Organic posts still require staff time, creative work, software, moderation, and customer support; paid campaigns add media and other costs. Treating social media as “free marketing” makes profitability harder to judge.
Start with a business outcome, not a posting schedule
Choose one primary outcome for each campaign before selecting a platform or format. Possible outcomes include:
- Online sales or subscription revenue
- Qualified leads
- Bookings or appointments
- App installs
- Customer retention or repeat purchases
- Customer-service resolution
- Influenced pipeline for a longer B2B sales cycle
Then define the action that signals progress. For ecommerce, that may be a completed purchase. For a financial adviser, it may be a qualified consultation request rather than a cheap click. For a local business, it could be a booking within a defined radius.

Follower count is not a dependable substitute for audience size or commercial impact. YouTube distinguishes subscribers from unique viewers, monthly audience, and new, casual, and regular viewers; see YouTube’s audience metrics guidance. A large account can have weak current reach, while a smaller account can generate valuable leads.
How to choose the right social platforms

Do not choose every network simply because it is popular. Select platforms where customers can be reached, your team can produce suitable content, and the resulting activity can be measured. One well-run channel is usually more valuable than four neglected profiles.
Instagram and Facebook setup
Instagram’s professional tools require a Business or Creator account. The documented route to performance data in the mobile app is Instagram profile → View professional dashboard → See all insights. Available tools can vary by account; see Instagram’s Professional Dashboard guidance.
Connect the professional Instagram account to a Facebook Page to enable features such as cross-platform publishing, advertising, and management of Instagram comments and Direct messages through Meta Business Suite. See Meta’s account-connection instructions.
To schedule a Facebook Page post on desktop, use Switch to the Page → Meta Business Suite → Create post → Set date and time → Schedule. Facebook documents scheduling from 20 minutes to 29 days ahead. Manage scheduled posts through Meta Business Suite → Planner; available actions can include editing, duplicating, rescheduling, moving to drafts, or deleting. See Facebook’s scheduling guidance.
Check the time zone shown by the scheduling interface before approving posts, especially when a team works across regions.
TikTok setup and measurement
TikTok Ads Manager supports targeted ads, insight reports, daily or lifetime budgets, image and video formats, Video Creation Kit, and Automated Creative Optimization. Listed placements include In-feed, Detail Page, Post-roll, and Story. See TikTok’s Ads Manager overview.
For a new advertiser, the basic setup is Log in to TikTok for Business → Add business information → enter business website URL → Continue → choose an advertising objective. TikTok may recommend an objective based on the supplied business information. See TikTok’s new-advertiser instructions.

Do not assume an organic TikTok video can be used unchanged as a paid ad. Paid placements may have different creative specifications, conversion requirements, disclosures, and landing-page expectations. TikTok stated that its legacy Mobile Measurement Partner integration would be discontinued beginning March 31, 2025; app advertisers should verify whether their provider uses the newer SAN integration. YouTube measurement
For channel-level reporting, go to YouTube Studio → Analytics. Main areas include Overview, Content, Reach, Engagement, Audience, Revenue, and Trends. See YouTube’s Analytics overview.
For an individual video, use YouTube Studio → Content → select video → Analytics. The Reach tab can show traffic sources, external sites or apps, suggested videos, playlists, impressions, click-through rate, and YouTube search terms. See YouTube’s reach guidance.

Views are legitimate views rather than every apparent play, and YouTube has changed how organic Shorts views are counted. Geography, traffic-source, and demographic information may also be limited. Use trends and business events rather than treating any single platform metric as exact.
LinkedIn Page admins can create posts from the Page’s home-admin experience and schedule them for a future time. Exact layouts and permissions may vary; use the current Page-admin interface rather than relying on an old universal menu path. Build a content system around customer stages
A sustainable content plan gives each recurring format a job. A practical five-stage structure is:
- Demand creation: Explain problems, answer beginner questions, or make the subject entertaining.
- Consideration: Use demonstrations, comparisons, FAQs, case studies, and evidence.
- Conversion: Direct interested people to a product page, lead form, booking page, demo, or checkout.
- Retention: Help customers use the product, solve common problems, and receive ongoing value.
- Advocacy: Publish customer stories, reviews, referrals, and properly disclosed creator collaborations.
For every repeatable content type, document the following:

Repurpose the idea, not necessarily the exact post. Text limits, audience expectations, audio availability, aspect ratios, and paid-ad eligibility differ by network. A detailed YouTube explanation might become a short Instagram carousel, a TikTok demonstration, and a LinkedIn case study rather than one duplicated upload.
Create a realistic social-media budget
A social budget should include more than ad spend. Track at least:
- Paid media spend
- Photography, video, design, and editing
- Creator or influencer fees
- Scheduling, analytics, and customer-service software
- Employee or contractor hours
- Agency fees
- Landing-page and conversion-rate optimization work
- Moderation, compliance, and legal review
Calculate the economics at the campaign level. For example:
Cost per qualified lead = total campaign cost ÷ qualified leads

Return on ad spend (ROAS) = attributed revenue ÷ ad spend
ROAS excludes many costs, so it is not the same as profit. A campaign with $4,000 in attributed revenue and $1,000 in media spend has a 4.0 ROAS, but the business still needs to account for product costs, fulfilment, creative work, software, refunds, and staff time.
Set a test budget that can produce enough results to learn, but do not increase spending simply because reach is rising. Scale a campaign when the resulting customers or pipeline justify the fully loaded cost.
Track campaigns with consistent UTMs
Use tagged links for social posts, creator links, advertisements, and profile links. A basic example is:

