Choosing an internal IT help desk is partly a workflow decision and partly a budget decision. The right platform should reduce time spent sorting tickets, give employees a reliable self-service option, and provide enough asset, change, and reporting tools to justify its subscription.

We’ve also separated the strongest low-cost, beginner-friendly, AI-focused, and larger-SMB options so you can compare the likely trade-offs before requesting quotes.

The workflow editor uses a flowchart-style design. You can use it to automate reassignment, grouping, and resolution steps, which is useful when a small IT team needs consistent handling without manually shepherding every ticket. The platform also supports ITIL-oriented workflows, reports, ticket automation, AI categorization, summaries, sentiment analysis, escalation, knowledge-base generation, and virtual-agent self-service.
That breadth comes with implementation work. An AI self-service agent is only as useful as the knowledge base behind it, and building a sufficiently complete knowledge base takes time. Mobile access is also off by default. Halo’s iOS app mirrors much of the browser experience but does not provide every administrative or advanced triage function, including the ability to view other agents’ tickets. PCMag did not confirm a Windows client, and HaloITSM does not offer live-chat support; support is provided through self-service resources, phone, and email.
Halo prices by the number of support staff rather than publishing feature-restricted tiers in the tested review. Because no verified public dollar figure is available, ask for a quote based on your actual agent count and list the AI, asset, reporting, and support features you need.
Freshservice: Best for Ease of Use
PCMag score: 4.0 out of 5
Freshservice is a good fit for a team that wants ITSM features without a steep learning curve. Its interface is clear, and it includes ITIL support, asset, change, and project management, reporting, and integrations with Slack and Microsoft Teams. Current Freshworks materials also list email, phone, chat, widgets, support portals, mobile apps, and ServiceBot capabilities for Microsoft Teams and Slack.
Freshservice’s current annual prices are:
- Starter: $19 per agent per month
- Growth: $49 per agent per month
- Pro: $99 per agent per month
- Enterprise: custom pricing
Freshworks advertises a 14-day unrestricted trial with no credit card required. AI pricing needs careful checking: Freddy AI Agent is included with Enterprise, while other AI capabilities depend on plan and usage. A current comparison has listed Freddy AI Copilot at $29 per agent per month when billed annually and requiring Pro, but Freshworks’ current pricing presentation packages AI differently. Confirm the quote before comparing Freshservice with Zendesk.
Freshservice is not the cheapest option once you add higher tiers, AI, and a larger agent roster. It is appealing when onboarding speed and a polished employee experience matter more than achieving the lowest monthly price.

HappyFox Service Desk: Best for Beginners
PCMag score: 4.0 out of 5
HappyFox Service Desk keeps the core experience approachable. Its ticket and knowledge-base interfaces are simple, while Canned Actions can insert a prepared response and change ticket properties in one step. Smart Rules can route tickets and set priority levels automatically. Custom reporting and asset management round out the package.
For a small team, those shortcuts can matter more than an extensive ITIL feature list. A technician can turn a repetitive password, access, or equipment request into a controlled workflow instead of repeatedly writing the same response and changing the same fields.
The drawbacks are cost and AI packaging. HappyFox is more expensive than several competitors, and premium AI requires a paid add-on. A two-year commitment may reduce the effective price, so compare the total contract cost—not just the advertised monthly rate—against monthly and annual options. Request a quote that includes every technician, AI feature, asset function, and reporting requirement.
ManageEngine ServiceDesk Plus: Best for IT Professionals

ManageEngine ServiceDesk Plus is built for administrators who want detailed control over reports, workflows, assets, and integrations. Its workflow builder supports prompts through the Zia AI bot, while the broader ManageEngine and Zoho ecosystems can reduce integration work if your organization already uses those products.
The free Standard edition supports up to five technicians. That is a technician limit, not a three-user allowance. ManageEngine’s current pricing page separates Cloud and On-Premises editions. The displayed on-premises starting rates are $13 per technician per month for Standard, $27 for Professional, and $67 for Enterprise. Asset management appears with Professional and Enterprise on the displayed table. Only one ServiceDesk Plus instance may use the free version when multiple instances are deployed.
The trade-off is usability. The interface is comparatively spartan and less welcoming to newcomers than Freshservice or HappyFox. A team with an experienced IT administrator may value the control; a general office manager setting up a first help desk may spend more time learning the system.

