An email blast is a one-to-many marketing or informational campaign. Learn how to choose the right audience, comply with email rules, authenticate your domain, send safely, and measure results.

An email blast is a single marketing or informational email sent to many recipients at approximately the same time. It might announce a sale, invite people to an event, promote a product launch, request donations, share a deadline, or deliver a newsletter issue.

The right way to send one is not to email every address you can find. Use an email service provider, send only to people with an appropriate permission or business relationship, target a relevant list or segment, authenticate your domain with SPF, DKIM, and DMARC, include a working unsubscribe option, test the campaign, and measure clicks and conversions—not opens alone. Modern platforms usually call this a regular email, broadcast, or email campaign. What Is an Email Blast? How to Do an Email Blast the Right Way

An email blast is a broad campaign, but broad does not have to mean indiscriminate. The campaign should go only to recipients for whom the message is relevant and who are entitled to receive it. A well-run email blast protects your subscribers, sender reputation, and business from avoidable complaints, bounces, legal problems, and accidental sends.

What is an email blast?

An email blast is one email campaign distributed to multiple recipients at roughly the same time. The message may be identical for everyone or may contain limited personalization, such as a recipient’s name, location, or selected product interest.

Common examples include:

  • A seasonal sale or limited-time offer
  • An event invitation or deadline reminder
  • A product, service, or feature launch
  • A nonprofit fundraising appeal
  • A service interruption or organization-wide announcement
  • A recurring newsletter issue or community update

The word blast is informal and can suggest that a sender is firing the same message at everyone in a database. That is why platforms such as Brevo and Mailchimp generally use terms such as campaign, regular email, or broadcast. An email blast does not necessarily go to your entire database; a carefully selected segment is often the better audience.

Email blast versus other kinds of email

These categories can overlap in appearance but not in purpose or compliance treatment. A receipt containing necessary order information is not automatically exempt from every law or provider rule. Likewise, promotional content should not be hidden inside a password reset, shipping notice, or other operational message to avoid marketing requirements. The FTC’s CAN-SPAM guidance and Google’s sender guidance both distinguish commercial and transactional purposes.

When should you use an email blast?

Use a broad campaign when most recipients have the same reason to care and the message has one clear purpose. Good use cases include:

  • An offer relevant to a large portion of your active subscribers
  • A time-sensitive event, deadline, or service announcement
  • A product or feature launch for an audience that has expressed related interest
  • A seasonal promotion
  • A nonprofit campaign or community update
  • A newsletter issue whose core content applies to the subscribers receiving it

The central decision is simple: is the audience broad enough, and is the message relevant enough, for one campaign to make sense?

When a blast is the wrong format

Use segmentation or automation instead when relevance depends on:

  • Purchase history or customer status
  • Location, language, or time zone
  • Product interest or service plan
  • Event attendance
  • Engagement level
  • Subscription preference
  • A specific action, such as signing up, abandoning a cart, or completing a purchase
  • A lifecycle stage, such as onboarding or renewal

A welcome series, abandoned-cart reminder, post-purchase follow-up, and individualized account message are usually better as automated or transactional emails. For a dormant list, do not immediately send a large promotional campaign; use a re-engagement or reconfirmation process and suppress people who remain inactive.

Is an email blast spam?

Not necessarily. Bulk describes the scale of a send; spam describes unwanted, abusive, deceptive, or unauthorized email. A permission-based campaign can be bulk email without being spam. Conversely, even a relatively small number of unsolicited commercial messages can produce legal, reputational, and deliverability problems.

Google advises sending only to people who opted in and specifically warns against purchased addresses. Yahoo recommends sending only to users who specifically requested the mail. A public business address, scraped address, or address purchased from a broker is not proof that the recipient agreed to receive your marketing.

The right way to send an email blast: a 12-step workflow

1. Define one campaign objective

Before opening your email platform, complete this sentence:

After reading this email, the recipient should ____.

Possible answers include registering for an event, redeeming an offer, reading an announcement, donating, starting a trial, visiting a product page, or replying to a question.

Choose one primary conversion action. You can include supporting links, but several equally prominent calls to action force recipients to choose among competing priorities. Decide in advance which business result matters: registrations, purchases, donations, replies, or another measurable action.

