Wave's free Starter plan covers basic bookkeeping and invoicing. Here is what Pro, payments, and payroll really cost, and where Wave falls short.

Wave is a low-cost option for freelancers, contractors, and very small service businesses that mostly bill clients and need basic bookkeeping. Its Starter plan is free for core accounting and invoicing. The Pro subscription adds bank imports, transaction categorization, receipt capture, and more users, and payments, payroll, and bookkeeping help are separate costs that can change the total substantially. Pricing and feature details below were checked against Wave’s official pricing, product, and Help Center pages on October 8, 2026.

What Wave costs in 2026

Wave is not one price. The subscription is only the starting point, and several services are priced by market, plan, or usage. The table below separates what is listed as a flat fee from what is usage-based or unstated.

The Pro price is quoted for new subscriptions. Confirm the currency and price in your own Wave account before budgeting, because the Canadian and US listings are published separately.

What the free Starter plan covers

Starter supports unlimited estimates, invoices, bills, and bookkeeping records, and includes mobile invoicing, according to Wave’s pricing page. Wave describes its core product as combining bookkeeping records, income and expense tracking, customer and cash-flow dashboards, estimates, invoices, and reports. Starter is therefore a real accounting tool, not a trial, but it leaves out the features that save the most manual work.

What Pro adds

Pro includes everything in Starter and adds:

  • Bank transaction import: Wave uses Plaid to connect to banks, where the financial institution is supported.
  • Automatic merging and categorization: imported transactions can be matched and sorted without entering each one by hand.
  • Receipt capture: Wave uses OCR, and receipts can be submitted through the mobile app, the desktop site, or email.
  • Additional users: more people can access the same books, with more user roles.
  • Extra invoice controls: additional invoice workflow options.

Wave describes the software as web-based, so a dedicated scanner or other physical device is not required for receipt capture. Phone photos and emailed receipts are the documented route.

Payments, payroll, and bookkeeping help

Online payments

Accepting card payments through Wave is an add-on that requires approval. Wave says approval depends on eligibility checks, including identity verification and credit review. Its pricing display lists card processing as a starting rate and notes that fees differ by plan and transaction count. Because the source does not give a full fee schedule, model your own transaction volume before comparing it with a standalone payment processor.

Payroll

Payroll is the most likely hidden cost for a business with staff. The Help Center figures above are per-period charges for full-access payroll, and they are geography-specific. A business with four employees and two contractors in the United States would pay the $40 base plus $6 for each of the six people paid, before any applicable sales tax.

Bookkeeping assistance

Bookkeeping help is a paid service whose price varies by market and service level. The pricing display shows two starting figures, $149 and $199 per month, without a clear statement of which service each applies to. Treat them as starting points and ask for a written quote before assuming either number.

Who Wave fits best

NerdWallet’s review, updated January 7, 2026, describes Wave as best for very small businesses and solopreneurs who bill mostly by invoice and want low costs. It names contractors, freelancers, and other service-based microbusinesses as the strongest fit. Wave is most sensible when your books are straightforward and you do not need detailed inventory, configurable reporting, or formal approval workflows.

Where Wave falls short

  • Reporting depth is limited. NerdWallet’s reviewer found that, in the Starter workflow tested in March 2025, report customization was limited to date range and report type. The review also lists report filters as a missing advanced capability. Wave does offer profit-and-loss, balance-sheet, and cash-flow reports, but that is not the same as flexible analysis.
  • No audit trail is listed. NerdWallet lists the absence of audit trails as a drawback. If you need a documented history of changes for controls or an accountant’s review, this matters.
  • Inventory and advanced bookkeeping are not a strength. Businesses that track stock in detail should look elsewhere.
  • Support depends on what you pay. Wave’s pricing page says live chat and email support are available with optional paid services. NerdWallet says free-only users cannot reach a person for help. Confirm the current support terms in your account before relying on them.
  • Bank connections are not guaranteed. Not every financial institution is supported through Plaid, so check your bank before paying for Pro for its bank feeds.

User-reported problems

NerdWallet summarizes user complaints about slow support, delayed bank feeds, duplicate transactions, and account freezes. These are reported experiences, not measured incident rates, and they do not establish that every account will be affected. They are worth weighing if your cash flow depends on timely feeds or fast support responses.

Pros worth weighing

  • Low entry cost: Starter is free for core bookkeeping and invoicing.
  • Straightforward invoicing: the NerdWallet reviewer found invoice setup and completion easy in the Starter plan during the March 2025 test.
  • Automation at the paid tier: Pro can reduce manual entry for businesses whose banks are supported.
  • Basic reports included: profit-and-loss, balance-sheet, and cash-flow reports are available for simple books.

Alternatives to compare

NerdWallet points to Xero for businesses that need more robust reporting and to Zoho Books for free-plan email support. These are conditional comparisons based on specific needs, not a claim that either product is better overall. When you compare, use the same six checks for each platform: total cost including Pro, payments, payroll, and support; reporting depth and audit history; invoicing and payment workflow; bank-feed coverage and reconciliation; inventory and other advanced bookkeeping needs; and access to a human when something breaks.

Figures to handle carefully

Wave’s product page cites a figure of 36% for the share of a small-business owner’s week spent on administrative tasks, attributed to Time Etc. The page does not state the study year, so the figure should be cited as Time Etc.’s claim rather than as Wave research. Wave’s customer testimonials are marketing material and do not establish typical results.

Checklist before you sign up

  • Confirm your bank is supported for Pro bank imports.
  • Price payments and payroll at your real volume, not the starting rates.
  • Confirm support access for the plan you will use.
  • Check whether the report types and filters you need exist.
  • Confirm whether an audit trail is required by your accountant or lender.

Pricing, payment eligibility, and support terms change, so re-check Wave’s pricing page and Help Center at the time you decide.

Wave’s Starter plan is a sound starting point for simple invoice-based businesses. The decision rests on whether Pro’s automation, plus any payments or payroll you add, is worth the cost against the reporting and support limits described above.
