A T-account template is a blank worksheet that shows an account in the shape of a capital “T”: debits go on the left and credits go on the right. It is useful for accounting homework, learning double-entry bookkeeping, analyzing journal entries, and checking how a transaction affects individual accounts.
Choose a printable PDF for handwritten practice, Excel for formulas and offline editing, or Google Sheets for browser-based collaboration. A T-account is an analysis and learning tool—not, by itself, a complete bookkeeping system.

For downloadable examples, Jetpack Workflow lists Excel, Google Sheets, and PDF formats. Corporate Finance Institute provides a free Excel T-account resource, while Business Accounting Basics offers Excel and PDF versions.
“Free” can mean free to download rather than free to redistribute. For example, Business Accounting Basics states that its downloads are for personal or business use but may not be shared, distributed, or resold. Check each provider’s terms before republishing or modifying a downloaded file.

The minimum useful fields are the account name, date, description, debit amount, and credit amount. Adding a journal-entry reference makes the worksheet more realistic and easier to audit later.
Spreadsheet version
For a single-account Excel or Google Sheets template, use these columns:

Use separate debit and credit columns for a traditional T-account. You can add an account-type field, period field, opening balance, totals, and a balance-check cell. Protect formula cells so they are not accidentally overwritten.

For example, if debit amounts are in D2:D20 and credit amounts are in E2:E20:
Debit total: =SUM(D2:D20)
Credit total: =SUM(E2:E20)
Net amount: =D21-E21

The balance-check formula tests arithmetic equality. It does not prove that the correct accounts were selected or that a transaction was recorded only once.

A T-account is a visual representation of one general-ledger account:

Debit and credit do not inherently mean increase, decrease, money received, or money paid. Their effect depends on the account type.

The mnemonic DEALER can help: Dividends, Expenses, and Assets increase with Debits; Liabilities, Equity, and Revenue increase with credits. Use it as a memory aid, not as a replacement for analyzing the transaction and applying the accounting equation.
How to fill out a T-account
- Identify every affected account. A transaction normally affects at least two accounts.
- Classify each account as an asset, liability, equity, revenue, or expense.
- Determine whether each account increases or decreases.
- Apply the normal-balance rule to decide which side receives the entry.
- Enter the debit on the left and the credit on the right, with the date, description, and reference.
- Total the debit and credit columns separately.
- Check the complete transaction. Total debits must equal total credits.
Keep the underlying evidence—such as an invoice, receipt, bank statement, loan agreement, payroll record, or inventory record—separate from the T-account. The worksheet records the accounting effect; it does not replace the source document.
Worked T-account examples
1. Owner invests $5,000 cash
Cash Owner's Capital

Cash is an asset, so its increase is a debit. Owner’s capital is equity, so its increase is a credit. Total debits and credits are both $5,000.
2. Buy equipment for $1,200 cash

Equipment increases with a debit. Cash, another asset, decreases with a credit.
3. Pay $800 rent

4. Make a $2,000 sale on account
Accounts Receivable Sales Revenue

Accounts receivable increases because the customer owes the business money. Sales revenue increases with a credit. A “credit sale” does not mean the revenue account receives a debit.
5. Collect a $2,000 receivable
Cash Accounts Receivable

Cash increases with a debit, while accounts receivable decreases with a credit. This collection does not create new revenue if the sale was already recorded.
Calculating the ending balance
For an account with a normal debit balance:
Ending balance = Total debits − Total credits
For an account with a normal credit balance:
Ending balance = Total credits − Total debits
A more explicit spreadsheet can show debit and credit totals separately and label the result as a debit or credit balance. If you use =SUM(DebitRange)-SUM(CreditRange), interpret the sign according to the account’s normal balance and include any opening balance.
For example, an asset account with an opening debit balance of $3,000, new debits of $5,000, and credits of $1,200 has an ending debit balance of $6,800:
$3,000 + $5,000 − $1,200 = $6,800 debit
A balanced difference alone cannot detect a duplicate transaction, an omitted transaction, or a transaction posted to the wrong accounts.
Using the template in Excel
- Open the
.xlsxworkbook in Excel. - Enter the account name, account type, period, dates, descriptions, references, and amounts in the designated input cells.
- Do not type over total, balance, or check cells containing formulas.
- Duplicate an account block when you need another account, then update its account name and opening balance.
- Review the debit total, credit total, ending balance, and balance-check result.
- Set print scaling to Fit Sheet on One Page or Fit All Columns on One Page, depending on the workbook layout.
For practice involving several accounts, create blocks for accounts such as Cash, Accounts Receivable, Equipment, Accounts Payable, Owner’s Capital, Sales Revenue, Rent Expense, and Wages Expense. The list is not universal; customize it to the exercise or business.

