Use a short, clear resignation message that states your decision and your actual final working day. A two-week timeline is common, but it is not a universal rule: check your employer’s policy and any agreement that applies to you before choosing a date.
Two weeks’ notice letter sample
Subject: Resignation – [Your Name]
Dear [Manager’s Name],
Please accept this as my resignation from my position as [job title] at [company]. My last day will be [date].
Thank you for the opportunity to work with the team. I will do what I can to support a smooth transition before my departure.
Sincerely,
[Your Name]
Replace the bracketed details with accurate information, especially the final workday. The thanks and transition offer are optional; keep them only if they suit your circumstances.

What to include in a resignation letter
- Date: Include the date you send a formal letter. In an email, the timestamp may serve as a practical record.
- Recipient details: For a formal letter, include your supervisor’s name and the company’s details.
- Direct resignation statement: Say plainly that you are resigning and identify your role.
- Final working day: Give the specific date rather than leaving the notice period open to interpretation.
- Optional courtesy: Add brief thanks or a realistic offer to help with the handoff if appropriate.
- Closing: End courteously and include your name.

Letter or email: which format should you use?
Use the delivery method your employer prefers. Email can be practical in remote or hybrid workplaces, or when an in-person handoff is not possible. If you send an email, use a clear subject line such as “Resignation – [Your Name]” and state the final workday in the message. If company policy asks for a formal letter as an attachment, follow that preference.

For a neutral, concise resignation
Keep the sample’s resignation statement and final date, then close courteously. You do not need to add a reason or extensive explanation.

Add a brief, sincere thank-you and identify a transition task you can realistically complete, such as documenting current work. Avoid promising support after your departure unless you have agreed to provide it.
When you cannot give two weeks
State the date you can actually work through. If useful, acknowledge the shorter timeline briefly and offer only feasible transition help. When possible, discuss the next steps with your manager, including final pay arrangements and how to leave courteously.
