What Is a Business Intelligence Analyst? Role, Skills, and Responsibilities

A business intelligence analyst turns data into reports, dashboards, and findings that help stakeholders make decisions. Learn about responsibilities, skills, tools, and how job titles vary.

A business intelligence (BI) analyst turns organizational data into reports, dashboards, and findings that help people make business decisions. The work can involve querying data, maintaining reporting tools, identifying trends, documenting what users need, and explaining what the results mean. The exact mix depends on the employer: BI analyst is not a single, standardized job description.

What does a business intelligence analyst do?

A BI analyst connects business questions to information held in an organization’s data systems. The analyst may retrieve data, analyze it for patterns, and present useful findings through recurring reports, dashboards, or recommendations. The aim is not simply to display numbers, but to help stakeholders understand them and decide what to do.

The U.S. Bureau of Labor Statistics’ O*NET occupation profile describes work that includes producing financial and market intelligence by querying data repositories and generating periodic reports. It also describes maintaining BI tools and dashboards, managing information flow, documenting specifications, monitoring trends, and synthesizing findings into recommendations. O*NET’s Business Intelligence Analysts profile shows why the role can be both analytical and service-oriented: analysts prepare information and help users apply it.

Common responsibilities

  • Query data repositories to answer business or operational questions.
  • Create and maintain reports, dashboards, and other BI tools.
  • Identify trends or changes in financial, market, or organizational data.
  • Document reporting requirements and support the flow of information to users.
  • Explain findings and, where appropriate, recommend actions.

Dashboard building is a visible part of the job, but it is not the whole job. Some roles focus more on recurring reporting and system upkeep; others emphasize analysis, stakeholder conversations, or recommendations.

What skills and tools are useful?

BI analyst roles commonly call for a combination of data skills, tool knowledge, and the ability to communicate findings in business context. O*NET’s employer-posting technology page includes SQL and Microsoft Power BI, as well as AWS and Google Looker Analytics. These are examples of technologies mentioned in postings for the occupation, not a required checklist or a guarantee of hiring outcomes. SQL and working with data

SQL (Structured Query Language) is useful for retrieving and examining data stored in databases. The amount of querying expected varies by job: some analysts work directly with data sources, while others spend more time interpreting information prepared by a data team.

BI platforms and analysis

Power BI, Looker, and Tableau are examples of platforms employers may name. Microsoft’s PL-300 study guide describes a Power BI data analyst’s work as preparing, modeling, visualizing, and analyzing data, while collaborating with stakeholders and analytics or data engineers. It identifies Power Query and Data Analysis Expressions (DAX) as relevant proficiencies. This is a tool-specific skills map, not a universal definition of BI work.

Communication and business context

Analysis becomes useful when people can understand what it means for their work. A Google Careers posting, for example, names Looker, Tableau, or Power BI and describes translating analysis into narratives, reports, and self-service visualizations for business stakeholders. How does the role differ from related analyst jobs?

Titles such as BI analyst, data analyst, and business analyst can overlap. O*NET even lists “Business Analyst” among reported titles associated with its BI analyst occupation. The better way to compare jobs is to read the responsibilities rather than infer the work from the title alone.

Look at what the role actually owns: access to and preparation of data, report and dashboard maintenance, depth of analysis, development of BI platforms, contact with stakeholders, and responsibility for recommendations. Some jobs combine several of these; others concentrate on only a few. The available occupational and employer examples do not establish a universal boundary among these job families.

How can you compare BI analyst job listings?

Use the posting’s concrete duties and audience to assess what the job entails. These factors are more informative than the title by itself:

  • Core output: Is the work mainly recurring reports, self-service dashboards, one-off analysis, or recommendations?
  • Data work: Does the analyst query and prepare data, model it, validate it, or primarily work with datasets prepared by others? Does the role collaborate with data engineers?
  • Technology: Which database skills and BI platform does the employer name? Requirements vary across employers.
  • Audience: Who uses the analysis, and is the analyst expected to present findings or enable users to explore data themselves?
  • Ownership: Does the position maintain existing reports and systems, document requirements, or build new reporting solutions?

This comparison also helps identify skill gaps: a posting centered on Power BI modeling calls for different preparation from one focused on routine reports and stakeholder communication.

Is a Power BI certification required?

No universal requirement is established. Microsoft’s Power BI Data Analyst Associate is one optional, role-related credential for people targeting Power BI work. Microsoft classifies it as an intermediate data analytics certification; its certification page says it was last updated April 20, 2026, and lists renewal every 12 months. Details can change, so check Microsoft’s Power BI Data Analyst Associate certification page for current requirements. A credential is not evidence that every BI analyst job requires certification.

For practical preparation, build experience querying data and turning the results into clear reports or visualizations. Microsoft’s PL-300 study guide can help structure Power BI-specific learning. A SQL book can also be a supplementary resource, but reading alone does not replace hands-on practice.

What is not established by the available role information?

O*NET describes a U.S. occupational classification, Microsoft’s certification information applies to a specific vendor credential, and an individual Google listing is only one employer example. These sources do not establish a universal education requirement, salary range, employment projection, or standard tool stack for all BI analyst roles. Those details depend on the position and, for pay and outlook, require current location-specific information.
