The right accounting app depends less on the size of your business than on how money moves through it. A freelance designer primarily needs invoices, expenses, and tax-ready reports; a retailer needs inventory and cost tracking; a growing agency may care most about multiple users, project profitability, and controls for an outside accountant.

For 2026, our top picks are FreshBooks for service businesses, QuickBooks Online for businesses selling products and services, and Wave for microbusinesses that need basic accounting at the lowest possible cost. Sage 50 Accounting, Zoho Books, Xero, and QuickBooks Solopreneur are better matches for specific situations. These picks align with PCMag’s 2026 roundup.

According to the FreshBooks U.S. pricing page, plans start at $21 per month for Lite, which supports invoices for up to five clients. Plus costs $38 per month and supports up to 50 clients; Premium costs $65 and supports unlimited clients. Select uses custom pricing. FreshBooks advertises a 30-day trial.

Lite is not the same as full-featured accounting software. General accounting reports, the chart of accounts, general ledger, trial balance, proposals, retainers, and receipt scanning are limited to Plus, Premium, and Select. Bank reconciliation is also unavailable on Lite. Accounts payable, bills, vendors, and project profitability require Premium or Select, according to FreshBooks’ plan details.

To connect a bank, use Accounting → Add Bank Account → Connect to Bank. To establish reconciliation, select Set your opening balance, enter the reconciliation start date and opening balance, choose Continue, and then select Let’s Go.

FreshBooks bank connections may retrieve only 30 to 365 days of activity, depending on the institution. Older transactions have to be imported from a file. Crypto, investment, line-of-credit, and loan accounts are not supported through Bank Connections and Bank Reconciliation, according to FreshBooks’ bank-import guidance.

Payment processing is an additional cost. Standard U.S. card payments are 2.9% plus $0.30, while ACH costs 1%, with caps available on Select. FreshBooks does not return the original processing fee when you issue a refund. See FreshBooks’ payment-fee details.

Best for products and services: QuickBooks Online

QuickBooks Online is our Editors’ Choice for businesses that sell both products and services. It is the broadest fit in this group for a business that expects to move beyond simple invoicing and wants a widely supported accounting platform. It is also a practical choice when your accountant already works in QuickBooks.

The Intuit pricing page lists these regular U.S. monthly prices:

  • Simple Start: $38 per month for one user
  • Essentials: $75 per month for three users
  • Plus: $115 per month for five users
  • Advanced: $275 per month for 25 users

Accountant access is separate from those standard user limits. The current signup page advertises 50% off for three months and a 30-day trial, but $38 is the normal Simple Start price—not $19. Intuit has announced price changes for Essentials, Plus, and Advanced renewals on or after August 1, 2026. Simple Start, Free, Lite, and Ledger prices are unchanged, and recent subscribers retain their subscription price for the first six months. See Intuit’s price-change notice for the renewal details.

To connect a bank or credit-card account, go to All apps → Accounting → Bank transactions → Connect account. If the account already exists, the button is Link account. Imported transactions appear under For review, Categorised or Reviewed, and Excluded, as described in QuickBooks’ bank-connection instructions.

Bank feeds are useful but not automatic bookkeeping. QuickBooks does not download pending transactions; the bank must post them first. Be especially careful when matching a downloaded payment to an invoice or bill: an incorrect match marks that invoice or bill paid and can make accounts receivable and reports wrong. QuickBooks also cannot connect both a parent account and its subaccounts. If your bank sends the same opening balance to every subaccount, you may need to remove duplicate opening-balance entries during reconciliation. If your online-banking credentials change, reconnect through All apps → Accounting → Bank transactions → select account → Edit → Edit sign in info. Best free option for basic accounting: Wave

Wave is our Editors’ Choice for microbusinesses that need basic accounting. The Starter plan costs $0 per month and includes unlimited estimates, invoices, bills, and bookkeeping records. It is a sensible starting point for a low-volume freelancer or a very small business willing to handle more of its banking work manually.

Wave Starter is not “fully free” if you expect modern bank-feed automation. Automatic bank-transaction imports, automatic merging and categorization, digital receipt capture, and automatic late-payment reminders are Pro features. Pro costs $19 per month or $190 per year, according to Wave’s pricing page.

Find the transaction tools at Accounting → Transactions. Use the All accounts dropdown to add or manage bank connections or add an account. The More menu includes Connect your bank and Upload transactions, as shown in Wave’s Transactions-page guide.

