance includes a 10-business-day period to notify the lender if you choose to proceed after a Loan Estimate is delivered or mailed, whichever is earlier; a portal outage is not identified in that guidance as a general exception.

Will a delayed upload affect my closing?

It can. CFPB guidance says delayed supporting documentation can delay closing and advises sending requested information promptly. Contact the lender quickly to arrange an approved submission method and confirm what remains outstanding.

The Bottom Line

If your mortgage portal fails, document the specific problem and contact the lender promptly. Use only a lender-approved backup route, keep copies, and get confirmation that the right team received and can open your documents. Ask directly whether your application is complete and what deadlines still apply; an apparent upload or technical failure does not answer those questions.
