Australian small businesses generally need to keep GST records for five years. The clock starts on the later of the date you prepared or obtained a record and the date you completed the transaction or other act it supports. Keep enough evidence to explain every GST amount reported and every GST credit claimed, including sales records, tax invoices, expense documents, adjustment calculations and records of GST decisions. Five years is a general rule, not an automatic destruction date: an assessment review, amendment or another rule can require longer retention.
The five-year GST retention rule
The Australian Taxation Office (ATO) states: “You need to keep your GST records for five years, starting from when you prepared or obtained the records, or completed the transactions or acts those records relate to, whichever is later.”
As an Amazon Associate I earn from qualifying purchases.
That wording contains two separate ideas:
- Five years: the usual minimum retention period for GST records.
- The later-date test: you count from whichever happens later—the record’s preparation or receipt, or completion of the transaction or act it documents.
The rule is not necessarily five years from the end of the financial year, the date you lodged a particular activity statement, or the date you paid the invoice. Use the dates connected with the record and the underlying transaction.
How the later-date test works
Suppose a supplier invoice is issued and received on 10 July, but the related service is not completed until 25 July. The relevant starting point is 25 July because the act the record relates to finished later. Five years is then measured from that later date.
#1 Best Overall
If you obtain a document well after a transaction occurred—for example, you receive a replacement tax invoice—the record’s preparation or acquisition date may be the later date. Keep the replacement and, where useful, the correspondence explaining why it was issued.
Why the date must be recorded
A file that contains only a document but no reliable transaction date makes the retention decision harder. Your bookkeeping system, file name or register should identify the transaction date and the date the record was received or created. That gives you an auditable basis for calculating the five-year period instead of relying on memory.
Which GST records should you retain?
Keep records that explain how you calculated GST payable and GST credits claimed. The ATO’s categories are broad because the evidence needed depends on what you reported and the transactions behind it.

Retain records of taxable sales and other GST-related transactions that feed into your activity statements. Useful evidence can include:
- Sales invoices and copies of tax invoices issued to customers.
- Point-of-sale reports, receipts, sales journals and export files showing amounts and GST treatment.
- Credit notes, refunds and other documents that change the GST originally reported.
- Contracts, order records or settlement documents where they explain the nature, timing or GST treatment of a sale.
The record should allow someone reviewing the return to trace the reported amount back to the underlying sale. A bank deposit alone may show money arrived, but it may not explain whether the amount was taxable, GST-free, input-taxed or a correction to an earlier transaction.
Purchases, expenses and GST credits
Keep purchase invoices, receipts and other evidence for business costs used to calculate GST credits. Include records of fees, operating expenses and other business costs that support amounts claimed in your GST reporting.
For each expense, retain enough information to establish the supplier, date, amount, GST component and business purpose. If a cost is partly private or partly business, preserve the calculation that identifies the business portion. Where a credit is reversed or adjusted later, keep both the original document and the adjustment record.

The ATO’s general list includes wages and other business costs among records to keep. Wages do not ordinarily create a GST credit, but payroll and related business records can be needed to explain your accounts, reconcile payments or support other amounts reported. Keep them with the relevant accounting records and do not assume a document is disposable merely because it does not show a GST amount on its face.

GST adjustments
Adjustments change GST previously calculated—for example, after a return, refund, bad-debt event or change in the use of an acquisition. Keep the document that triggered the adjustment and the working paper showing how you calculated the revised amount.
An adjustment file should answer four questions:
- Which original transaction or return is affected?
- What changed?
- What GST amount was added, reduced or reallocated?
- Which activity statement or calculation includes the adjustment?
GST decisions, elections and calculations
Some GST outcomes depend on a choice, election, estimate, determination or calculation under GST law. The record should show the particulars of the decision and the basis and method used to reach it. Keep supporting assumptions, source figures, spreadsheets and approvals rather than retaining only the final number.
This is particularly important when the result cannot be understood from an invoice alone. A reviewer should be able to reproduce the method from the retained documents and see why it was reasonable for the period concerned.
Taxable imports
For taxable imports, the ATO says you do not need a tax invoice to claim the GST credit. You do need documents from the Department of Home Affairs showing the GST paid. Preserve those import declarations, payment records or equivalent documents with the transaction file so the amount can be matched to the credit claimed.
What happens if records do not support a claim?
The ATO may adjust or deny an amount when the records do not adequately support it. A spreadsheet total without source documents, an unreadable scan or an invoice that cannot be linked to the business can leave a credit unsupported even when the underlying purchase occurred.
Support is about more than possessing a document. Your records should be:
- Complete: include the source document and any calculation or adjustment that changes it.
- Readable: remain legible for the entire retention period.
- Traceable: connect the document to the transaction, account and activity statement line.
- Consistent: use the same GST treatment in the records, ledger and reported return, or explain the correction.
- Protected: remain available after staff changes, device failures or accounting-system migrations.
Paper or electronic records: what is allowed?
ATO general business guidance permits paper or electronic records, provided they explain the transactions. The material does not require a particular bookkeeping product. A paper ledger is an optional organizational tool, not a legal requirement, and software is a convenience rather than a mandated format.

| Method | Practical strengths | Controls you need |
|---|---|---|
| Paper files | Simple to start; original invoices and signed documents can be kept together. | Index files, protect them from loss or damage, and ensure copies remain readable. |
| Electronic files | Searchable; easier to connect invoices, reports and GST calculations; can produce summaries and GST reports. | Back up data, control access, preserve file formats and test that older records can still be opened. |
Choose the method that lets you retrieve a document quickly and show how it supports a reported figure. A mixed system is acceptable in practice: for example, paper contracts plus electronic invoices and calculations. Whichever method you use, apply one naming and indexing convention so records do not disappear across folders, inboxes and devices.

