For an SME business loan in India, start with identity and KYC documents, Udyam registration, proof of business address and constitution, tax returns, bank statements, and business financial statements. Your final checklist depends on the bank, legal structure, and loan type: a term loan may require a project report, while a secured loan may require property deeds. Ask the chosen lender for its current indicative checklist before applying.
Start with a core document file
Keep these records ready, then confirm the lender’s required formats, periods, and applicant details:
- PAN and Aadhaar for the proprietor and other applicants whose KYC the bank requires.
- Udyam Registration Certificate and proof of the business address.
- Business constitution documents, such as a partnership deed or company incorporation documents, as relevant.
- GST registration and returns, where applicable, plus other required licences or statutory approvals.
- Income-tax returns, business financial statements, and bank statements.
The Ministry of Micro, Small and Medium Enterprises’ 2025 Know Your Lender guide gives a general list, not a single exhaustive checklist for every lender and product. It says banks have been advised to furnish MSME borrowers an indicative checklist when they apply. SBI likewise describes its SME loan checklist as indicative and non-exhaustive.
Identity, business identity, and legal form
Identity and address evidence
The Ministry guide names PAN and Aadhaar. SBI’s checklist gives other examples of identity evidence for proprietors, partners, or directors: voter ID, passport, driving licence, PAN, or bankers’ signature identification. It lists recent telephone or electricity bills, property-tax receipts, passport, or voter ID as residence evidence. These lists are not identical, so confirm which documents the bank accepts and whose KYC it needs.

Business constitution and registrations
Prepare proof of business address and the documents establishing the entity. Depending on the legal form, SBI’s examples include a partnership deed, memorandum and articles, trust deed, or society by-laws. A company or other entity may also be asked for its shareholding pattern.
Keep the Udyam Registration Certificate, GST registration, and any relevant statutory licences or approvals available. SBI’s checklist names regulatory licences, pollution-control certificates, and GSTN/VAT registration among possible approvals. Requirements depend on the business and the facility.

Financial and tax records
Returns, statements, and financials
The Ministry’s 2025 guide gives a general range of past 1–3 years of income-tax returns and 6–12 months of bank statements. It also includes GST registration and returns where applicable. These are guide ranges, not fixed requirements for every bank or loan; use the period the lender specifies.
Have the business balance sheet, profit-and-loss statement, and cash-flow statement ready. SBI’s indicative checklist asks for audited financial statements for the last three years and a provisional balance sheet if the latest audited balance sheet is more than six months old. That is SBI checklist guidance, not a universal rule.

Promoter, guarantor, and existing-facility information
SBI’s list also asks for promoter or guarantor assets-and-liabilities statements, latest ITRs, confirmation that statutory dues are paid, and a declaration of existing banking arrangements. If the business already borrows from another bank or financial institution, it lists the relevant sanction letters. For businesses with associates, SBI asks for associate details, their banking arrangements, and their financials for the last year.
Additional documents depend on the loan purpose and security
Term finance and project reports
For term finance, a lender may ask for a project report explaining the proposed investment. SBI’s checklist asks applicants seeking a term loan to describe the machinery to be acquired, supplier and price, assumed capacity utilization, production and sales, and projected profit-and-loss and balance-sheet figures. This is a term-funding example; it does not establish that every working-capital applicant needs a machinery project report.

Premises and property offered as security
If the business premises are rented, SBI lists the lease agreement. If property is offered as primary or collateral security, its checklist lists photocopies of the relevant lease deeds or title deeds. Ask the bank what else it needs for the specific security offered, including whether it requires originals, certified copies, valuation, or additional evidence.

Online application does not make every lender’s checklist the same. For example, SBI’s SME Digi Sugam page, stated last updated 29 July 2025, names Udyam, PAN, GST data, account statements, at least two years of ITR data, GST data history, and a minimum two-year business vintage for that product. These are product-specific conditions, not requirements to assume for other SBI loans or other banks.

- Choose the facility and application route. Identify whether you are applying for working capital or term finance, whether the facility is secured, and whether you will apply at a branch or online.
- Ask the lender for its current indicative checklist. Confirm documents for your legal form, promoters or guarantors, facility, security, and application channel.
- Confirm periods and formats. Ask how many years of ITRs and financial statements and how many months of bank statements are required, and whether statements or copies must be certified or audited.
- Submit the application with supporting records. The Ministry guide says MSMEs can apply at a branch using an application or common application form and the lender’s checklist, or apply online and upload supporting documents on the lender’s site.
The Ministry guide cites a 14-working-day credit-decision norm for loans up to ₹25 lakh to MSE units. That is a decision timeline, not a promise of approval or a reason to leave requested documents out.
