Supporting Documents for a Job Application: What to Include

There is no universal document bundle for every job application. Use the vacancy’s checklist to identify required, conditional and optional materials, then submit them in the requested format.

There is no single set of supporting documents required for every job application. Follow the vacancy’s instructions and application form first: submit every required item, and add optional documents only when they are invited or clearly strengthen evidence of a relevant qualification. Requirements vary by employer, role, applicant category and country.

What documents do I need to provide when I apply?

Start with the full job announcement or application portal, not a generic checklist. In U.S. federal hiring, the announcement’s “Required Documents” section identifies what is needed to demonstrate eligibility and qualifications; missing required information can disqualify an application. If an instruction is unclear, contact the hiring representative listed in the announcement. Other employers may use sections such as “Additional documents” or equivalent. USAJOBS explains how to understand required documents, and California’s Department of Human Resources outlines state application-package examples.

Use this list as a guide to possible items, not as a universal bundle. Include an item when the vacancy requires it, requests it for your applicant category, or clearly accepts it and it helps demonstrate a stated qualification.

Document What it supports When to include it
Resume or CV Experience, education and contact details Usually central to an application. Use the requested format and length; some positions require a detailed work history or long-form CV rather than a standard short resume. USAJOBS gives federal resume guidance.
Cover letter or application letter How your relevant skills and goals connect to the vacancy Submit it if required, or if it is accepted and adds useful information not already clear from your resume. It is not mandatory for every application.
Application form and supplemental questions Employer-specific information and responses to stated criteria Complete every required field and requested response. Some hiring systems treat the form as the official application route.
Diploma, degree certificate or transcript Education or eligibility claims Provide the particular proof requested. A transcript, diploma copy and proof of enrollment are not interchangeable unless the employer says they are.
Professional license, certification or endorsement A required or relevant professional credential Include it when requested, following directions about copies or verification.
Work sample or portfolio Job-relevant examples of your work Send only when requested or clearly accepted, and only work you are permitted to share.
References or endorsements Evidence supporting experience, qualifications or preference claims Provide them when requested, using the specified number, format and contact details. Some application categories require particular endorsements.
Eligibility or category-specific evidence A hiring preference, status or special eligibility Submit only if you are claiming the relevant status and the vacancy requires proof. Federal examples include veteran-related records and evidence for certain preference categories.
Other vacancy-specific evidence Requirements not covered by the items above Check the posting’s “Additional documents” or equivalent section; federal postings may also request records such as an SF-50 or performance appraisal from federal employees.

When should you include a cover letter or optional document?

First distinguish a requirement from an option. If the instructions require a document, submit it. If it is optional or merely permitted, ask whether it adds relevant evidence rather than repeating what is already clear. For example, a cover letter can connect a particular skill to the role, while a certificate can verify a qualification named in the posting. A generic attachment that does not address the vacancy is unlikely to improve the application.

  • Required: Include it in the initial submission in the requested form.
  • Conditional: Include it only if the stated condition applies to you, such as a preference or eligibility category.
  • Requested later: Do not assume every possible form is due with the first application. USAJOBS notes that some forms may be requested at any point during hiring.
  • Optional: Add it only if it is relevant, accepted by the employer and appropriate to share.

Local practice is context, not a substitute for the advert. Germany’s Federal Employment Agency describes a common application there as a cover letter, CV and certificates, while noting that some elements are voluntary or requested only in particular cases. Its guidance on application documents should not be taken as a checklist for jobs in other countries.

  • U.S. federal roles: USAJOBS lists possible items including resumes, cover letters, transcripts, licenses, professional certifications, writing samples, supplemental applications and category-specific evidence. The announcement determines which are required.
  • California state roles: Packages may request a resume, cover letter, Statement of Qualifications, transcripts or diploma, state employment form, and other supplemental documents such as certificates or licenses. See the California Department of Human Resources’ package guidance.
  • Canada: Job Bank Canada recommends learning about the employer and job before sending a resume and cover letter. It describes a resume as a summary of accomplishments and qualifications and a cover letter as a way to highlight the skills you offer. See Job Bank Canada’s job-application advice.
  • United Kingdom: The National Careers Service describes the application form as an official application route and notes that job- or course-specific identification or documents may be needed. Follow the individual advert. See its application-form advice.
  • Germany: The Federal Employment Agency describes common documents and digital submission practices, but the vacancy still determines what to provide. See its guidance on application documents.

How to prepare and submit your documents

  1. Read the full vacancy and application form. Mark required, optional and conditional items. Note the deadline, file types, size limits, naming instructions and whether the portal has separate upload fields.
  2. Match each item to an instruction or qualification. Tailor your resume and, where relevant, cover letter to the role. Job Bank Canada advises researching the employer and job before sending those materials.
  3. Request official proof early. If you need a transcript, license record or other issued document, check with the school registrar or licensing body. USAJOBS directs federal applicants to their school registrar for transcript-copy instructions and emphasizes following the announcement’s specific transcript requirements.
  4. Check details across documents. Make sure names, dates, job titles, qualifications and contact information are consistent between the form, resume and supporting evidence.
  5. Use the stated submission channel and format. Upload into the requested portal field or follow the employer’s email instructions. Germany’s Federal Employment Agency says email applications commonly use PDF attachments and that online portals typically guide applicants through fields and uploads; those practices are not universal requirements.
  6. Confirm the submission. Keep a copy of the final application and check that each required file uploaded successfully. If a requirement or upload status is unclear, use the contact details in the vacancy.

How to decide whether an optional attachment belongs

  • Relevance: Does it demonstrate a qualification the posting names?
  • Timing: Is it required with the initial application or requested later?
  • Format and channel: Does the employer specify a portal field, PDF, file limit or other format?
  • Privacy and appropriateness: Does the document reveal more than the employer asked for? Share only relevant material, and ask the employer if you are unsure.
  • Local context: Does the guidance you are using apply to the same country and hiring system as the vacancy?