An Excel workbook can generally be opened in Google Sheets, but formatting, formulas, protection, named ranges, conditional formatting, and macros may not transfer identically.

- Download the
.xlsxfile. - In Google Drive, select New → File upload.
- Upload the workbook.
- Open it with Google Sheets.
- Make a copy before editing the original.
- Check formulas, column widths, page layout, and print settings.
Use Google Sheets when several people need to edit or comment on the file. Use Excel when local editing, offline work, or Excel-specific features are more important.
Printing tips
- Use one account per page for classroom work and larger writing areas.
- Use several account blocks per page when analyzing one journal entry.
- Choose landscape orientation if the template has separate date, description, and amount columns on both sides.
- Set scaling to fit one page wide.
- Keep debit and credit labels prominent.
- Include account name, period, and optional prepared-by fields.
T-account vs. journal, general ledger, and trial balance

A T-account is therefore not automatically a journal, a complete general ledger, a trial balance, or a chart of accounts. General-ledger templates typically add account numbers, reporting periods, references, cumulative totals, and structured transaction records.

A T-account worksheet can work for a short accounting exercise or a very small, low-volume operation doing limited manual tracking. It is not a complete substitute for:

- Source-document retention.
- Bank reconciliation.
- Accounts receivable and accounts payable tracking.
- Payroll records.
- Inventory accounting.
- Depreciation and other adjusting entries.
- Closing entries and financial statements.
- Tax reporting.
- Audit trails, backups, and user access controls.
Move to a general-ledger workbook when you need account numbers, references, recurring transaction records, running balances, a trial balance, or reporting-period organization. Broader resources such as small-business bookkeeping templates cover categories beyond a simple T-chart.
Consider accounting software when the business has regular sales or expenses, bank feeds, invoices, bills, payroll, inventory, multiple users, tax workflows, or a material risk of spreadsheet errors. A spreadsheet with reports or reconciliation features is still a spreadsheet, not necessarily a full accounting platform.
Common mistakes
Debit means money coming in
Not necessarily. A debit increases assets and expenses, but it decreases liabilities, equity, and revenue.
Credit means money going out
Not necessarily. A credit can increase revenue, liabilities, or equity, as well as decrease assets or expenses.

Recording only one side
Identify every affected account. Every double-entry transaction must have equal total debits and credits.
Putting the transaction in one account
A cash equipment purchase affects both Equipment and Cash. A sale on account affects Accounts Receivable and Sales Revenue.
Confusing a credit-card payment with an accounting credit
In double-entry accounting, “credit” describes the right-hand side of an account. It does not necessarily refer to a payment method.
Assuming “balanced” means “correct”
A transaction can balance while using the wrong accounts, omitting details, or duplicating another entry. Review the transaction’s substance and supporting document.

Omitting dates and references
Even a classroom worksheet benefits from dates, descriptions, and journal references because these fields teach proper posting discipline.
Leaving the balance sign undefined
State whether the balance is debit-positive, credit-positive, or displayed with a debit/credit label. A bare positive or negative number can be misleading.
Which version should you choose?
- Choose PDF for homework, short exercises, exams, or handwriting.
- Choose Excel for automatic totals, local editing, and extensive customization.
- Choose Google Sheets for browser access, sharing, and collaboration.
- Choose a multi-account workbook for practicing journal entries and seeing transactions posted across accounts.
- Choose a general-ledger workbook when you need organized manual bookkeeping with references, balances, and reporting periods.
- Choose accounting software when recurring business operations require reconciliation, payroll, inventory, tax workflows, audit trails, backups, or controlled access.