2. Decide who should receive it

Start with the smallest audience that can reasonably achieve the objective. A whole-list send is appropriate for a genuinely universal announcement. A segment is usually better when the offer, language, timing, or content differs by recipient.

Useful segments may be based on declared preferences, recent activity, product interest, customer status, location, or event history. Begin with groups that are useful and maintainable rather than creating dozens of tiny segments. Mailchimp’s segmentation guidance recommends using behavioral and preference data while avoiding needless complexity and statistically weak segments.

Before sending, check for overlapping segments. Someone included in two campaigns scheduled close together may receive a confusing or excessive number of messages.

3. Audit consent, eligibility, and suppressions

Review the list before importing or selecting contacts:

  • Remove people who unsubscribed.
  • Suppress prior spam complaints.
  • Suppress hard bounces and invalid addresses.
  • Deduplicate email addresses.
  • Exclude people outside the campaign’s geographic, language, product, or customer criteria.
  • Separate marketing subscribers from contacts who agreed only to transactional communications.
  • Confirm that the campaign matches the promise made when the person subscribed.
  • Review inactive contacts and decide whether to re-engage, reconfirm, or suppress them.
  • Record the source and permission status of every contact.

A useful consent record includes the email address, collection date and time, form or source, exact consent language, type of consent, country or region where relevant, selected topic or list, and later unsubscribe or suppression events. Double opt-in is not a universal legal requirement, but it is a strong list-quality and proof-of-consent practice in many situations.

Do not assume a list broker’s claim that a list is opt-in makes it suitable. Consent should cover the sender, the type of content, and the relevant jurisdiction. Canada’s CASL guidance and UK guidance on electronic marketing illustrate why a generic claim of consent is not enough.

4. Use an email service provider, not ordinary BCC

For a real marketing campaign, use an email service provider or campaign platform. It should support:

  • Consent-aware contact management
  • Segmentation and exclusions
  • Automatic bounce and complaint suppression
  • Visible unsubscribe links and List-Unsubscribe headers
  • SPF and DKIM domain authentication
  • DMARC alignment support
  • Test sends and inbox, mobile, and desktop previews
  • Click tracking and UTM parameters
  • Conversion or revenue tracking
  • Scheduling, throttling, or batch sending
  • Role-based approvals
  • Exportable reports and permanent suppression lists

Do not use a personal Gmail BCC send as a substitute for campaign software. BCC hides recipients from one another, but it does not provide consent records, automated suppression, bounce handling, one-click unsubscribe, segmentation, or meaningful reporting. Google says a personal Gmail account can trigger a sending-limit error when a message has more than 500 recipients or when more than 500 recipients are sent in a day; see Google’s sending-limit guidance.

A small personal announcement to a handful of people is different from a marketing campaign. If the message promotes a product, service, event, or fundraising effort, use the campaign workflow.

5. Authenticate the sending domain

Authentication proves that the sending infrastructure is authorized to use your domain. It improves trust and is now required at higher volumes by major consumer mailbox providers, but authentication alone does not guarantee inbox placement.

SPF

Publish a Sender Policy Framework TXT record that authorizes every service allowed to send mail for your domain. Do not create multiple SPF records for the same domain; combine authorized services into one valid record. Ask your email provider for the exact value because it depends on the services you use.

DKIM

Enable DomainKeys Identified Mail signing through your email provider. Google requires a DKIM key of at least 1,024 bits for mail sent to personal Gmail accounts and recommends 2,048 bits where supported. Yahoo also requires at least 1,024 bits and recommends 2,048 bits; its sender FAQ provides the current details.

DMARC

Publish a DMARC record at _dmarc.example.com. A cautious monitoring rollout might look like this:

v=DMARC1; p=none; rua=mailto:[email protected]

Have your DNS provider or a deliverability specialist review the exact record. A monitoring policy lets you examine reports and identify unauthorized senders. After legitimate services are accounted for, organizations can consider strengthening the policy to reduce spoofing. The appropriate policy depends on your domain, mail systems, and risk tolerance.

