First identify whether the problem is a missing invoice, a portal rejection, an incorrect invoice, or a payment that differs from the amount due. Those situations can require different fixes, and government procedures depend on the country, agency, and whether you are paying a bill or submitting an invoice as a supplier. Start with the official portal or contact route for the agency involved.
Start by identifying the problem and your role
Are you trying to pay an agency’s bill, or are you a supplier seeking payment for work provided to government? A payer-side bill and a supplier-submitted invoice may use separate systems and dispute processes. For example, the U.S. Treasury’s Centralized Receivables Service (CRS) provides a payer route, while the federal Invoice Processing Platform (IPP) supports supplier invoices.

Check the official account before contacting the agency
Navigate from the agency’s official website to its portal rather than relying on an emailed link. Confirm that you are in the account associated with the relevant payer or supplier, then search by invoice or reference number and a suitable date range. Portals may separate drafts, submitted items, rejections, settled items, and overdue balances.
Before reaching out, note the invoice or reference number, submission or payment confirmation, relevant dates, screenshots, and the exact error or rejection wording. This record helps the agency locate the case and makes it easier to explain what happened.

If the invoice is missing
If a search returns nothing, check the account, filters, date range, and any separate status views. Then contact the agency through its published channel and ask whether the invoice was issued, where it was delivered, and whether it can provide a duplicate. Do not assume that an absent portal entry means the bill or submission does not exist.
For a payer-side U.S. example, the Treasury’s CRS portal says a user can make a quick payment using an invoice number and ZIP code and provides links to dispute, payer-information, and installment-agreement forms. That is a specific U.S. federal payment route, not a general method for every government bill.

If a portal rejects your submitted invoice
Determine whether the rejection came from automated portal validation or from the agency reviewing the invoice’s substance. Formal or calculation errors may appear in validation details; a recipient may instead reject an invoice because a fact or content item is wrong. The correction path depends on which occurred.
Use the validation details or rejection comment
Open the rejected submission and read the complete error output or recipient comment. Correct the field or fields identified, using supporting records where needed. If the portal does not explain the problem, ask the recipient or the portal’s official support route which correction it expects.

In Germany’s federal e-invoice guidance, a portal-level formal or calculation error is handled by reviewing validation details, correcting the invoice, and creating and resubmitting it. For a recipient rejection, the guidance says to review the comment; when no reason is provided, it advises checking the invoice carefully and contacting the recipient. This is German federal guidance, not a universal procedure.
U.S. federal supplier example: IPP
The Bureau of the Fiscal Service’s 2026 IPP instructions tell suppliers to sign in to the Collector module, select rejected invoices, open the rejection reason, correct editable data, resubmit, and verify that submission succeeded. IPP displays rejected invoices from the previous 120 days, so a rejection older than that may not appear in that view. The instructions also state, “The Issue Date must reflect current date.” These details apply to IPP, not other portals.

If invoice information is incorrect
Contact the office that issued the bill or receives the supplier invoice. Identify the disputed field, state what you believe the correct value is, and provide or reference evidence such as a contract, order, prior correspondence, or payment record. Ask what remedy the agency requires: a corrected invoice, an adjustment, a replacement invoice, or a formal dispute.
For U.S. federal supplier invoices, the Treasury Prompt Payment FAQ says an agency should identify all defects and reasons when returning an improper invoice and request a corrected invoice. It states that the payment period begins when a proper invoice is received. The FAQ also says an improper invoice should be returned as soon as practicable and no later than 7 days after receipt. This rule is limited to its U.S. federal prompt-payment context; it should not be assumed to govern payer-side bills or invoices in another jurisdiction.

If the payment amount does not match
Open the payment status and details, and compare the posted amount with the invoice and any adjustment information. In the U.S. federal IPP supplier-payment example, a reduced payment may reflect a discount or a Treasury Offset Program collection. Check the payment details or ask the agency to explain the difference before concluding that the portal calculated the amount incorrectly.
Keep a record and ask about escalation deadlines
Use the agency’s published contact route and keep a written record of messages, dates, case or ticket numbers, and promised next steps. If the first office cannot resolve the issue, ask which office handles invoice corrections or disputes and what deadline applies. There is no single escalation deadline established for all governments or invoice types, so confirm the applicable rule with the agency.
