Microsoft Teams is a collaboration workspace that brings chat, meetings, calls, files, and apps together. Its defining strength is how it connects those activities with Microsoft 365 tools such as SharePoint, OneDrive, and Office apps—not a proven ability to do things no other collaboration tool can do.
What is Microsoft Teams?
Microsoft describes Teams as a workspace for real-time communication and collaboration, including meetings, file sharing, and apps. Its Support page calls it “the ultimate messaging app for your organization”; “ultimate” is promotional language, but the workspace description captures the product’s broader role.
Teams can support informal conversations, project work, document coauthoring, meetings, and collaboration through other apps and services. Microsoft positions it alongside Outlook, SharePoint, OneDrive, Viva Engage, and Office apps: these tools can serve different needs rather than making Teams the only place an organization works.
How Teams organizes collaboration
Teams and channels
A team groups people around a shared area of work. Channels within a team organize conversations and work by topic, project, or discipline. The channel type determines who can participate and, in some cases, whether collaboration can extend beyond the parent team.

- Great for Music and Talking with immersive sound for listening to music and a noise-canceling mic that ensures that your voice is heard on the other end of a call—not the noise around you.
- On ear controls to adjust volume, start/end calls, and invoke Teams. Plus button controls for power, active noise cancellation (ANC), wireless Bluetooth pairing, and mute on/off or use the flip-to-mute mic feature.
- Certified for Microsoft Teams ensures it’s easy to pick-up or answer Teams meetings, calls, messages, and notifications with a single press to the Teams button. Or apply a longer touch to invoke Cortana voice skills.
| Channel type | Who can participate | Typical use |
|---|---|---|
| Standard | People on the team | Work that the whole team can access |
| Private | A selected subset of the team | Work that should be limited to particular team members |
| Shared | Selected people; it can include people outside the parent team, including external participants when organizational settings permit | Work that needs to cross team boundaries without adding everyone to the parent team |
Organizations control relevant settings, and Microsoft documents external access, guest access, and shared channels as distinct collaboration mechanisms. They do not grant identical access, and a company may not enable every option.
Files, apps, and meetings in context
Channel files are stored in SharePoint. Teams can also use tabs, connectors, and bots to bring app-related work into a channel. Microsoft promotes working with Microsoft 365 apps from Teams and coauthoring documents in real time, so conversations and files can sit in the same work context.

What Teams does—and what the claim about other tools gets wrong
The useful distinction is integration, not exclusivity. Teams combines communication with channels, meetings, files, apps, and Microsoft 365 workflows. The available product documentation establishes those capabilities, but it does not establish that competing collaboration tools lack equivalents.

Slack’s March 23, 2026 comparison characterizes Teams as focused on live interactions and best suited to work centered on Microsoft 365. That is Slack’s vendor-authored competitive framing, not a neutral finding. For a practical evaluation, compare the workflows your organization actually relies on:
- Existing tools: Consider whether employees already use Microsoft 365 and how much work happens in its documents and services.
- Channel membership: Check whether the team needs standard, restricted, or cross-team collaboration, and what external participation your administrators allow.
- Meetings and communication: Compare how chat, calls, and meetings fit into the organization’s day-to-day work and chosen plan.
- Files and apps: Assess whether people benefit from accessing files and related apps alongside channel conversations.
- Licensing: Verify the plans and feature requirements for your organization instead of assuming every capability is included.
There is no universal winner established by these comparisons. The better fit depends on existing tools, administrative settings, licensing, and how people collaborate.

Availability and plan details
Teams is included with many Microsoft 365 licenses, but not necessarily every plan. Microsoft advises administrators to check licensing requirements for the features they intend to deploy.
When accessed in 2026, Microsoft’s U.S. small-business page displayed Teams Essentials at $4 per user per month, paid yearly, and described group meetings of up to 30 hours and 300 participants. These are details of that regional page and plan, not a universal price or guarantee of identical availability elsewhere. Check Microsoft’s current regional plan information and applicable licensing before relying on a price or limit.