Alignment, DNS, and transport

The visible From: domain should align with the authenticated SPF or DKIM organizational domain. Gmail, Yahoo, and Outlook.com also expect valid forward and reverse DNS, compliant message formatting, and TLS. These checks are especially important for bulk or high-volume sending. See Google’s FAQ, Yahoo’s best practices, and Microsoft’s Outlook.com error guidance.

6. Configure a recognizable sender identity

Use a stable, recognizable From name and address for the same type of content. Use a monitored Reply-To address if recipients may need help. Identify the real business, nonprofit, creator, or organization behind the message.

Avoid:

  • A no-reply address when replies would be useful
  • Changing the From name on every campaign
  • Fake reply or forward indicators such as Re: or Fwd:
  • Deceptive display names such as URGENT REQUEST
  • Putting the recipient’s name in the display-name field

The subject, display name, headers, and content must accurately represent the message. Google’s sender guidelines specifically warn against misleading identity and subject-line practices.

7. Write focused copy

A practical campaign structure is:

  1. Subject line: State the relevant news or benefit accurately.
  2. Preheader: Add useful context rather than repeating the subject.
  3. Opening: Tell readers quickly why the email matters.
  4. Core message: Make one main point.
  5. Proof or detail: Explain the value, terms, deadline, or next step.
  6. Primary CTA: Use a specific action such as Register, Shop the sale, Donate, or Read the update.
  7. Supporting information: Include only details that help the primary action.
  8. Footer: Identify the sender and provide the physical address, preferences, privacy information where appropriate, and unsubscribe link.

Be specific and relevant. Do not use false urgency, bait-and-switch language, or a subject that pretends the message is a personal reply. If you test subject lines, change one meaningful variable at a time and judge the result using clicks or conversions rather than opens alone.

There is no universal best day or hour to send. The right timing depends on audience geography, behavior, message type, urgency, and existing cadence. Test send windows against clicks, registrations, purchases, or donations instead of adopting a generic Tuesday-morning rule.

8. Design for accessibility and failure conditions

Your email should remain understandable when images are blocked, the screen is narrow, dark mode is enabled, text is enlarged, unsupported CSS is stripped, or the recipient uses assistive technology.

  • Use meaningful alt text for informative images and alt="" for decorative images.
  • Do not put essential copy, offer terms, or buttons only inside images.
  • Use real text for headings and calls to action.
  • Use descriptive link text rather than vague labels such as Click here.
  • Maintain sufficient text and button contrast.
  • Do not use color alone to communicate meaning.
  • Include a plain-text alternative.
  • Use a logical reading order.
  • Make buttons comfortable to tap on a small screen.
  • Test with images disabled.
  • Include a browser-view or mirror link for heavily designed messages.

WCAG 2.2 specifies a minimum 4.5:1 contrast ratio for normal text and 3:1 for large text, subject to its stated exceptions. The W3C images tutorial and writing guidance cover alternative text, headings, meaningful links, and the risks of embedding essential words in images.

9. Add unsubscribe controls

Every marketing campaign should have a prominent body link such as Unsubscribe from marketing emails. A preference center can also let people change frequency, select topics, pause messages, unsubscribe from one list, or unsubscribe from all marketing.

For bulk sending to personal Gmail accounts, Google requires both a visible body link and one-click unsubscribe headers for marketing and subscribed messages. A typical header arrangement is:

List-Unsubscribe-Post: List-Unsubscribe=One-Click
List-Unsubscribe: <https://example.com/unsubscribe/opaque-token>

The HTTPS endpoint should accept the RFC 8058 POST request and remove the recipient from the relevant marketing list without requiring a login. RFC 8058 describes the one-click mechanism. A body link alone, a mailto: link alone, or a preference-page URL alone does not satisfy Google’s bulk-sender one-click requirement.

Yahoo’s current guidance is somewhat more permissive: it requires a functioning List-Unsubscribe header and visible body link, says unsubscribe requests should be fulfilled within two days, highly recommends an RFC 8058 POST method, and accepts a mailto method. Supporting the HTTPS POST method is the more robust approach across providers.