Build a GST record-keeping process
A repeatable process reduces the chance that a missing invoice or undocumented calculation becomes a problem years later.
- Capture records when the transaction occurs. Save invoices, receipts, import documents, credit notes and payment evidence as soon as they arrive or are created. Do not rely on an email inbox as the only archive.
- Classify the GST treatment. Mark whether the transaction is taxable, GST-free, input-taxed, an adjustment or outside the GST calculation. Record the reason when the treatment is not obvious.
- Link the source to the ledger. Use a transaction ID, invoice number or consistent file name that connects the document to the accounting entry and the relevant activity statement period.
- Preserve calculations and decisions. Store workings for apportionment, estimates, elections, determinations and adjustments alongside the source documents. Include the basis and method, not just the result.
- Reconcile before lodging. Compare sales and purchase records with the GST amounts in the activity statement. Investigate missing documents, duplicate entries and unexplained differences.
- Back up and restrict access. Keep more than one copy of electronic records, protect sensitive information and make sure authorized staff can retrieve files without altering the originals.
- Record retention dates. For each transaction group, note the later of the record date and transaction-or-act date, then calculate the five-year point. Flag files affected by reviews, amendments or unresolved questions.
- Review the archive periodically. Check that scans are readable, links still work, exports can be opened and paper files have not deteriorated. Correct gaps while the people and systems that created the records are still available.
When five years may not be enough
Do not treat the fifth anniversary as an automatic deletion date. The ATO guidance warns that some situations require longer retention.
Assessment review periods
Keep records long enough to cover the period of review for an assessment that uses them. A record connected to an assessment under review should remain available until the relevant review period has ended, even if five years have passed since the original transaction.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesLater amendments
Additional retention considerations can arise when a GST assessment is amended later. If a document supports an amendment, a revised calculation or a decision that remains relevant to a later period, retain it with the related assessment history rather than deleting it solely because its original five-year date has arrived.
Specific rules and unusual transactions
The general rule does not enumerate every special case by transaction type, business structure or record category. A specific dispute, amended assessment, unusual import or other unresolved matter can change the practical destruction date. Check current ATO guidance and the applicable law before disposing of records in those circumstances.
How to decide whether an old record can be destroyed
Use a documented review rather than a blanket “five years and delete” policy:
- Identify the transaction, activity statement, adjustment or GST decision the record supports.
- Confirm the later-date calculation for the five-year period.
- Check whether an assessment review, amendment, objection, dispute or other continuing matter refers to it.
- Check whether another legal or business obligation requires the record to be kept longer.
- Verify that no related calculation or source document would become unintelligible if this file were removed.
- Record what was destroyed, when, under whose authority and why the retention period had ended.
If any answer is uncertain, preserve the record until the issue is resolved. Storage costs are generally easier to manage than reconstructing a return without its evidence.
Common mistakes and practical fixes
Counting from the wrong date
Mistake: counting five years from the invoice date or financial year-end without checking when the related act was completed.

Fix: record both dates and use the later one.
Keeping totals but not source documents
Mistake: retaining a GST report or spreadsheet while discarding the invoices and receipts behind it.
Fix: archive the source documents, the ledger entry and the calculation that ties them to the reported amount.
Ignoring adjustments
Mistake: overwriting an original entry after a refund, credit or correction.
Fix: retain the original, the event that caused the change and the adjustment working.
Missing import evidence
Mistake: looking for a supplier tax invoice for taxable import GST when the key evidence is the Department of Home Affairs documentation.
Fix: file the import documents showing GST paid and link them to the claimed credit.
Assuming software guarantees compliance
Mistake: believing an accounting program alone proves a claim or preserves records indefinitely.
Fix: confirm that the system stores source documents, calculations and dates, export records before changing systems and maintain independent backups.

Fix: run the review-period and related-matter checks before destruction.
An example retention timeline
Imagine a business completes a service on 25 July 2026, receives the final invoice on 2 August 2026 and records an adjustment on 15 September 2026. The service invoice’s five-year calculation uses 2 August 2026 if that is the later of obtaining the record and completing the service. The adjustment has its own supporting record and should be retained by reference to the adjustment act and the assessment it changes. If that assessment is later under review, retain the complete file beyond the ordinary five-year point until the review-related requirement ends.

Keeping the archive useful
Retention is successful only if a record can be found and understood years later. Use stable file names containing the supplier or customer, transaction date, document type and reference number. Keep a register for adjustments and GST decisions. Separate drafts from the final calculation, but retain the assumptions and source data used to reach the final result.
For electronic archives, periodically test restoration from backup and open a sample of older files. For paper archives, use an index and store documents in a location protected from moisture, fire and unauthorized access. When a document is replaced, retain the original or clearly document the replacement and reason.
The practical answer
Keep sales records, tax invoices, purchase and expense evidence, fees, relevant wages and business costs, GST adjustments, import-GST documents, and the records behind GST decisions and calculations. Keep them for five years from the later of preparation or receipt and completion of the related transaction or act. Store them on paper or electronically in a form that explains and supports your GST reporting. Before destroying anything, check assessment review periods, later amendments and other rules that may extend retention.
