How to Verify Wire Instructions Before Sending a Mortgage Payoff

Verify mortgage payoff wire instructions through a trusted contact method established separately from the statement or email. Confirm who sends the payoff, check the recipient account name and number, and pause if anything changes or cannot be verified.

Before sending a mortgage payoff wire, confirm the payoff statement and its payment details through a trusted contact method you established separately from the statement or email. Verify the recipient account name and number, and do not send money while instructions are new, changed, or unconfirmed. First ask the lender or settlement professional who is responsible for sending the payoff in your transaction; title companies commonly handle the payment, but responsibilities vary.

Why mortgage payoff wires need separate verification

A payoff statement can look authentic and still carry fraudulent payment instructions. In a mortgage-payoff scheme described by the U.S. Secret Service, criminals used fictitious or altered statements with changed bank information. A familiar lender name, professional formatting, or an email that appears to come from someone involved in the transaction is not proof that the account details are genuine.

The risk is that a wire may be difficult to recover after it is sent to the wrong account. Treat the payoff document as information to verify—not as the verification itself. The Consumer Financial Protection Bureau (CFPB) advises borrowers to confirm instructions with trusted representatives before wiring money. CFPB guidance on mortgage closing scams explains why email alone is not a safe channel for confirming payment directions.

Separate verification matters because a scammer may imitate a real participant or tamper with a legitimate-looking document. Seeing the lender’s name, recognizing the format, or receiving the statement during a real sale or refinance does not establish that the bank information is correct. A message can appear consistent with the transaction and still direct funds somewhere else. The practical safeguard is to confirm the statement and payment details through a contact route that was already trusted independently of that message.

Historical figures help explain why the warnings exist, but they are not a measure of current mortgage-payoff fraud. In a 2019 article, the CFPB reported FBI-attributed figures of a 1,100 percent increase in reports of mortgage-closing scam attempts from 2015 to 2017 and estimated real-estate transaction-cost losses of nearly $1 billion in 2017. Those figures cover an earlier period and broader real-estate activity; they are not current estimates or mortgage-payoff-specific totals. They should be understood as historical context, not as a forecast of the likelihood that a particular payoff wire is fraudulent.

Confirm who is responsible for sending the payoff

Do not assume that you, the lender, or the title company will send the wire. The Secret Service advisory describes a common process in which a lender sends the payoff statement to a title company, which administers the payment. That does not establish who handles every sale or refinance.

Contact your lender or settlement professional using a phone number or contact method you already trust. Ask who will obtain the payoff statement, who will initiate payment, and how that person will confirm that the funds were delivered. If you are the borrower, these questions clarify whether you need to make a payment yourself or whether the settlement process handles it. The answer should come from a trusted representative, not solely from a new email or attachment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make this responsibility clear before payment is imminent. The Secret Service’s described title-company workflow is useful context, but it is not a rule that every transaction follows. In one transaction a settlement professional may administer payment; in another, the borrower may have a payment role. The guidance does not establish a universal allocation of responsibility. Confirm the arrangement for your own sale or refinance rather than acting on an assumption or on a message that gives new directions.

It is also useful to clarify who is expected to obtain the payoff statement and who will confirm delivery. These are related but distinct questions: the person who requests or receives a statement is not necessarily the person who sends funds. A clear answer helps you know whose instructions should be independently verified and whom to contact if details conflict. If the roles are unclear, pause and ask the lender or settlement professional to explain the payment process before authorizing a wire.

Verify the instructions before authorizing a wire

  1. Set up trusted contacts in advance. Record the names and primary phone numbers of the lender and settlement professionals involved. Discuss the payment process in person or by phone before closing becomes urgent. The CFPB also suggests that parties may agree on a code phrase to help confirm identity; agree on one through a trusted conversation, not through an unverified message. A contact route is useful only if it was established independently of the instructions you later need to check. Do not treat a phone number or link in that email as the trusted route simply because it looks familiar.
  2. Establish who will obtain the payoff statement. Ask the lender or settlement professional what applies to your transaction. In the title-company workflow described by the Secret Service, the title company should obtain the statement independently from the lender. Do not rely on a participant forwarding payment details as a substitute for independent confirmation. If the borrower is sent a copy, ask the responsible professional how it was obtained and how the payment information will be authenticated. The aim is not to assume a particular lender’s procedure, but to know who is responsible and how the statement will be confirmed.
  3. Authenticate the statement through a separate channel. Call a trusted representative using contact details you recorded or agreed on before receiving the statement. Do not use a phone number, link, or reply path found only in the email or document you are checking. Scammers can imitate email addresses, phone numbers, and message formats, according to the CFPB. A reply to the same email thread is not an independent confirmation if the message itself may be compromised. Reach the representative through the separate route and ask them to verify the statement and its payment details.
  4. Confirm the recipient account name and number. Have the trusted representative confirm both details with you through that separately established channel. Check them against the instructions you received, and ask about any discrepancy before authorizing payment. The Secret Service recommends limiting transfers to known, previously verified accounts. The sources identify account name and number as key details to confirm; they do not provide a universal list of every field each lender requires. Do not substitute a self-created checklist of extra fields for confirmation by the responsible professional.
  5. Get confirmation of the payment plan and delivery. Before sending, clarify with the responsible professional how payment will be made and how delivery will be confirmed. The American Land Title Association’s outgoing-wire checklist includes checking where instructions came from, verifying instructions received by email or from someone other than the payee, and confirming delivery of funds. Know whom to contact if delivery cannot be confirmed. This does not mean you should assume that the wire has reached the lender merely because it was sent; follow the agreed confirmation process with the person administering the payoff.