Marketing suppression should be permanent and applied across future marketing campaigns. It does not necessarily eliminate legally required or genuinely necessary transactional communications.

10. Test before sending

Send test messages to at least a Gmail personal account, Yahoo account, Outlook.com account, mobile device, and desktop mail client. Where possible, include accessibility or screen-reader testing.

Content checklist

  • Subject and preheader are correct.
  • From name, From address, and Reply-To address are correct.
  • Dates, prices, terms, time zones, and deadlines are accurate.
  • Personalization fields have safe fallback text.
  • The postal address and footer are present.
  • The unsubscribe destination is correct.

Link checklist

  • Every link works.
  • Tracking parameters and UTM values are correct.
  • Buttons use understandable text.
  • No link points to a staging, test, expired, or incorrect page.
  • The unsubscribe link works from the actual received email.

Rendering and technical checklist

  • Mobile and desktop layouts work.
  • Dark mode remains readable.
  • The message makes sense with images disabled.
  • Alt text and the plain-text version are present.
  • Long subjects do not hide the important information.
  • SPF, DKIM, and DMARC pass or align as intended.
  • List-Unsubscribe headers are present.
  • The visible From domain matches the authenticated domain.
  • The test cannot accidentally send to the production list.

For important campaigns, require two people to approve the final recipient segment, exclusions, message, links, schedule, time zone, and suppression rules. To prevent an accidental send, lock the segment after approval, restrict send-now permissions, verify that the campaign is not attached to a live automation, and test personalization with a sample contact.

11. Send in a controlled way

If the domain, email service provider, list, or sending volume is new—or if the list has been dormant—do not create a sudden unexplained spike. Start with the most engaged legitimate recipients, increase volume gradually, and use throttling or batches when available.

Monitor bounces, deferrals, spam complaints, and delivery errors while the campaign is being released. Pause or reduce the send if errors rise. Google recommends consistent sending, avoiding bursts, starting with engaged users, and reducing volume when messages bounce or are deferred. Yahoo also warns that sudden traffic spikes can harm sender reputation.

A dedicated IP is not an automatic deliverability upgrade. A shared IP means the activity of other senders can affect its reputation, but a dedicated IP requires enough consistent, healthy volume and careful management. Treat the IP decision as an email-provider and volume decision, not a shortcut to the inbox.

12. Measure the outcome and clean up

Track the results that relate to the objective:

Conversion rate Conversions divided by a clearly stated denominator, such as delivered emails, clickers, or sessions
Revenue per delivered email Attributed revenue divided by delivered emails
List growth New subscribers minus unsubscribes and invalid addresses
Inbox placement Inbox versus spam placement, where measurement is available
Deferrals and SMTP errors Evidence of throttling, authentication, recipient, or reputation issues

Open rate is directional, not a reliable measure of who actually read the message. Apple’s Mail Privacy Protection can preload tracking pixels and prevent senders from learning accurate information about Mail activity. Google also says it does not track or verify third-party open rates. Give more weight to clicks, conversions, purchases, replies, complaints, and unsubscribes. Current Gmail, Yahoo, and Outlook.com requirements

The following are recipient-provider requirements, not legal safe harbors. A sender below a published volume threshold can still be filtered, rate-limited, or reported for spam. Authentication is necessary for many senders, but it does not override poor reputation, complaints, bad list quality, misleading content, or recipient preferences.

Yahoo consumer mail Yahoo describes bulk senders as those sending a significant volume but does not publish a numeric threshold. All senders: SPF or DKIM. Bulk senders: SPF and DKIM, plus a valid DMARC policy of at least p=none, with alignment. Marketing and subscribed messages need a functioning List-Unsubscribe header, visible body link, and fulfillment within two days. Yahoo highly recommends POST/RFC 8058 and accepts mailto. Spam rate below 0.3%, valid forward and reverse DNS, and RFC 5321/5322 compliance.
Outlook.com, Hotmail, and Live.com consumer mail Microsoft defines a high-volume sender as one sending 5,000 or more messages to Microsoft consumer services with the same domain in the 5322.From address. SPF and DKIM must pass. DMARC must be published and pass through aligned SPF or DKIM. Follow applicable law and provider best practices, including a clear unsubscribe mechanism for marketing mail. Noncompliant high-volume messages may be rejected with 550 5.7.515. Enforcement began May 5, 2025.

