A strong personal recommendation letter explains how you know the person, supports relevant qualities with firsthand examples, and ends with a clear endorsement. The examples below show useful structures—not text to copy unchanged—because recipients may have different criteria and rules for who can write or contribute to a letter.
What a personal recommendation letter should do
A reader needs to understand both your perspective and why your opinion is relevant. State your relationship to the person and how long you have known them; then describe one or two specific actions or moments that demonstrate qualities important to the opportunity. Close with an endorsement you can honestly support, along with your name and contact details when appropriate.
Calling someone “hardworking,” “kind,” or “dependable” is less useful than showing what you observed. The University of Cincinnati and UC Berkeley both emphasize concrete, specific examples in their recommendation guidance: Cincinnati’s letter advice and Berkeley’s guidance for recommenders. Choose evidence that fits the recipient’s criteria rather than trying to list every positive trait.
Personal recommendation letter example
The following fictional sample demonstrates a structure for a general personal reference. Replace the bracketed prompts with accurate details, adapt it to the recipient’s instructions, and do not use invented experiences as though they were real.

How to tailor the example to the purpose
College or program admission
Focus on qualities and experiences that relate to the applicant’s readiness for the specific program. The University of Cincinnati’s college-letter example uses a formal business-letter layout, identifies the recommender’s relationship and its duration, and supports character qualities with academic evidence. Cincinnati says its college letter should be no longer than one page; that is its advice, not a universal length rule. See its college recommendation guidance.
Employment or graduate school
Use examples that demonstrate relevant performance, contribution, or qualities. The UW Bothell Career Services template prompts a recommender to introduce their role and the student’s record, provide one or two performance examples and activities, then give an endorsement and contact information. It is framed for an employer or graduate-school committee, so adapt it to the actual request rather than treating it as a universal personal-reference format.
Character reference or other purpose
Explain the context in which you know the person and limit your statements to what you have genuinely observed. The official university examples cited here focus on admissions and career-related recommendations; they do not establish a single required format for references involving housing, immigration, legal proceedings, or other settings. Ask the recipient what information and format it requires.

Other ways official examples organize evidence
There is more than one sound way to present relevant information. Johns Hopkins provides fictional counselor examples in both narrative and bullet-point formats. They show alternative ways to organize qualities and activities, not real applicants’ records: Johns Hopkins recommendation examples.
When reviewing any model, consider its purpose, audience instructions, relationship and evidence described, organization, and rules about whether the applicant may see or contribute to the letter. A model is useful for structure; it cannot establish that the same process or format applies elsewhere.
Check the recipient’s rules before writing
Requirements are specific to the organization and application. For example, UC Berkeley says its letters are optional and are submitted by students it selects to invite. Stanford Graduate Admissions requires recommender authorship, and Stanford Knight-Hennessy Scholars also sets rules prohibiting applicants from writing or editing their letters. These are not universal admissions rules; verify the current instructions for the exact opportunity.
UCAS guidance is for independent undergraduate applicants using its system. It asks the referee to identify their position and how long they have known the applicant, and to make the reference fit the application context. Do not assume UCAS process rules apply to a reference for another institution or jurisdiction.
In particular, confirm who may write the reference and whether the applicant may draft, edit, translate, or submit it. Stanford Graduate Admissions and Knight-Hennessy prohibit applicant authorship or contribution under their stated processes; UCAS says independent applicants must not write their own reference. Follow the destination’s current policy rather than relying on a sample letter.
