For U.S. business owners, a costly recordkeeping mistake is mixing personal and business finances: for example, paying a household bill from a business account or depositing business receipts into a personal account. Separate accounts make transactions easier to identify and records easier to maintain, according to the IRS and the Small Business Administration (SBA). The tax example below is specifically about sole proprietors; corporations and partnerships can have different rules and entity concerns.
Why keeping the money separate matters
Mixing transactions turns a straightforward question—what did the business earn and spend?—into a sorting exercise. You may need to work out whether a deposit was customer income, your own money, or a loan, and whether a payment was a business cost or personal spending. The IRS says separate accounts make records easier to keep; the SBA warns that commingling can make bookkeeping more difficult.

SBA contributor Marco Carbajo, identified by the agency as a business credit expert, describes the bookkeeping consequence this way: “Failing to separate your personal and business finances leads to an accounting nightmare for your bookkeeper.” The SBA also cautions that commingling can put entity protections at risk. That is not an automatic outcome: the legal consequences depend on the business structure, applicable law, and facts. Ask a qualified legal or tax professional if you are concerned about your entity.

No. Paying a personal expense with business funds does not make it a deductible business expense. The IRS says personal, living, or family expenses are generally not deductible. Its sole-proprietor FAQ puts it plainly: “You wouldn’t write off personal expenses as business expenses because they’re not ordinary and necessary costs of carrying on your trade or business.”

If the business earned the money, using some of it for personal spending does not remove that amount from gross business income. The IRS FAQ addresses sole proprietors; it is not a complete guide to how corporations or partnerships should classify payments or report them. Record the transaction accurately, and ask a tax professional how it applies to your business structure and return rather than relabeling it as a business expense.
How should you record business transactions?
IRS Publication 583, Starting a Business and Keeping Records (December 2024 edition), recommends using the business account for business purposes only and keeping records that show the source of deposits and support payments. A practical routine is:

- Use a dedicated business account for business activity. Keep personal purchases and household bills out of it. IRS Publication 583 states: “Use the business account for business purposes only.”
- Identify each deposit. Record whether it is business income, personal funds you put into the business, or a loan. Keep the relevant supporting information so the source is clear later.
- Document payments and withdrawals. Keep receipts or another explanation that shows what a payment was for. If business funds paid a personal cost, record it as personal rather than as a deductible business expense.
- Reconcile the account records. Compare the account activity with your books so transactions are accounted for and unclear items can be addressed while you still have the details.
A check register can be a useful paper aid for listing transactions, but it does not replace separate accounts, accurate classifications, or supporting documentation. The IRS also recommends keeping records that substantiate business transactions.
What if you have already mixed the accounts?
Start by gathering account statements, receipts, and explanations for the transactions. Separate business activity from personal activity in your records, identify the source of deposits, and do not claim personal spending as a business deduction. If a payment’s treatment is unclear—or the business is a corporation or partnership—have a qualified tax professional review the records and advise how to report or correct it. For possible effects on entity protections, consult a qualified legal professional.