Wave’s payment fees also matter. Starter online card payments cost 2.9% plus $0.60 per credit-card transaction and 3.4% plus $0.60 for American Express. Pro waives the fixed fee for the first 10 cumulative monthly transactions, after which the standard fixed fee applies. If your customers pay by card frequently, compare processing costs rather than looking only at the subscription price. See Wave’s pricing and fee details.

Best for inventory tracking: Sage 50 Accounting

Sage 50 Accounting is the specialist choice for inventory. It offers both a web/cloud version and a local Windows desktop application, and it is substantially more capable than a typical sole proprietor needs. It is not the default recommendation for a consultant who sends a few invoices each month. A simpler product will usually require less setup and reduce the temptation to pay for controls and workflows you will never use. Consider Sage 50 when inaccurate stock counts or product costs are creating real financial problems—not merely because the business has a few items to sell.

Best for a larger small business: Zoho Books

Zoho Books is a strong value choice as a small business adds users and operational complexity. Its U.S. monthly plans are Free, $20 Standard, $50 Professional, $70 Premium, $150 Elite, and $275 Ultimate. Annual billing lowers the displayed monthly equivalent. See Zoho Books’ pricing comparison.

The Free plan allows one user plus one accountant. Standard allows three users, Professional five, Premium and Elite 10, and Ultimate 15. The free plan can import bank statements, but it does not directly import bank transactions. That distinction is important: a business looking for automatic bank feeds may need a paid plan or another product. See PCMag’s roundup.

To change plans, go to Settings → Manage Subscriptions under Organization, choose Change Plan, select Upgrade under the desired plan, choose the payment frequency, and then select Continue → Confirm. See Zoho Books’ plan-change instructions.

Best for multiple users: Xero

Xero is the best fit when several people need access without per-user charges. Its plans do not charge separately for each user, and Xero includes employee expense claims. PCMag identifies it as the only reviewed product in this group with both employee-expense reporting and fixed-asset support. See PCMag’s roundup.

According to Xero’s U.S. pricing page, regular prices are $25 per month for Early, $55 for Growing, and $90 for Established. The important qualification is that “unlimited users” does not mean unlimited activity. Early is limited to 20 invoices and five bills, and those limits apply to both sending and approving. Growing and Established remove those Early-plan caps. Inventory Plus is an optional add-on on the higher plans.

Xero includes standard domestic ACH bill payments in its business plans, although other payment methods may carry fees. Auto-reconciliation is labeled beta on Growing and Established, so do not treat it as a fully mature replacement for reviewing your books. See Xero’s plan details.

Best for a solo entrepreneur: QuickBooks Solopreneur

QuickBooks Solopreneur is designed for a one-person business that needs more than a spreadsheet but less than a full operations platform. It replaced the deprecated QuickBooks Self-Employed product. Its tools include mileage tracking, income-tax planning, invoicing, estimates, and income and expense management.

The trade-off is scope. Solopreneur does not include bills or inventory tracking. It can be a good match for a freelancer who invoices clients and wants business mileage and tax planning in one place, but it is the wrong direction if you expect to hire staff, manage unpaid vendor bills, or carry significant stock. How to choose without overpaying

  1. List the transactions you actually handle. Separate invoices, card payments, vendor bills, payroll, inventory purchases, mileage, and reimbursable expenses. Do not pay for inventory if you only sell services.
  2. Decide whether bank feeds are essential. Wave Starter and Zoho Books Free are inexpensive partly because they leave important bank-feed functions out. FreshBooks may require a file import for older activity.
  3. Count users, not just employees. Include the owner, bookkeeper, accountant, and anyone approving expenses. Xero’s unlimited-user model may beat a cheaper per-tier product for a collaborative business.
  4. Price the renewal, not the trial. Record the regular monthly price, payment-processing fees, add-ons, and the date any promotion ends. A 50% discount for three months is not the ongoing cost.
  5. Test a reconciliation before committing. Connect a real or test account, inspect how pending and posted transactions appear, and try matching a payment to an invoice. This exposes workflow problems before your books depend on the software.
  6. Ask what your accountant can support. Familiarity with a platform can reduce cleanup costs and make tax-season handoff easier, even if another app looks slightly cheaper.

What we looked for

We compared the products on everyday bookkeeping tasks rather than headline feature counts: invoice and expense workflows, bank connections, reconciliation, user limits, inventory or project needs, plan restrictions, and the cost of payment processing. We also treated free plans and promotional pricing cautiously. A free subscription is not necessarily free bookkeeping if it requires manual transaction entry, and a low introductory price is not the price you will pay after renewal.