At minimum, use utm_source, utm_medium, and utm_campaign. Google Analytics 4 also documents utm_id, utm_source_platform, utm_term, and utm_content. See Google’s campaign URL guidance.
Use a written naming convention, preferably lowercase. UTM values are case-sensitive, so Instagram and instagram can appear as separate values. If a link uses only a single parameter, other campaign dimensions may appear as “(not set)” in reports.
Review results in Google Analytics → Reports → Acquisition → Traffic acquisition. Never place names, email addresses, Social Security numbers, or other personally identifiable information in UTM parameters; see Google’s campaign URL best practices.
Why platform conversions and analytics conversions differ
It is normal for a platform’s reported conversions to differ from Google Analytics, an ecommerce system, or a CRM. Systems may use different:
- Attribution windows
- View-through rules
- Identity-resolution methods
- Deduplication rules
- Time zones
- Conversion definitions
- Modeled or privacy-preserving measurement
Document which system is used for which decision. Compare trends and confirmed business outcomes rather than declaring one dashboard the indisputable source of truth. For high-value sales, reconcile platform leads with CRM records and eventually with closed revenue.
Use creators, employees, and reviews lawfully
The FTC’s Endorsement Guides apply to social-media advertising. A material connection can include payment, employment, family relationships, free products, discounts, or another benefit. See the FTC Endorsement Guides.
A disclosure should be clear, easy to understand, close to the endorsement, and difficult to miss. It should use the same language as the endorsement. In a video, the disclosure should generally appear in the video itself, not only in a caption, profile, comment, or final frame that viewers may miss. Terms such as ad, advertisement, and sponsored are clearer than vague labels such as “sp,” “spon,” or “collab.” See the FTC’s influencer disclosure guidance. A brand tag alone does not disclose a material connection.

The FTC’s Consumer Reviews and Testimonials Rule took effect October 21, 2024. It addresses fake or false reviews, buying reviews conditioned on positive sentiment, certain undisclosed insider reviews, review suppression, misleading company-controlled review sites, and buying or selling fake social-media indicators such as bot-generated followers or views. Use these safeguards:
- Do not make an incentive conditional on a five-star or positive review.
- Keep records showing that testimonials came from real customers with actual product experience.
- Label employee, affiliate, and paid-creator relationships.
- Do not buy followers, views, likes, or comments.
- Check creator audience-quality reports before paying for reach.
- Do not use contracts that penalize customers for honest negative opinions; see the FTC’s Consumer Review Fairness Act guidance.
Protect your creative assets
There is no automatic “safe” number of seconds, words, or percentage of a song, image, video, or article that makes commercial reuse legal. The U.S. Copyright Office describes fair use as a fact-specific analysis involving:
- The purpose and character of the use
- The nature of the copyrighted work
- The amount and substantiality used
- The effect on the potential market
See the U.S. Copyright Office’s fair-use guidance. For business campaigns, use original or properly licensed assets. Confirm that music licenses cover commercial use and the intended platform. Obtain written permission for customer images and testimonials, retain license receipts and usage terms, and do not assume that downloading a platform-native video grants permission to reuse it commercially.
Build a monthly reporting dashboard
Report the following metrics with definitions that remain consistent from month to month:

State the date range, time zone, attribution window, currency, platform, and source of each figure—platform, website analytics, or CRM. Also define engagement rate. For example, engagement divided by reach is not interchangeable with engagement divided by impressions or followers.
A practical 30-day launch process
- Days 1–3: Select one business outcome, one customer segment, and one primary platform.
- Days 4–7: Audit the profile, install or verify analytics, connect the CRM or ecommerce system, and create a UTM naming sheet.
- Week 2: Produce a small set of demand, consideration, conversion, and retention assets. Prepare disclosures and confirm asset licenses.
- Week 3: Publish or launch a controlled test using two or three creative variations. Use a budget cap and a defined stop condition.
- Week 4: Compare qualified outcomes, cost, audience quality, and customer feedback. Keep a record of what changed before deciding what to scale.
Do not optimize only for the cheapest click or largest reach. A campaign that produces fewer but better-qualified leads may be more valuable than one that wins the engagement chart.

How much should a small business spend on social media marketing?
There is no universal percentage that works for every business. Start with a capped test budget that covers media, creative production, software, and staff time. Set a target cost per qualified lead or customer-acquisition cost before launching, then increase spending only when the resulting margin, revenue, or pipeline supports it.

No. Organic marketing still consumes time and money through planning, production, moderation, customer support, software, creator fees, and opportunity cost. Track those costs when evaluating whether the channel is profitable.
Do businesses need to disclose gifted products or employee relationships?
Generally, a material connection such as payment, free products, discounts, employment, or family ties should be disclosed clearly near the endorsement. A disclosure hidden in a profile, comment, or behind “more” may not be sufficient, and a brand tag alone is not a disclosure.
What is the best social-media metric for a business?
Use the metric closest to the campaign’s stated objective. Purchases, qualified leads, bookings, retention, and revenue are usually more useful for business decisions than follower count or raw likes. Keep reach, engagement, and watch time as diagnostic metrics rather than treating them as proof of profitability.
