Account reconciliation is the process of comparing two records of the same financial activity, investigating differences, and documenting any needed corrections. For a business checking account, that usually means comparing the bank statement with the business’s checkbook or accounting records. A difference is not automatically an error: deposits made after the statement date and checks that have not cleared are common timing items, but every difference should be identified and explained.
What account reconciliation checks
A reconciliation tests whether two related records agree and, when they do not, shows why. In a bank reconciliation, one record is the bank’s statement and the other is the organization’s own books. The comparison can reveal ordinary timing differences, missing entries, recording mistakes, or transactions that need further investigation.
The IRS’s Publication 583 (12/2024), Starting a Business and Keeping Records describes reconciling a business checking account. Federal agencies have separate requirements for specified Fund Balance with Treasury accounts; those instructions are not a universal rule for private businesses. The GAO Financial Audit Manual, Volume 1 (July 2008) provides audit-control context, not a current regulation for all organizations.
How to reconcile a business checking account
- Check the books first. Start with the prior month’s checkbook balance, add recorded deposits, and subtract recorded disbursements. If the result does not agree with the record total, check the entries and arithmetic before comparing with the bank statement.
- Compare deposits. Match each deposit shown on the statement to the deposits recorded in the books. Note differences in amount and deposits recorded on different dates.
- Match cleared checks. Compare statement checks with recorded checks using both check number and amount. Mark the checks that cleared, then list recorded checks that do not appear on the statement as outstanding.
- List items found on only one record. Examples include a bank charge on the statement that has not yet been entered in the books, a deposit made after the statement date, or a check that has not cleared.
- Investigate each difference. Determine whether it is a timing item, a missing or unauthorized transaction, a recording error, or another issue. The Bureau of the Fiscal Service says, “Reconciliations are not complete until all differences are identified and explained.” See its guidance on types of reconciliations performed by agencies.
- Make and document appropriate corrections. Enter missing transactions or correct errors in the books when warranted. Keep supporting documents and record what action was taken. Treasury guidance for federal agencies calls for adjustments that can be traced to supporting documentation and corrective action that addresses root causes where possible.
- Repeat on a suitable schedule. The IRS recommends that a business reconcile its checking account each month. Treasury’s recurring-reconciliation instructions apply to specified federal agency accounts, not every account or organization. Choose a schedule appropriate to the account’s activity, risk, and reporting deadlines.
Why reconciliation matters
- It clarifies the account balance. Comparing the statement with the books helps establish how much money is in the checking account and brings items such as bank charges into the records.
- It can catch errors and missing entries. A mismatch may point to an incorrect amount, omitted transaction, or other problem in the bank, checkbook, or accounting records.
- It serves as a detection control. Treasury identifies effective reconciliation as a way to detect unauthorized and unrecorded transactions. GAO audit guidance describes reconciliation controls as useful for detecting misstatements related to completeness, cutoff, and summarization.
- It supports usable reporting and review. Federal Treasury guidance connects timely, documented reconciliations with accurate financial data, reporting, and audit support. Its documentation and adjustment instructions address federal agencies; private businesses can use the same principles without treating them as universal legal requirements.
How to interpret differences
Timing items
A deposit made after the statement date may appear in the books but not on that statement. A check that has not cleared may likewise remain in the books without appearing among the statement’s cleared transactions. These differences can be legitimate; they should be listed and followed through rather than treated automatically as errors.

Missing entries or recording errors
A bank charge on the statement but absent from the books is a common example of an item that needs to be recorded. A difference in amount or an entry omitted from either record also warrants investigation and, if confirmed, a correction.
Unrecognized or unauthorized activity
If a transaction cannot be matched to a known deposit, check, charge, or other support, investigate it rather than forcing it into a timing category. Keep a record of the issue, the evidence reviewed, and any follow-up or correction.

What a useful reconciliation record includes
Keep the statement, the corresponding accounting or checkbook records, the list of matched and unmatched items, and the supporting documents for adjustments. Record who prepared and reviewed the reconciliation, what differences were found, how each was explained, and what action was taken. Treasury’s federal guidance emphasizes transaction detail sufficient to identify differences and supporting documents traceable to adjustments; the Washington State Auditor’s bank reconciliation guidance likewise discusses comparison of bank and government accounting records and flexibility in process design.
