Set up for a specific person, project, supplier, or time period, they can also make transactions easier to attribute and reconcile. They are a payment and workflow tool, not a guarantee of lower costs, less administrative work, or fraud prevention.
What a virtual card is—and what it is not
Visa defines a virtual card as a digital payment method issued through a financial institution’s website or app. It typically provides card credentials for online or other eligible purchases. American Express describes its business virtual cards as unique digital card numbers linked to an eligible business card account, with a security code, expiration date, and customizable controls. The card number is separate from the funding arrangement: one program may connect cards to an existing credit account, while another platform may use a different account or funding structure.

Virtual cards can be issued for employees, contractors, suppliers, job candidates, or defined business needs. They are not all interchangeable: eligibility, acceptance, controls, wallet support, and how money is funded vary by product. How virtual cards can fit a remote-work spending process
A distributed team can use purpose-specific cards for travel, recruiting, project purchases, subscriptions, vendor payments, or events. Visa describes temporary travel cards with amount, time, and location controls, as well as cards for contract workers that can end when a job is complete. American Express @ Work lists similar business uses, including project purchases and vendor payments. These are provider-described capabilities; availability depends on the particular product and account.

A practical workflow
- Define the purpose. Decide whether the card is for a named worker, a supplier invoice, a project, a trip, or a temporary purchase.
- Set the guardrails. Where supported, configure a spending limit, active dates, and merchant-category or country restrictions appropriate to the task.
- Assign and communicate. Give credentials only to an authorized recipient and explain what the card may be used for, what documentation is required, and who to contact if a payment is declined.
- Review activity. Use the provider’s administrator tools or transaction reports to monitor spending and follow up on unusual or uncoded purchases.
- Capture evidence and code the expense. Collect receipts or transaction details and apply consistent project, cost-center, or account codes before reconciliation.
- Close temporary access. End, lock, or cancel cards when the defined need ends, if the product offers that control.
This is an implementation pattern built from features providers describe, not a universal one-click process. American Express @ Work documents recipient details, limits, active dates, category and location restrictions, transaction monitoring, and data exports. PEX describes receipt capture, transaction coding, and accounting or ERP syncing.
Which controls and features should a company compare?
Compare the exact card product and account—not just the label “virtual card.” The features below affect whether a program can support a particular remote workforce and spending policy.

| Administrative tools and fees | Review administrator permissions and all account, transaction, and program fees—not only whether creating a card carries a fee. |
For example, the current American Express @ Work program page describes amount limits, active dates, merchant-category and country restrictions, administrator controls, reporting, and up to 20 custom fields. It says the program supports eligible U.S.-issued corporate-liability accounts and recipients must reside in the United States or its territories. That is a program-specific condition, not a rule for every American Express virtual card or every provider. American Express’s separate Business Virtual Cards product has its own eligibility and wallet details; its statement that there is no fee to create virtual cards applies to card creation on that eligible product and does not establish that the associated account or program has no fees.
How virtual cards may help with reconciliation
Assigning a card to a defined expense can make it clearer why a transaction occurred and which project, supplier, or invoice it belongs to. Visa describes single-use cards for individual supplier invoices and accounting integration. American Express @ Work describes dashboards, custom fields such as cost centers and project codes, and transaction data for ERP or expense systems. PEX describes receipt capture and accounting or ERP workflows.

These features can make matching records more manageable, but they do not remove the need for a consistent expense policy. The practical value depends on whether the provider connects to the company’s accounting stack, what transaction data is passed through, and whether employees submit receipts and coding details reliably. Visa notes that not all ERP and accounts-payable software is integrated and that straight-through processing is not available in all regions. American Express advises organizations to ask about available reporting and integrations.

A unique virtual number can keep the underlying account number from being handed directly to a merchant. Spending, time, and merchant restrictions may limit some kinds of misuse, particularly when a card is created for a narrow purpose. Those controls do not make a card impossible to misuse or ensure that a legitimate transaction will be approved; acceptance and authorization still depend on the merchant, issuer, card rules, and transaction.

In a July 2026 announcement, Mastercard said its own data showed virtual-card fraud rates were less than one-fifth those of non-virtual cards. The cited announcement does not provide detailed methodology or the underlying dataset, so the comparison should be read as Mastercard-reported data, not an independently established rate for every provider, market, or use case.
When a virtual-card program is a good fit
Virtual cards are most useful to evaluate when a company needs to give distributed workers controlled payment access, distinguish spending by purpose, or improve the transaction detail available for review. Before adopting a program, map its rules against actual needs: who will receive cards, where they are located, which merchants they must pay, whether purchases are online or in person, what evidence finance requires, and which accounting systems must receive the data.

If a provider cannot support the team’s geography, funding model, required acceptance, transaction coding, or accounting integration, the card’s digital format alone will not solve the operational problem. Compare the specific account terms and fee schedule, then pilot a defined workflow with clear limits, receipt rules, and an owner for reviewing exceptions.
