How to View Microsoft Account Purchase Order History

Microsoft purchase history is split across personal billing, the business Store, the Microsoft 365 admin center, and volume licensing. Use this guide to find orders, invoices, PO details, and missing records.

The fastest way to find most personal Microsoft purchases is to open account.microsoft.com/billing, sign in with the Microsoft account used to pay, and select Payment & billing > Order history. You can filter by date, open an order, review its details, and use Print to save the record as a PDF.

However, Microsoft does not keep every type of purchase in one history page. Microsoft Store business orders, Microsoft 365 business invoices, and enterprise volume-licensing purchase orders use different accounts and portals.

Choose the right Microsoft purchase-history page

“Purchase order history” is often used as a general term. Microsoft separates several records:

  • Order history: retail or Store transactions associated with an account.
  • Invoice history: formal billing documents for business subscriptions or eligible licensing agreements.
  • Payment history: payments connected to a Microsoft billing account.
  • Purchase-order history: customer or reseller orders, especially in volume licensing.
  • Bank or card history: records held by your financial institution, not Microsoft’s order system.

View personal Microsoft account order history

Use this route for purchases made through a personal Microsoft account, including many apps, games, subscriptions, and Microsoft Store transactions.

  1. Open account.microsoft.com/billing.
  2. Sign in with the Microsoft account used to make the purchase.
  3. Select Payment & billing.
  4. Select Order history.
  5. Adjust the date range or other refinement filters if necessary.
  6. Select the order to open its details.

Microsoft’s order-history guidance says this page can be used to review purchases, track orders, and print order details or invoices. The account must match the account that made the purchase; being signed in to a different Microsoft account will not reveal the transaction.

What the order statuses mean

  • Completed: The charge has been posted.
  • Redeemed: A transaction or code has been redeemed.
  • In progress: The charge has not yet been posted to the payment method.

A very recent transaction may take time to appear with its final status. An “In progress” entry is not the same as a completed payment.

Print or save a Microsoft order as a PDF

Microsoft’s documented consumer method is to print the order details rather than rely on a separate PDF-download button:

  1. Open the order from Order history.
  2. Select Order details.
  3. Select Print.
  4. In the browser’s print dialog, choose Save as PDF or the equivalent PDF printer.
  5. Choose a folder and save the file.

The resulting document is an order-details record. It may not contain the same fields as a formal business invoice. If you need proof that a card payment actually settled, also compare it with your bank or card statement.

View Microsoft Store orders made with a work account

A work-account Store purchase is separate from purchases made through a personal Microsoft account. Go to microsoft.com/store/b/business and:

  1. Sign in with the work account used for the order.
  2. Select the account icon or your initials.
  3. Select Order history.
  4. Choose an order to view its details.

Your work account may use the onmicrosoft.com address created when the organization’s Microsoft account was set up. Microsoft documents separate carts and order-management contexts for personal and work accounts, so signing in with your personal address may produce an empty history even when the business order exists.

Find Microsoft 365 business invoices and payment history

Do not use the personal Microsoft account billing page for a Microsoft 365 business subscription. Use the Microsoft 365 admin center instead.

Simplified view

  1. Open the Microsoft 365 admin center.
  2. Select Products.
  3. Select View invoices.
  4. Choose the invoice you need.
  5. Select Download > Download invoice to download the PDF.

Dashboard view

  1. Open the Microsoft 365 admin center.
  2. Go to Billing > Bills & payments.
  3. If you manage more than one billing account, select Change billing account and choose the relevant account.
  4. Select an invoice.
  5. Select Download > Download invoice.

Microsoft’s invoice documentation says the invoice can show the invoice date, billing period, billing profile, billing account, charges, credits, taxes, total, and payment status. The documented workflow generally requires at least the Billing Administrator role. Other administrators may not automatically have access to billing records.

Microsoft 365 business services do not provide payment receipts in the same sense as a retail purchase. If the organization paid by card, Microsoft says the invoice may need to be matched with the credit- or debit-card statement to verify the payment.

Find enterprise volume-licensing purchase orders

If you mean a formal licensing order submitted by a reseller or connected to a Microsoft volume-licensing agreement, use the Volume licensing area in the Microsoft 365 admin center:

  1. Sign in to the Microsoft 365 admin center.
  2. Go to Billing > Your products.
  3. Select the Volume licensing tab.
  4. Under Contracts, select View contracts.
  5. Find the relevant License ID.
  6. Select the More actions (…) menu.
  7. Select View orders.

According to Microsoft’s volume-licensing contract guidance, order details may include:

  • Reseller order number
  • Customer order number
  • Order date
  • Usage start date
  • Reseller
  • Part number and product description
  • Quantity
  • Country or region
  • Renewal or step-up information where applicable

You can sort and filter the results and, where available, export order information to CSV. A Microsoft order number, reseller order number, customer order number, and your organization’s purchase-order number are not necessarily the same identifier.

Permissions are required

Volume-licensing records are not visible to every Microsoft 365 administrator. Access generally depends on being a named volume-licensing contact or having an appropriate volume-licensing role assigned for the relevant License ID. A global administrator does not automatically receive volume-licensing access.

The organization’s volume-licensing agreement administrator or Microsoft partner may need to grant access. Microsoft explains the sign-in and role requirements in its volume-licensing access documentation.

Find volume-licensing invoices

For eligible direct volume-licensing agreements, use this path:

  1. Go to Billing > Your products in the Microsoft 365 admin center.
  2. Select Volume licensing.
  3. Select View contracts.
  4. Open the relevant contract’s More actions (…) menu.
  5. Select View invoices.
  6. Download the invoice PDF or invoice reconciliation file.

The invoice may include a specified PO number, PO date, invoice number, billing period, products, quantities, taxes, and total. Depending on the agreement, access may be assigned to a Bill To contact, Invoice Reader, or eligible volume-licensing administrator. Not every licensing arrangement is represented in the same way. MPSA licensing is administered separately through the Microsoft Business Center. Microsoft also documents invoice-display limitations for some MPSA, Federal Government, Special Agreements, Select Plus, and partner-purchased arrangements.

VLSC is no longer the place to look

The Volume Licensing Service Center (VLSC) was retired in April 2024. Microsoft moved volume-licensing functionality to the Microsoft 365 admin center, subject to the user’s assigned permissions. If an older guide sends you to VLSC, use the admin-center route instead.

Why an order or invoice is missing

Work through these checks in order:

  1. Check the account. Sign out and try other personal Microsoft accounts, or try the work account used for the transaction.
  2. Check the portal. Personal Store purchases, work-account Store orders, Microsoft 365 business invoices, and volume-licensing orders are handled separately.
  3. Expand the date range. A narrow filter can hide an older order.
  4. Allow for processing. Recent purchases may not yet have appeared or may still show as “In progress.”
  5. Check the original purchasing channel. A purchase made through Apple, Google, Xbox, a reseller, or another billing intermediary may not appear in Microsoft account history.
  6. Check the billing account. In the Microsoft 365 admin center, use Change billing account if more than one account is available.
  7. Check permissions. Billing records and volume-licensing contracts require the appropriate role or contract access.
  8. Check agreement type. Some licensing arrangements and partner-purchased invoices have separate destinations or display limitations.

For a reseller-submitted order, the reseller or Microsoft licensing partner may be the authoritative source for the PO number, pricing, order amendments, and invoice details. For access problems, contact your organization’s billing administrator or volume-licensing agreement administrator. For consumer or Microsoft billing issues, use Microsoft Support.