Vivantio: Best for Larger SMBs

Vivantio suits a growing small or midsize business that needs flexible, ITIL-oriented workflows and wants predictable flat pricing rather than a long list of feature tiers. It combines reporting with asset and knowledge management, giving a larger internal support operation room to formalize processes.
Flat pricing can make budgeting easier, but you still need to establish what the quote covers. Ask whether the proposal includes all agents, requesters, asset records, integrations, implementation help, and AI functions. Vivantio does not offer live chat or chatbot support, and PCMag’s tested configuration did not include dedicated smartphone apps.
Zendesk for Employee Service: Best AI Features
PCMag score: 4.0 out of 5
Zendesk for Employee Service brings Zendesk’s broad integration ecosystem and AI capabilities to internal employee support. It supports knowledge management, asset and change management, analytics, and multichannel intake. AI features are available across the product line, but that does not mean every AI capability is unlimited or included in the base subscription.
Current annual pricing is:
- Suite Team: $29 per agent per month
- Suite Growth: $59 per agent per month
- Suite Professional: $99 per agent per month
- Suite Enterprise: contact sales
Copilot is listed at $50 per agent per month when billed annually. Zendesk offers a 14-day trial using Suite Professional features, with Copilot included by default during the trial.

Spiceworks is the budget pick for a small team that needs ticket intake, canned responses, ticket rules, custom attributes, reporting, and inventory or device capabilities without a standard subscription bill. The free service is ad-supported. A paid option advertised at $5 per month removes ads and adds checklist workflows and bulk actions; confirm whether that price applies per account, technician, or another billing unit before putting it in a budget.

Spiceworks can provide useful device and inventory information, but describe it as inventory capability rather than assuming it includes a full IT asset-management module. PCMag’s specification table marks asset management as false. It is also the only product in this roundup that does not position itself as an ITSM solution aligned with ITIL.
The interface looks dated compared with newer competitors, and the free product may not provide the governance, service catalog, or change-management depth needed by a larger IT department. How to choose an IT help desk platform
1. Count technicians, not just employees
Most vendors charge by agent or technician, while employees who submit tickets may be treated differently. Build a simple estimate using the number of people who will actively resolve tickets. For example, five technicians at $19 per month is $95 per month before taxes, add-ons, or higher-tier requirements. If AI costs $50 per agent per month, adding it to those five accounts adds $250 per month.
2. Decide whether you need ITSM or only ticketing
A basic help desk can collect requests, assign them, track status, and store replies. ITSM platforms add functions such as asset association, change requests, approvals, service catalogs, incident management, project work, and ITIL-oriented reporting. If your immediate need is “give employees one email address for IT,” a complex ITSM deployment may cost more in setup time than it saves.
3. Test the employee intake experience
Verify how a user creates a request from email, a portal, Slack, Microsoft Teams, mobile, chat, or a widget. Confirm that replies remain attached to the same ticket and that duplicate requests can be merged. Freshservice’s current materials, for example, list email, phone, chat, widgets, portals, mobile apps, Slack, and Teams-related capabilities—but individual features vary by plan.
4. Price the features that prevent manual work
Ask vendors to demonstrate routing rules, escalation timers, canned responses, approval paths, knowledge suggestions, and automated closure. Then ask which plan includes each feature. A low base price can become expensive if automation, AI, reporting, asset tracking, or dashboards require an upgrade.

5. Check migration, identity, and security requirements
Before signing, confirm import options for existing tickets, users, assets, and knowledge articles. HaloITSM, for example, can synchronize employee records through Microsoft Entra ID—formerly Azure AD—or Google Workspace, and can also import CSV data or accept manual entries. Check single sign-on, role controls, audit logs, data retention, export capability, and backup policies as well.
What IT help desk software should include
At minimum, look for multichannel intake; ticket creation, routing, history, and tracking; a searchable knowledge base or self-service portal; integrations; automation; reporting; escalation; and a way to associate requests with devices or other assets. IT help desk software is primarily for internal employees, unlike customer-service help desk products designed for external users.
ITSM means Information Technology Service Management. ITIL, or Information Technology Infrastructure Library, is a framework of practices—not a government certification and not a guarantee that a particular implementation is compliant.