These steps are a verification process, not a universal lender-specific script. The sources do not establish one set of wire fields or one method every lender uses to issue payoff details. Do not assume that every lender uses the same portal, callback procedure, form, or timing. Follow the lender’s process only after confirming it through a trusted, independent contact route. If a representative gives you a process you have not used before, confirm that process separately before relying on it.

Think of verification as a chain rather than a quick visual check: establish the responsible person, establish how the statement was obtained, contact that person through an independent route, confirm the account name and number, and learn how delivery will be checked. If any link is missing, the right next step is to resolve that gap—not to infer that the instructions are safe because the other details look plausible.

Decide whether the instructions are safe to use

What you know What to do
The statement and payment details were independently obtained or authenticated, the account name and number were confirmed with a trusted representative, and the responsible sender is clear. Proceed only through the payment process confirmed with the lender or settlement professional, then follow the agreed method for confirming delivery.
The instructions arrived by email, but you have not confirmed them outside that email. Pause. Call a trusted representative using contact details established separately. Do not rely on the sender address, phone number, link, or reply route in the message.
The bank details are new or changed, or the account cannot be matched to a known, previously verified account. Do not authorize the wire. Contact the lender or settlement professional through the trusted channel and have them independently verify the statement and payment details.
A trusted contact cannot independently verify the instructions. Do not send the wire on the basis of the unverified information. Ask the lender or settlement professional whether a check is accepted for this specific payoff; do not assume it is an available option.
You have sent a wire and now suspect fraud. Contact your bank or wire-transfer company immediately and ask for a wire recall. Then report the matter to the FBI’s Internet Crime Complaint Center (IC3).

The safest choice is not determined by whether a document looks polished or whether the instructions arrived at a plausible point in the transaction. Compare the verification route, the origin of the statement, whether the account was previously known and confirmed, and whether delivery can be checked. These are the relevant comparison points: a contact path established independently is stronger than a phone number included in the message; a statement independently obtained through the responsible process is stronger than an unverified forwarded copy; and a known, previously verified account is safer to rely on than new or changed details that have not been confirmed.

If the wire cannot be independently verified, do not treat a check as an automatic substitute. The Secret Service advisory describes checks as a fallback when information cannot be independently verified, but that does not show that a check is accepted for every payoff. Ask the lender or settlement professional whether one is accepted for the specific transaction and what process applies. Until you receive a confirmed answer, keep the payment on hold.

Warning signs that call for a pause

  • A last-minute change to account details. A changed account or bank should trigger a fresh independent verification, even if the message appears to come from a familiar participant. The Secret Service advisory specifically describes altered payoff statements with changed bank information. Do not assume that a change is routine simply because it comes with an explanation; verify it through the contact route you already trust.
  • Pressure to skip a call or act immediately. Urgency does not authenticate instructions. Pause and reach the trusted representative through the contact path established before the message arrived. The purpose of the independent call is to check the instructions, not to delay a legitimate payment without reason. If a deadline is near, tell the trusted representative that timing is tight while still completing the confirmation.
  • Instructions to use contact details in the message itself. A number or link supplied by the sender does not independently establish that the sender is genuine. The CFPB warns that scammers may imitate contact details and message formats. Use a previously established number or contact method instead of clicking through or replying to the message you are trying to verify.
  • Conflicting information between the statement and a trusted contact. Do not choose the newer, more polished, or more convenient version. Ask the lender or settlement professional to resolve the conflict through an independently confirmed process. A discrepancy is a reason to stop and ask, not evidence that one version must be correct.
  • No clear answer about who will send the payment. Clarify responsibility with the lender or settlement professional before transferring funds. The title-company process described by the Secret Service is common in the advisory, but it does not determine every transaction’s roles.
  • A professional-looking statement presented as proof by itself. Formatting, names, and transaction details may make a document appear credible, but a document can be fictitious or altered. Verify its origin and payment details separately.
  • An account that is not known or previously verified. The Secret Service recommends limiting transfers to known, previously verified accounts. If you cannot establish that status, do not assume that the account is legitimate because it appears on a payoff statement.