Check the Google sender guidelines, Google sender FAQ, Yahoo best practices, and Microsoft’s high-volume announcement because provider rules and enforcement can change.

Email blast compliance by jurisdiction

Email marketing laws depend on the sender, recipient, message, relationship, and country. This is a practical overview, not legal advice. If you send internationally, map recipients to the laws that apply to them rather than relying only on the law where your business is located.

  1. Use accurate header information.
  2. Avoid deceptive subject lines.
  3. Identify the message as an advertisement when required.
  4. Include a valid physical postal address.
  5. Provide a clear and conspicuous opt-out method.
  6. Keep the opt-out method working for at least 30 days after sending.
  7. Honor opt-out requests within 10 business days.
  8. Do not charge a fee or require more information than an email address to unsubscribe.
  9. Do not sell or transfer opted-out addresses except to a company helping with CAN-SPAM compliance.
  10. Monitor agencies, contractors, and other vendors sending on your behalf.

CAN-SPAM applies to commercial messages and does not create a blanket business-to-business exemption. It also does not impose the same prior opt-in requirement as Canada’s CASL or some UK and European rules. That does not make unsolicited email a good strategy: provider policies, other jurisdictions, contracts, and deliverability standards may still require or strongly favor permission-based sending. The FTC currently states that each separate violating email may be subject to penalties of up to $53,088. Using an ESP does not transfer all responsibility to the ESP.

United Kingdom: PECR

Under UK ICO guidance on electronic mail, marketing email to individual subscribers generally requires specific consent unless the limited soft opt-in applies.

The soft opt-in is generally associated with a previous customer, the sender’s own similar products or services, and an opportunity to opt out both when details are collected and in every later message. Corporate subscribers such as limited companies are treated differently, but the sender must still identify itself and provide an opt-out route. Sole traders and certain partnerships may be treated as individual subscribers. Data protection duties still apply when personal data is used.

The ICO’s detailed guidance has also addressed newer charitable-purpose soft-opt-in provisions under the UK Data (Use and Access) Act 2025. Check the latest ICO direct-marketing guidance for the current position.

European Union: GDPR and national e-privacy rules

Do not reduce EU compliance to the statement that GDPR requires consent for every email. GDPR governs matters such as lawful processing, demonstrable consent, transparency, withdrawal, and objection rights. National laws implementing electronic-privacy rules may impose additional requirements for email marketing.

When consent is the legal basis, it should be clear, distinguishable, and provable, and it should be easy to withdraw. A person can object to direct marketing at any time; once the person objects, processing for that purpose must stop. Consult the GDPR text and the national rules of the recipient’s country.

Canada: CASL

Canada’s Anti-Spam Legislation generally requires consent before sending a commercial electronic message. The sender should be able to prove consent, identify itself and any relevant parties, and include an unsubscribe mechanism. A purchased or scraped list is not automatically lawful. Concrete platform example: sending in Brevo

Menu names and feature availability change, so treat this as a documented example rather than a universal interface. Brevo’s current workflow is:

  1. Go to Marketing → Campaigns.
  2. Click Create campaign.
  3. Choose Email.
  4. Select Regular email.
  5. Name the campaign.
  6. Choose the appropriate lists or segments.
  7. Exclude unengaged or otherwise ineligible contacts.
  8. Set the sender, subject, and preview text.
  9. Start designing with a template, drag-and-drop editor, simple editor, or custom HTML.
  10. Preview and test the message.
  11. Schedule it, send immediately, use optimized timing, or send in batches if the account supports those options.

Brevo states that marketing campaigns should be sent only to contacts who have given consent and documents list selection, exclusions, design, scheduling, and batching controls in its campaign setup guide. Other platforms use different labels, but the platform-independent sequence is:

Select campaign type → choose sender → choose recipients and exclusions → write and design → add the compliance footer → test → schedule or send → monitor → analyze.

