Official pricing lists Unite Pro at $27.99 per user per month and Unite Enterprise at $32.99. Pro also includes unlimited AI-enabled meetings and unlimited domestic and international calling to 34 countries, subject to the plan’s terms.

The relatively higher entry price can make sense when it replaces several separate subscriptions or when a small business lacks dedicated IT staff. Microsoft Teams users may also find the integrations useful.

Best fit: Startups and small businesses that value an approachable interface and a broad bundle more than the lowest per-seat price.

3. Zoom Phone: Best value for Zoom users

PCMag score: 4.0/5. Zoom Phone is a strong option when your staff already uses Zoom Meetings. The recommended comparison plan is US and Canada Regional Unlimited at about $15 per user per month. Zoom also offers a lower metered tier at about $10, but that plan charges for usage and is not automatically cheaper for people who make regular outbound calls.

Zoom Phone’s price needs careful interpretation. Confirm the country, annual or monthly billing term, and whether Zoom Phone is being purchased alone or as part of Zoom Workplace. A bundle can change both the price and the included features.

Zoom supports end-to-end encryption in restricted circumstances. During an active Zoom Phone call, select More → End-to-end encryption; on mobile, tap More → End-to-end encryption. Both parties must be in the same Zoom account, both must have the feature enabled, and automatic recording must be disabled or stopped.

That security mode is not available for ordinary external telephone numbers and can prevent transfer, monitoring, merge, hold music, park, call flip, and other controls. It also may not work from the web client or many certified desk phones.

Best fit: Teams already invested in Zoom that want predictable domestic calling without paying for a larger UCaaS bundle.

Watch out for: The $10 metered plan can be misleading if employees make frequent calls. Also check that your desk-phone model remains certified; providers periodically stop supporting older hardware.

4. Vonage Business Communications: Best as a communications hub

5. 8×8 Work: Best for basic calling

PCMag score: 4.0/5. 8×8 Work is worth considering if you want standard business calling and do not need every advanced collaboration or AI feature. The listed pricing is $15 per user per month for X1, $25 for X2, with X4 positioned as the advanced tier.

X4 is the listed tier with call barging, monitoring, and whispering. Some integrations and advanced AI functions cost extra, and PCMag described automatic call transcription as being in beta during testing. Do not assume that X1 includes the platform’s full AI feature set; some advanced sentiment-analysis features also cost extra.

“Unlimited” calling also needs scrutiny. Calling zones, fair-use limits, international destinations, mobile numbers, and premium numbers can differ by plan.

The tested review identified Standard as supporting one person and Pro as supporting up to 10 users; verify those limits in the purchase flow because providers can change plan rules separately from headline prices. Some advanced analytics are reserved for Dialpad’s contact-center product.

Best fit: A small team that will actively use AI notes, transcription, and call workflows.

Watch out for: A low per-user price is less useful if your team exceeds the plan’s seat limit or needs contact-center analytics.

7. Microsoft Teams Phone: Best for Microsoft 365 users

The $10 Standard license is not a complete standalone business phone service. It requires a separate Teams license, and it does not provide the same PSTN calling package as the $17 Calling Plan option. Add the existing Microsoft license cost and any calling charges before comparing it with RingCentral or Zoom.

Teams supports end-to-end encryption for supported one-to-one Teams calls; it is not a general guarantee for PSTN calls. Administrators configure it in the Teams admin center by going to Enhanced encryption policies, selecting the default policy or choosing Add, setting End-to-end call encryption to Not enabled, but users can enable, and selecting Save. Users must then enable encrypted calling in their own Teams settings.

9. Zoho Voice: Best for Zoho customers and light users

PCMag score: 3.5/5. Zoho Voice is attractive when your business already uses Zoho applications or needs a modest calling setup. Paid plans begin at about $10 per user per month billed annually. Zoho also identifies a free tier with 250 outgoing minutes for one user, but availability and minute rules can vary by region.

Zoho Voice can transcribe voicemails, but it does not provide live call transcription or AI-generated call summaries in the tested review. It also lacks built-in video conferencing.

How to calculate the real VoIP cost

Start with the monthly seat price, then build a simple total-cost estimate:

  1. Count required users. Include receptionists, managers, remote workers, shared phones, and temporary staff who need individual licenses.
  2. Separate calling types. Identify domestic, international, toll-free, premium, and mobile-number usage. “Unlimited” usually applies only to defined destinations.
  3. Add required software licenses. Teams Phone Standard, for example, requires a separate Teams license. A phone plan may also overlap with Zoom, CRM, storage, or contact-center subscriptions.
  4. Price hardware. Include desk phones, headsets, adapters, shipping, replacement units, and installation. A browser-only deployment may avoid much of this cost.
  5. Include taxes and fees. These can be especially important for services such as Ooma, where location affects the final bill.
  6. Budget for administration and connectivity. Cloud management reduces PBX hardware, but poor Wi-Fi, packet loss, latency, or inadequate bandwidth can require network upgrades.

For example, 10 users at $15 per month appears to cost $150 monthly before taxes and extras. If five users need a $10 monthly add-on, the software total becomes $200. Add a separate Microsoft or Zoom license, phone hardware, and regulatory fees before deciding that the cheaper headline plan wins.

What to test before switching

  1. Run calls from every important location. Test the office, home networks, VPN connections, and mobile apps. Remote workers’ Wi-Fi quality is often the weakest link.
  2. Test the actual call paths. Call external numbers, transfer calls, park calls, use auto attendants, retrieve voicemail, and test business texting if it matters.
  3. Check emergency calling details. Confirm how the provider handles registered locations, remote users, and emergency-service updates.
  4. Verify desk-phone models. Support for Poly, Cisco, or Yealink does not guarantee support for every model. Ask whether the provider provisions the device automatically.
  5. Check recording and encryption conflicts. Zoom and Teams restrict E2EE when recording or certain call controls are required. A security feature that disables your compliance workflow may not be usable in practice.
  6. Review cancellation terms. Compare annual commitments, number-porting fees, hardware return rules, early termination charges, and price changes at renewal.

Where Grasshopper fits

Grasshopper can be useful for a sole proprietor or very small business that mainly needs a professional number and call routing. It generally routes calls through existing mobile or landline devices, with optional VoIP or Wi-Fi calling. It is not a full UCaaS replacement: the service lacks external SIP support and broad business-service integrations.