A mismatch is not a reason to guess or to rely on the version that seems most plausible. Keep the payment on hold until the responsible representative confirms the correct instructions independently. If you cannot reach that person through a trusted channel, continue trying through an established contact route rather than switching to details supplied only by the unverified message.

If a wire has already been sent to suspicious instructions

  1. Call your bank or wire-transfer company immediately. Tell them you suspect the payment was sent using fraudulent instructions and ask for a wire recall. Provide the transaction details they request. The key point in the guidance is speed: contact the bank or provider as soon as you suspect a problem. A request for recall is not a guarantee that funds will be recovered.
  2. Contact the lender or settlement professional through a trusted channel. Tell them what happened so they can verify the payoff status and coordinate next steps. Do not use contact details from the suspicious message to make this report. If someone else was responsible for the wire, let that person know promptly as well.
  3. Report the incident to IC3. The CFPB advises reporting mortgage-closing scams to the FBI’s Internet Crime Complaint Center. Keep copies of relevant messages and transaction information available for your bank and report. Use a trusted route to find the reporting channel rather than following links in a suspicious email.

Act immediately; the available guidance calls for contacting the bank or wire provider right away, but it does not promise that a recall will succeed. Do not wait to determine on your own whether the instructions were fraudulent before alerting the provider if you have a credible concern. The bank or wire company can advise what information it needs to assess a recall request.

The mortgage-payoff-specific guidance comes from the United States Secret Service Global Investigative Operations Center advisory, “Fraud Advisory: Wire Transfer Scheme Targeting Mortgage Payoffs,” advisory 21-005-I (2021), reproduced by the American Land Title Association: Secret Service mortgage-payoff wire advisory. It describes fraudulent payoff statements and recommends independently obtaining statements, confirming them with trusted sources, and limiting transfers to known, previously verified accounts.

The broader consumer advice comes from the CFPB’s “Mortgage Closing Scams: How to protect yourself and your closing funds,” published June 3, 2019 and last modified June 25, 2026: CFPB mortgage closing scam guidance. It recommends confirming instructions with trusted representatives, not relying on phone numbers or links in email, and contacting the bank or wire company immediately if a suspicious wire has been sent. ALTA’s wire-fraud resource includes an outgoing-wire checklist: ALTA wire-fraud resources.

The specific procedures can vary by lender and transaction. These sources do not establish one universal list of wire fields, a single method every lender uses to issue payoff details, or a rule assigning payment responsibility in every sale or refinance. Confirm those transaction-specific details directly with the responsible lender or settlement professional through an independently trusted channel.

Frequently Asked Questions

How do I verify wire instructions before sending a mortgage payoff?

Obtain or authenticate the payoff statement through the responsible lender or settlement process, then contact a trusted representative using a phone number or contact method established separately from the statement or email. Confirm the recipient account name and number, clarify who is sending the payoff, and do not authorize payment while details are new, changed, or unverified.

Can I trust mortgage payoff instructions sent by email?

Do not rely on email alone. The CFPB warns that scammers can imitate email addresses, phone numbers, and message formats. Verify the instructions by contacting a trusted representative through a separate contact route; do not use only the number, link, or reply path in the message being checked.

Who usually sends a mortgage payoff wire?

The Secret Service advisory describes a common workflow in which the lender sends the payoff statement to a title company, which administers payment. That does not establish who sends funds in every sale or refinance. Ask your lender or settlement professional who is responsible in your transaction.

What details should I confirm before a payoff wire?

The CFPB specifically advises confirming the recipient account name and number with trusted representatives. Also clarify who will initiate payment and how delivery will be confirmed. The sources do not define one universal list of wire fields or one standard lender process.

What if the payoff instructions have changed or cannot be verified?

Pause and do not authorize the wire. Contact the lender or settlement professional through a previously trusted channel and ask them to independently verify the statement and payment details. If they cannot verify the information, ask whether a check is accepted for this specific payoff rather than assuming it is.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I do if I already sent money to suspicious payoff instructions?

Contact your bank or wire-transfer company immediately and ask for a wire recall. Notify the lender or settlement professional through a trusted channel, and report the matter to the FBI’s Internet Crime Complaint Center (IC3). A recall request does not guarantee recovery.

Does a professional-looking payoff statement prove that the bank details are legitimate?

No. The Secret Service advisory describes fictitious or altered payoff statements with changed bank information. Verify the statement and its payment details through a trusted contact route established independently of the document.

The Bottom Line

Before a mortgage payoff wire is sent, independently confirm the statement and payment details, verify the recipient account name and number with a trusted representative, and establish who is responsible for the payment. If anything is new, changed, conflicting, or unverified, pause and contact the lender or settlement professional through a separately trusted channel. If a suspicious wire has already been sent, immediately ask the bank or wire provider for a recall and report it to IC3.