Common mistakes and recovery steps

The campaign goes to spam

Check these items in order:

  1. SPF, DKIM, and DMARC results
  2. Alignment between the visible From domain and authenticated domain
  3. Forward and reverse DNS, including PTR
  4. Spam complaint rate
  5. Hard bounces and unknown recipients
  6. Recent volume spikes
  7. Purchased, scraped, stale, or unengaged contacts
  8. Unsubscribe functionality
  9. Shared-IP reputation
  10. Link and domain reputation
  11. Misleading content, subject lines, or display names

Use Google Postmaster Tools for Gmail-domain reputation, authentication, spam-rate, and delivery information where data is available. Yahoo provides a Sender Hub and a Complaint Feedback Loop for eligible DKIM-signed domains.

The bounce rate is high

  • Stop repeatedly retrying permanent failures.
  • Remove invalid and unknown-user addresses.
  • Check whether the list was imported incorrectly.
  • Investigate fake or mistyped addresses collected by a form.
  • Use confirmed opt-in for new subscribers.
  • Determine whether the campaign went to an old, purchased, or scraped list.

Yahoo specifically recommends removing addresses that generate permanent 5xx errors and invalid-recipient bounces; see its SMTP error guidance.

Gmail rejects or rate-limits the send

Review SPF, DKIM, DMARC, From-domain alignment, PTR, TLS, spam rate, RFC-compliant formatting, and the one-click unsubscribe headers. For a quota or rate-limit error such as 4.7.28, Google advises pausing, identifying the cause, reconnecting cautiously, and increasing connections gradually. The Google bulk-sender FAQ lists common compliance problems.

Outlook.com returns 550 5.7.515

Check that SPF exists and passes, DKIM exists and passes, DMARC is published and passes, and SPF or DKIM aligns with the visible From domain. Microsoft identifies this rejection as an authentication-level problem for high-volume senders to consumer Outlook services in its 550 5.7.515 guidance.

The unsubscribe link fails

Test it from a real received message, not just from the editor. Confirm that the token identifies the correct recipient and list, that login is not required, that the request is processed promptly, and that the address is suppressed from future marketing. Test both the body link and the List-Unsubscribe headers, including the HTTP method expected by the provider. Keep a permanent suppression record.

An email was sent accidentally

If the platform allows it, stop queued sends immediately. Correct the destination page or offer terms, determine who was affected, and send a transparent correction only to those recipients when necessary. Do not send a second message to everyone simply because the first message contained an error. Prevention is better: require final approval, lock the recipient segment, restrict send-now permissions, verify the time zone, and run an internal test.

Whole-list send or segment?

Use segmentation when it changes the message, offer, timing, or eligibility in a meaningful way. Do not create complexity merely to appear sophisticated.

HTML or plain text?

HTML supports visual hierarchy, images, branded design, buttons, and merchandising. It also creates more rendering, accessibility, and privacy-testing work. Plain text or text-forward HTML is often resilient, easy to read, and more personal, but it offers fewer visual options.

Plain text does not automatically land in the inbox. Permission, list quality, sender reputation, authentication, content, recipient behavior, and mailbox rules all matter. Choose the format that makes the message clearest and test it in the clients your audience uses.

Personalization without privacy mistakes

Personalization can improve relevance, but an incorrect name, stale attribute, exposed sensitive detail, or cross-customer data leak is worse than no personalization.

  • Use safe fallback text for missing fields.
  • Collect and use only data needed for the message.
  • Prefer declared preferences where possible.
  • Test missing, malformed, and unusual values.
  • Do not include sensitive information merely to make an email feel personal.

Frequently asked questions

Is an email blast the same as a newsletter?

No. A newsletter is usually recurring editorial or educational content. A blast is any one-to-many campaign, including a newsletter issue, sale, event invitation, launch, or announcement. A newsletter can therefore be sent as a broadcast, but the terms are not identical.

How many people can I email at once?

There is no single universal limit. Your email provider, plan, domain reputation, recipient mailbox providers, and applicable law matter. Gmail personal accounts can trigger a sending-limit error above 500 recipients in a message or day, while Gmail and Outlook.com use approximately 5,000 messages in 24 hours as important bulk or high-volume classifications for particular consumer services. Yahoo does not publish the same numeric threshold. None of these thresholds is a safe harbor for unsolicited or poorly managed email.

