The free plan is particularly useful for a solo operator or a small sales team that mainly needs a shared database, tasks, deal stages, and basic reporting. HubSpot also provides a clear path into marketing, customer service, and sales features as the business becomes more sophisticated.

The important pricing distinction is between Smart CRM and Sales Hub. Smart CRM is the underlying record and data-management system. Sales Hub adds prospecting, sales coaching, pipeline tools, and related sales functionality. HubSpot’s CRM product page shows paid CRM tiers from $15 per seat/month for Starter, $50 for Professional, and $75 for Enterprise, but those figures should not be treated as the complete price of every Sales Hub edition.

Sales Hub also uses HubSpot Credits. The current allowances are 500 credits for Starter, 3,000 for Professional, and 5,000 for Enterprise each month. Unused credits do not roll over, and additional credits cost $0.010 each.

Its paid editions are Standard, Professional, Enterprise, and Ultimate. Annual list pricing is $14, $23, $40, and $52 per user/month, respectively. Monthly pricing is higher at $20, $35, $50, and $65.

Zoho becomes more attractive when a business needs customization. For example, the published custom-module limits rise from 10 on Standard to 25 on Professional, 200 on Enterprise, and 500 on Ultimate. That gives a growing company room to model different products, service lines, or business processes without immediately moving to an enterprise platform.

Zoho uses a pay-as-you-go structure without a fixed contract. To change plans, sign in to Zoho CRM, click Upgrade on the Home page, and use the Subscription page to switch editions.

The headline price is not the whole Salesforce story. 4. Pipedrive: best visual sales pipeline

Freshsales Suite combines CRM functions with chat, email, and phone tools, making it appealing to a small business that does not want to assemble those capabilities separately.

The Free plan supports up to three users. Annual pricing for paid plans is $9/user/month for Growth, $39 for Pro, and $59 for Enterprise. Growth includes 500 marketing contacts, Kanban views, contact lifecycle stages, chat, email, phone, templates, and custom fields.

6. monday CRM: best for a customizable team workspace

monday CRM is a natural fit for businesses already comfortable with board-based project-management software. Teams can adapt the workspace to their own sales process instead of working within a rigid traditional CRM layout.

The public pricing page lists Basic at $12/seat/month when billed annually or $18/seat/month when billed monthly. The product starts at three users, so a one-person business cannot simply multiply the advertised price by one. Teams with more than 40 users must request a quote.

Basic includes up to 1,000 active contacts and deals, one custom dashboard, a maximum of five columns per board, and up to 20 quotes and invoices per month. Annual billing is discounted; monday’s FAQ states an 18% annual-plan discount. There is a 14-day trial, after which continued full-feature access requires a paid plan.

To change the plan, go to Admin, select Billing, and choose Change plan. The company now calls the former Enterprise tier Ultimate.

Best for: Teams that want CRM records connected closely to projects, tasks, and internal workflows.

Watch the cost: The three-user minimum and team-size pricing can make monday CRM more expensive than the advertised per-seat figure for very small businesses.

7. Less Annoying CRM: best for simple, transparent pricing

Less Annoying CRM takes a deliberately narrow approach. It focuses on contacts, follow-ups, pipelines, and relationship management rather than trying to become an all-in-one marketing and commerce platform.

There is one paid tier at $15 per user/month after a 30-day trial. The trial includes the full product without feature limitations. The company says there are no contracts, setup fees, onboarding fees, or upgrade charges, and billing is month to month.

That simplicity is the main attraction. A small business can estimate its software cost by multiplying the number of users by $15, without sorting through multiple feature tiers or mandatory implementation packages. Data can also be exported to a spreadsheet, which reduces the risk of being trapped in the platform.

  1. Count the users who need paid access. Do not assume every employee needs a full seat. Some products offer view-only access, while monday CRM has a three-user minimum.
  2. Separate annual and monthly pricing. A $14 annual price is not equivalent to a $20 monthly price. Decide whether the discount is worth committing to annual billing.
  3. Estimate contacts, not just users. Freshsales marketing contacts, Capsule records, HubSpot credits, and Keap contacts can materially affect the bill.
  4. List the required features. Write down whether you need email sync, phone, lead routing, automation, quotes, payments, project management, or e-signatures. Then check which plan includes each item.
