Business backup is not the same as keeping files in Google Drive, OneDrive, Dropbox, or a synced NAS. Synchronization copies changes quickly—including accidental deletions and ransomware-encrypted files. A backup service keeps recoverable versions so you can restore yesterday’s spreadsheet, last week’s customer database, or an entire employee computer.

For most small businesses, the best choice is not the service with the largest storage number. It is the one that covers every endpoint, keeps enough history, makes restores understandable, and does not turn a serious recovery into an expensive support project.

Prices change frequently by seat, storage amount, contract term, region, and promotional offer. Before comparing monthly figures, check whether the quote includes unlimited storage, server protection, retention, support, restore media, and fees for downloading data. A low storage rate can become expensive when a company must recover several terabytes under time pressure.

Its appeal is predictable administration. You do not need to estimate the size of every laptop before purchasing a seat, and a central administrator can manage the organization’s protected computers. That makes it useful for businesses with remote employees and modest IT resources.

The tradeoff is scope. A business with SQL databases, virtual machines, on-premises file servers, complex legal retention requirements, or a need for bare-metal recovery should not assume an endpoint product covers those workloads. Ask specifically about server agents, database-aware backups, retention periods, and recovery options before deployment.

2. IDrive 360 Endpoint: best for centralized endpoint control

Confirm whether the quote is for endpoint backup, server backup, cloud-drive storage, or a combination. Also check the renewal price rather than evaluating only the first-year offer.

3. CrashPlan: best for long file history

CrashPlan is aimed at organizations that want continuous file backup and substantial historical retention. This is particularly useful for companies whose files change frequently but must remain recoverable for months or years.

Long retention can protect against slow-moving problems. An accounting file might be corrupted but not noticed until a quarterly report is prepared. A customer folder could be deleted during an employee transition and discovered much later. If the backup policy keeps only 30 days of history, those recovery points may already be gone.

Retention also creates a cost and governance question. Old files may contain personal information, contracts, or payment-related records. Set a documented retention period instead of retaining everything forever. When an employee leaves, decide whether the account is frozen, transferred, or deleted—and how that decision affects the backup copy.

4. Acronis Cyber Protect Cloud: best for servers and broader recovery

Acronis Cyber Protect Cloud is designed for more complicated environments than a basic computer-backup service. Depending on the package and provider, it can cover full-machine images, servers, virtual machines, Microsoft 365 workloads, disaster recovery, and security functions.

Full-image backup is valuable when a failed computer or server must be rebuilt quickly. Instead of reinstalling the operating system, applications, settings, and data separately, the business can restore a complete machine image to compatible hardware or a virtual environment.

The product is also easier to overbuy. Businesses should list the workloads they actually need protected before accepting a bundle. A five-person office with laptops and cloud-based applications may not need advanced disaster recovery or endpoint security through the same vendor. A managed service provider can make Acronis easier to operate, but that adds another recurring cost and contract relationship.

5. Carbonite Safe Pro: best for guided small-business deployment

Carbonite is worth considering when the priority is a guided, relatively approachable backup experience. It can suit professional offices that want to protect employee computers and business files without building a backup system from separate storage and management components.

Before signing up, verify the exact plan’s coverage. Carbonite products differ in whether they protect individual computers, servers, external drives, or larger business environments. Confirm how many computers and servers are included, whether image-based recovery is available, how long deleted files remain recoverable, and whether a physical recovery option is offered.

Support quality is part of the price. If nobody at the company has restored a backup before, a cheaper plan with limited assistance may cost more during an emergency than a supported business plan.

6. Wasabi with compatible backup software: best for technical teams

Wasabi is cloud object storage rather than a finished backup service. A business can connect it to backup software that supports S3-compatible storage, then control the backup schedule, encryption, retention, and recovery process through that software.

This approach can be economical for companies with technical staff or an IT provider. It separates the storage bill from the backup application and can provide a useful destination for immutable or off-site copies.

It is not a good choice merely because the storage price looks low. You must account for the backup application, monitoring, support, administrator time, data-transfer behavior, and testing. If a failed server needs to be restored at 2 a.m., the company—not the storage provider—may be responsible for diagnosing the backup job and initiating recovery.

How to choose a business backup service

  1. Inventory the data. List laptops, desktops, file servers, virtual machines, databases, Microsoft 365 or Google Workspace data, accounting systems, and any NAS devices. A service that protects only laptops is not a complete answer if the company’s most important records live on a server.
  2. Define the recovery target. Decide how much data the business can lose, known as the recovery point objective, and how long it can operate without the system, known as the recovery time objective. A small office may tolerate a one-day recovery for archived files but need a much faster recovery for a point-of-sale system.
  3. Check versioning and deletion protection. Look for retention locks, immutable storage, delayed deletion, and separate administrator credentials. These controls help prevent an attacker who compromises an administrator account from deleting every backup.
  4. Review encryption. Confirm encryption in transit and at rest. If the provider offers a customer-held or private encryption key, understand the consequence: losing that key may make the backups permanently unreadable, while giving the provider control may simplify recovery but reduce exclusive control.
  5. Test a real restore. Restore individual files, a folder, and—if relevant—a complete machine or server. Record the steps, elapsed time, permissions behavior, and any missing application data. A successful backup-job report does not prove that the backup is usable.
  6. Calculate the full cost. Include seats, storage overages, server or database agents, premium support, retention, archive storage, recovery media, implementation, and the labor required to monitor failures.

Network and security details that affect the decision

Cloud backup depends on the internet connection for the initial upload and later restores. A first backup of 2 TB over a sustained 50 Mbps upload connection takes roughly 3.7 days in ideal conditions; real-world overhead, Wi-Fi interruptions, throttling, and other traffic can make it longer. Schedule the initial upload outside working hours and ask whether the provider offers local seeding or shipped recovery media.

Use multifactor authentication for every administrator account, separate backup administration from ordinary employee accounts, and enable alerts for failed jobs, unusual deletion, and disabled protection. Keep at least one recovery path that an attacker cannot reach through the same credentials used to manage production data.

The practical version of the 3-2-1 rule is three copies of important data, on at least two types of media or systems, with at least one copy off-site. For ransomware-sensitive businesses, add immutability or offline isolation where possible. A second cloud copy is not automatically independent if both services use the same compromised administrator credentials.

Questions to ask before buying

  • Does the service protect the exact operating systems, servers, databases, and SaaS applications we use?
  • How many historical versions are retained, and for how long?
  • Can an administrator delete all backups immediately?
  • Are backups immutable, or can ransomware reach them through the management console?
  • What is included in the quoted price, and what happens at renewal?
  • How does a full restore work, and who performs it?
  • Are data-transfer, recovery-media, or emergency-support charges separate?
  • Can we export our data if we cancel?
