Outsourced bookkeeping is when a business hires an external bookkeeper or firm to handle agreed recordkeeping tasks, such as recording transactions, reconciling accounts and preparing reports. It can make sense when the work is falling behind, the business needs steadier reporting or it wants more capacity without building an internal bookkeeping function. It is not automatically full accounting, tax preparation or financial advice: confirm exactly what the provider will do.
What outsourced bookkeeping means
In an outsourced arrangement, an outside professional works with the business’s financial records and, commonly, its accounting software. The business shares access to the records needed for the agreed work; the provider keeps them organized and may deliver reports on a recurring schedule. The business should remain clear about who owns the accounts, who can approve transactions and how access is managed.
Bookkeeping is the foundational work of recording and organizing financial activity. Accounting can extend into interpreting results, year-end work and financial advice; tax filing and payroll may also require distinct services or qualifications. What an outsourced bookkeeper may do
Scope varies by provider and contract. Common tasks can include:

- Recording transactions and keeping the ledger current.
- Tracking income and expenses and reconciling bank or other accounts.
- Preparing recurring financial reports.
- Invoicing customers, monitoring overdue accounts or processing accounts payable.
- Payroll-related work, if specifically included.
- Organizing records that may support tax or year-end work, without necessarily preparing or filing tax returns.
A typical workflow is to provide agreed records and software access, have the provider complete the bookkeeping and prepare reports, then review those reports together. Set out separately who approves payments, payroll and adjustments; those approvals should not be left implicit.
Reasons a business might outsource
Recurring work is taking time away from operations
Routine recordkeeping can compete with the owner’s or staff’s other responsibilities. An external provider may take on some of that work, but the time saved depends on what is delegated and how much coordination the arrangement requires. BDO Canada describes this as a potential benefit, not a guaranteed result, in its overview of reasons to outsource bookkeeping.
The workload has outgrown current capacity
More transactions, multiple revenue streams, inventory or payroll can make an existing process harder to keep current. External support may add capacity for a defined scope or busy period without establishing a full internal function. Whether that is less expensive than hiring depends on the workload and the provider’s price.

Reports are needed more regularly
A consistent close and reporting schedule may help an owner monitor cash flow and understand the business’s position. It only works if the provider agrees to a clear cadence and the business supplies records promptly. Stern Cohen and SVA CPA guidance identify reporting needs as a reason businesses consider outside support.
The business needs continuity or specific experience
A departing or overloaded bookkeeper can leave routine work uncovered. A provider may also bring experience with a particular industry or software, but outsourcing alone does not establish expertise or guarantee accuracy. Ask who will handle the account, who reviews the work and what happens when that person is unavailable.
When it may fit—and when to pause
Consider comparing providers if records are falling behind, reporting needs have increased, the current bookkeeper has left or the business needs recurring coverage. A freelancer can suit a simpler scope and a preference for one point of contact; a firm may offer broader team coverage. A local provider may be useful when in-person meetings or paper records matter, while a virtual arrangement generally relies on digital communication and tools. These are trade-offs, not universal rules.

Pause before signing if you cannot define what records will be shared, who will review reports, or what services you expect. Also pause if you have not considered onboarding and migration work, or if you expect tax, payroll or advisory services without confirming they are included. An external provider needs access to financial information, so evaluate the actual provider’s safeguards and the permissions required.
How much outsourced bookkeeping costs
Fees depend on workload and scope, including transaction volume, accounts, revenue streams, inventory and payroll. Intuit’s undated guide gives illustrative examples of around $300 per month for basic, low-volume needs and $2,500 or more monthly for complex businesses. These are examples from that guide, not a verified current market rate or a like-for-like comparison with employee costs. Ask for current written quotes in your location and currency.
Compare the total cost, not just the recurring fee. Ask whether the quote includes initial cleanup, onboarding, software migration, extra accounts, additional reports or work above a transaction threshold. Request the rates for add-ons and require approval before out-of-scope work begins.

Use the same questions with each candidate so you can compare the actual service rather than a headline price.

Intuit recommends asking about industry experience, software, communication, response times, included services, onboarding, coverage and insurance or bonding. BDO Canada specifically advises asking for a transition plan.

Less day-to-day visibility
Delegating processing can reduce involvement in routine entries, but it does not remove the need for owner oversight. Review reports on the agreed schedule, ask about unusual items and agree on how corrections will be handled. Professional status does not make errors impossible.

Financial-data access
Give only the access needed for the contracted work, understand how access is granted and revoked, and ask how the provider handles data incidents. Do not assume outsourcing inherently makes records more secure; assess the provider and tools you will actually use.
Changing scope and handoffs
Fees can rise as transaction volume or service needs grow. Put thresholds and add-on rates in writing. Also agree who owns questions during absences and how work will be handed off if your contact changes.
Transition and software changes
Cleanup, migration and software compatibility can take time and may cost extra. Agree on start-up deliverables and dates, and preserve your business’s access to its records throughout the transition.