Do I need permission to send an email blast?

Permission requirements depend on the recipient’s country, message type, and relationship. Canada’s CASL and many UK and European marketing situations generally require consent or a limited exception. U.S. CAN-SPAM does not impose the same blanket prior opt-in requirement, but it requires accurate identification, a physical address, and working opt-out controls. Permission-based sending is the safer operational and deliverability standard everywhere.

Can I send an email blast from Gmail?

You can send a small personal announcement, but ordinary Gmail is not an appropriate system for a marketing campaign. It lacks campaign-level consent records, automatic suppression, bounce handling, segmentation, one-click unsubscribe, and reporting, and personal Gmail limits can apply. Use an ESP for marketing sends.

Do SPF, DKIM, and DMARC guarantee delivery?

No. They authenticate the sending identity and are required or strongly expected by major providers at higher volumes, but they do not override spam complaints, poor list quality, bad reputation, misleading content, sudden volume increases, or recipient-specific filtering.

What is the best day and time to send?

There is no universal best day or time. Test windows that fit your audience’s geography, behavior, message type, urgency, and cadence. Judge the test by clicks, conversions, purchases, registrations, or donations rather than open rate alone.

Should I resend to people who did not open?

Use caution. Apple Mail Privacy Protection and automated image fetching make non-opener data unreliable. A resend based on did not click, did not convert, or another stronger behavioral signal is usually more defensible than relying only on an open event. Change the subject or message only when there is a clear reason, and avoid increasing frequency to people who have shown no interest.

Can I email business addresses without consent?

Do not assume that B2B email is exempt everywhere. U.S. CAN-SPAM has no general B2B exemption, the UK treats corporate subscribers differently from individuals, and Canada generally requires consent for commercial electronic messages. Sole traders and some partnerships may receive individual-subscriber treatment under UK rules. Check the recipient’s jurisdiction and the purpose of the message.

  • The objective and primary CTA are clear.
  • The recipient segment is relevant and locked.
  • Consent records and suppressions have been reviewed.
  • SPF, DKIM, and DMARC are configured and aligned.
  • The From identity is recognizable and accurate.
  • The message includes a physical address where required.
  • The body unsubscribe link works.
  • List-Unsubscribe headers are configured for bulk marketing mail.
  • The email works on mobile, desktop, dark mode, and with images disabled.
  • Links, tracking, personalization, dates, prices, and time zones have been checked.
  • A second person approved the final message, audience, exclusions, and schedule.
  • Monitoring is ready for bounces, complaints, deferrals, clicks, and conversions.

Frequently Asked Questions

Is an email blast spam?

No. Bulk describes the number of recipients; spam describes unwanted, abusive, deceptive, or unauthorized email. A permission-based, relevant campaign can be legitimate bulk email. An unsolicited campaign can create problems even when its audience is small.

Does every email need an unsubscribe link?

Every marketing campaign should include a visible unsubscribe link. Gmail bulk senders must also support one-click unsubscribe headers for marketing and subscribed messages. Transactional messages may be treated differently based on their primary purpose, but promotional content should not be hidden inside an operational email.

What should I do if my email blast lands in spam?

Check SPF, DKIM, DMARC and domain alignment first, then review DNS, complaints, bounces, volume spikes, list source, unsubscribe functionality, IP reputation, and misleading content. Pause further volume increases, clean the list, and use Google Postmaster Tools or Yahoo’s sender resources where available.

Is a purchased opt-in list safe to use?

No. A broker’s label does not prove that recipients consented to receive your messages from your organization. Purchased and scraped lists can create legal, complaint, and deliverability problems, and Google explicitly advises against purchasing addresses.

An email blast is simply a one-to-many campaign; the quality of the send depends on the decisions around it. Use a relevant, permission-based audience, send through an ESP, authenticate your domain, make unsubscribing easy, design for accessibility, test the complete message, release large or unfamiliar sends cautiously, and optimize for clicks and conversions. When the message depends on a person’s behavior or needs, use segmentation or automation instead of sending the same email to everyone.
