Recommended Free Tools
If HubSpot feels like more CRM than your small business needs, start by matching a replacement to your actual workflow—not by choosing the system with the fewest features. Zoho CRM, Bigin, Freshsales, Pipedrive, and Less Annoying CRM are options to evaluate, but the available evidence does not establish a tested winner or a reliable feature-and-price ranking. First check whether HubSpot’s free CRM already covers your needs; then compare alternatives on usability, team fit, integrations, total cost, and support.
What makes a CRM simpler for a small business?
A CRM, or customer relationship management system, keeps customer information and interactions in one place. HubSpot defines CRM software as a tool for organizing and managing customer relationships on a centralized platform. The practical question is whether a system makes your routine work easier: keeping contacts organized, tracking sales opportunities, and following up on time.
HubSpot recommends assessing CRM software by ease of use, scalability, compatibility with existing tools, price, and service and support. Those criteria are useful for comparing any vendor. A shorter feature list is not automatically better if the system cannot support your sales process or work with the tools your team already uses.
- Workflow: Decide whether you need contact organization, a sales pipeline, follow-up reminders, or marketing and customer-service functions as well.
- Team fit: Check user and contact limits against your current team and expected growth.
- Integrations: Confirm compatibility with your email, calendar, website, accounting software, and other essential tools.
- Total cost: Compare the appropriate plan, billing cadence, pricing basis, limits, necessary add-ons, and any onboarding or support fees.
- Adoption and support: Consider whether everyone who needs the CRM can use it consistently and get help when problems arise.
Check whether HubSpot’s free CRM is enough
Switching is not always the simplest or least costly choice. HubSpot says its free CRM has no expiration date and includes contact, deal, and task management; email tracking; templates; document sharing; meeting scheduling; live chat; and sales quotes. Its official page lists a limit of two users and 1,000 contacts. These stated limits and features may be enough for a small operation with a compact team and a straightforward process. See HubSpot’s CRM details.
#1 Best Overall
HubSpot also describes its broader customer platform as bringing together CRM, marketing, sales, customer service, and operations tools. That breadth may suit a business that wants those functions connected, but it can be more than a business seeking only basic contact and pipeline management needs. Compare the work you actually do with the tools you would use before deciding that a change is necessary.
HubSpot alternatives to put on your shortlist
Zoho CRM, Bigin, Freshsales, Pipedrive, and Less Annoying CRM surfaced as candidates for small businesses to consider. They are a starting shortlist, not a verified ranking: the available information does not support a detailed comparison of their current features, limits, or plan costs. Evaluate each against the same workflow and team requirements rather than assuming one is simpler or cheaper based on its name or marketing.

How to compare plans without overlooking costs
Do not rely on a headline price or a general claim that an alternative is cheaper than HubSpot. Pricing and product packaging can change, and a low entry price may not cover the number of users, contacts, integrations, or support your business needs. The current costs and plan details for these alternatives are not established here.
- Write down your requirements. Note the people who need access, your approximate contact count, essential CRM tasks, and integrations you rely on.
- Choose the relevant plan for each vendor. Check the vendor’s official pricing page for the current geography, plan tier, billing cadence, free or trial status, and pricing basis.
- Check the limits and extras. Verify user and contact limits, whether required features are included, and whether add-ons or onboarding and support fees apply.
- Compare the complete cost for your team. Use the same team size and billing period across candidates; account for necessary add-ons rather than comparing only starting prices.
- Confirm the workflow and support. Verify that the CRM handles your must-have tasks, connects with your existing tools, and offers help suited to your needs.

How to make the switch decision
Use a short, requirements-led decision rather than trying to identify a universal “best” CRM. If HubSpot’s stated free limits cover your team and its tools cover your workflow, staying put may be simpler than migrating. If it does not fit, use the five alternatives as candidates to investigate—not as products proven to outperform HubSpot.
