The most effective thank-you message names what the person did or gave, then adds one detail about why it mattered to you. Use the examples below as starting points, adjusting the wording to sound natural for your relationship and the occasion.
What to write in a thank-you card
A useful thank-you note has four parts: a greeting, a direct expression of thanks, a personal detail, and a fitting close. Add a line about seeing the person or keeping them updated only when it is genuine.
- Greet the person: Use the name they prefer and a level of formality that suits your relationship.
- Thank them directly: Say what you are grateful for rather than relying on a general “thanks.”
- Make it personal: Mention how you will use a gift, what their help made possible, or a moment you appreciated.
- Close naturally: Choose a warm sign-off for someone close or a measured professional closing for a work contact.
A printed sentiment in a card can be followed by a short personal line. A blank card gives you room for a fuller message. Hallmark’s guide recommends beginning with the words “Thank you” and writing in your own voice; its message guide is credited to Keely Chace and dated April 20, 2022 (Hallmark: How to Write a Thank You Note; Hallmark: Thank-You Messages).

Name the gift, then add a detail about how you will use or enjoy it. For money, you can acknowledge the generosity without sharing what you plan to spend it on.

Professional relationship thank-you messages
Keep a work-related note warm but concise. Be specific about the meeting, introduction, feedback, or guidance, and say what you valued or how it helped.

What to write if your thank-you note is late
Send the note when you can. Briefly acknowledge the delay, then focus on your thanks rather than offering a long explanation.
“I’ve been meaning to thank you for [specific gift or help]. I’m sorry this note is late; I appreciated it and wanted you to know [personal detail].”

These distinctions come from the Emily Post Institute’s guidance on thank-you notes and sympathy acknowledgements (Thank-You Notes: To Send or Not To Send?; Sympathy Notes 101: A Guide to Sympathy Messages). Its wedding timing is specific to gifts, while the separate Hallmark party-and-shower suggestion is a different rule of thumb.
Thank-you messages for condolences and bereavement support
After a loss, a short, personal acknowledgement is enough. You can mention what the gesture meant without trying to find elaborate words.
- “Thank you for the meal and for checking in on us. Your kindness has brought comfort during a difficult time.”
- “Thank you for the flowers and for thinking of our family. Their beauty brought comfort, and we’re grateful for your kindness.”
- “Thank you for your message and for remembering [name]. It means a great deal to our family.”
Emily Post’s advice is to say what you truly feel. If writing is too difficult, someone else can help acknowledge personal expressions of sympathy; there is no need to reply individually to every online condolence or service attendee (Emily Post Institute: Sympathy Notes 101).

How to make a message sound like you
- Be concrete: Replace “Thanks for everything” with the particular gift, favor, invitation, or support.
