A retirement resignation letter should clearly state that you are retiring, identify your job and employer, and name your proposed final working day. Before sending it, check the notice period and submission process that apply to your contract, workplace, and location. There is no single notice period or letter format that fits every employee.
Retirement resignation letter example
Adapt this sample to your employer’s process. It is original example wording, not a universal legal form.
Subject: Retirement notice
[Date]
Dear [Manager’s name],
Please accept this letter as notice that I am retiring from my position as [job title] at [organization]. In line with [applicable notice period or employer process], I expect my final working day to be [date]. Please let me know if I have calculated this date incorrectly or if I should complete any additional retirement or exit steps.
Thank you for [optional, genuine appreciation]. I will coordinate with you on any appropriate transition tasks before my departure.

Acas’s UK general resignation template offers a useful alternative opening: “Please accept this as notice of my resignation from the position of [your job title] at [business or organisation name].” It is not a retirement-specific required phrase; you can make the purpose explicit by saying you are retiring. Acas provides editable DOCX and ODT versions of its template at its resignation notice letter template.
What to include in your retirement notice
- A clear retirement statement: Say that you are retiring rather than relying on a general farewell or thank-you.
- Your role and employer: Identify the position and organization so there is no ambiguity about which job the notice concerns.
- Your proposed last working day: Check how your notice period is calculated before naming a date, and ask the employer to confirm it.
- Any required next steps: Ask whether your employer requires a form, a particular recipient, or other retirement or exit steps.
- Optional courtesy: Add a brief, sincere thank-you or offer to discuss a suitable handover if you wish. Neither is established as a universal requirement.
How much notice should you give before retiring?
Use the notice period that applies to your employment, not a rule of thumb such as two weeks. Check your contract, written employment particulars, workplace policy, and local requirements. The relevant process can differ by country, sector, and employer.

For the UK, Acas says the written statement of employment particulars must set out the notice required. Its template asks employees to work out a last day from their notice period and invite the employer to correct the date if necessary. See Acas guidance on how to resign. Do you need a separate resignation letter when you retire?
It depends on your retirement system and employer’s procedure. For most readers, the safest practical step is to ask HR or the benefits office what notice and retirement paperwork are required before submitting anything.

U.S. federal employees
The U.S. Office of Personnel Management says: “Your completed retirement application with your signature is equivalent to a letter of resignation.” OPM also warns eligible federal employees not to resign first with the intention of applying for retirement later: a separation before filing may affect survivor annuity and insurance benefits if the employee dies in the interval. Confirm the filing sequence and exit requirements with your agency HR or benefits office, and consult OPM’s retirement planning FAQ. This guidance concerns the U.S. federal retirement system, not private-sector workers generally.
UK employees
Acas says a UK employee does not have to resign in writing, but written notice can help prevent disputes about when notice was given. It advises writing to a manager or HR unless the employer says otherwise. GOV.UK separately advises employers to obtain written confirmation. Together, these sources make it important to follow your own workplace’s process and keep a record of what you submit.

France and other local processes
France’s Service Public guidance for notifying an employer of upcoming retirement says private- or nonprofit-sector employees must account for the applicable notice period. Its online process allows a letter to be customized, downloaded as a PDF, and printed and signed. That is an example of a local option, not a general requirement elsewhere. There is no universal answer: use the channel your employer requires. That may be an email, a letter, an employer form, or another specified process. If you send notice electronically, keep a copy of the message and any acknowledgment; if the employer requires a signed or printed document, follow that instruction. Acas offers downloadable editable templates, while the French public-service workflow illustrates a process that can involve printing and signing a PDF. These formats are options in particular procedures, not worldwide rules.

Before you send the letter
- Check the applicable notice rule. Review your contract, written particulars, employer policy, and local guidance.
- Confirm the recipient and format. Ask your manager or HR whether notice should go to a particular person and whether a form or signed document is required.
- Work out the proposed final day. Calculate it using the applicable notice period and clarify whether it refers to your last working day or another date in your employer’s process.
- Ask about retirement and exit administration. Confirm what paperwork or benefits-related steps apply to you; procedures for pensions, accrued leave, final pay, and benefits are not established by a generic letter template.
- Keep a record. Retain the submitted notice and confirmation of the agreed date.
