Excel’s COPILOT function lets you put an AI request directly into a worksheet formula. You can use it to summarize comments, classify text, draft descriptions, or create sample data from a prompt and selected cell ranges.
It is not the same as the Copilot side pane in Excel, and it is not a dependable substitute for formulas such as SUM, IF, or XLOOKUP. That distinction matters especially in personal-finance spreadsheets, where a plausible but incorrect result can affect a budget, tax estimate, debt plan, or investment decision.
What the COPILOT function does
COPILOT sends your prompt and any cell or range references you provide to an AI model hosted on Azure. The model’s response is returned to the worksheet cell.
For example, this formula asks Excel to summarize comments in cells A2 through A20:

=COPILOT("Summarize this customer feedback", A2:A20)The function uses the context you explicitly provide. It does not automatically read every worksheet, workbook, or company data source.
There are two separate Excel features with similar names:

Availability and requirements
Microsoft’s current documentation lists the worksheet function through the Frontier program and Microsoft 365 Insider program. Access also requires an eligible subscription:
- Work or school account: a Microsoft 365 Copilot add-on license
- Individual account: a Microsoft 365 Premium subscription
Microsoft lists Excel for Microsoft 365, Excel for Mac, Excel for the web, and Excel for iPhone as supported platforms. Rollout, account type, and administrator settings can still affect access. You also need an active internet connection.
If Excel does not recognize the function, check that you are signed in with the licensed account and that your version and account are included in the rollout. There is no separate Ribbon button required: you enter the formula directly into a cell.
How to enter a COPILOT formula
- Open an eligible Excel workbook.
- Select an empty cell where you want the response.
- Type a formula beginning with
=COPILOT(. - Enter a quoted prompt and, if needed, one or more cell or range references.
- Close the parenthesis and press Enter.
The basic syntax is:
=COPILOT(prompt_part1, [context1], [prompt_part2], [context2], ...)The first prompt part is required. Context references are optional. You can add more prompt-and-context pairs when the request needs several pieces of information.

Example 1: Summarize text feedback
Suppose cells A2:A20 contain comments from customers, survey respondents, or household members. Use:
=COPILOT("Summarize this customer feedback", A2:A20)For a more useful output, specify the format:
=COPILOT("Summarize these comments in three bullet points and mention the most common complaint", A2:A20)This is useful for unstructured text. It is not the right tool for adding numeric survey scores or calculating an average.

If B2:B100 contains written reviews, this formula asks for one of three labels:
=COPILOT("Classify the sentiment of each review as Positive, Neutral, or Negative", B2:B100)The response may spill into neighboring cells as a dynamic array. Leave the intended output area empty. If another value blocks the result, Excel may show a spill-related error instead of displaying the full response.
You can apply the same idea to personal-finance notes, such as categorizing spending explanations as “necessary,” “optional,” or “review,” but inspect the labels before using them in a budget report. AI classification is an aid to review, not a guaranteed accounting rule.
Example 3: Generate sample data
For a mock spreadsheet or prototype, you can ask COPILOT to create fictional values:

=COPILOT("Generate 10 fictional product names for a spreadsheet prototype")Do not use generated names, prices, account numbers, or financial records as if they were real data. The output may contain duplicates, invented facts, or formatting that changes when the formula recalculates.
Example 4: Draft a product description from specifications
If B2:B8 contains product specifications, use:
=COPILOT("Create a short product description based on these specifications", B2:B8)You can constrain the response by stating the desired length and tone:
=COPILOT("Write a professional product description in two sentences based on these specifications", B2:B8)The specifications in the referenced cells are supplied as context along with the instruction.
Example 5: Combine multiple context ranges
Suppose:
B2:B10contains product namesC2:C10contains pricesE2:E4contains allowed categories
You can combine those ranges like this:
=COPILOT(
"Classify these products using their names and prices",
B2:C10,
"Use only these categories:",
E2:E4
)The order matters. Excel combines each prompt part with the context that follows it. Be explicit about what each range represents instead of assuming the model will infer your spreadsheet’s structure correctly.

Example 6: Ask for web-based information
Microsoft documents web lookup as a possible use. For example:
=COPILOT("Look up upcoming holidays or major events in", A2)If A2 contains a location or date-related prompt, COPILOT may return relevant information. Microsoft notes that references to the sources used are coming soon, so do not treat this as a cited research result. Verify holidays, deadlines, rates, and other important dates independently.

What not to use COPILOT for in a finance spreadsheet
Use ordinary Excel formulas when the answer must be accurate, repeatable, and auditable. Microsoft specifically advises against using COPILOT for numerical calculations, reliable workbook lookups, legal or regulatory work, financial reporting, and tasks requiring information that was not included in the prompt or context.

For example, avoid:

A COPILOT response can contain multiple results. Excel may then spill those results into adjacent cells, either down a column or across a row. Before entering the formula, clear the cells where the output is expected to appear.
If the spill area contains existing data, move the formula or remove the conflicting values. Do not overwrite important worksheet content without checking it first.
Limits and workbook restrictions
- Microsoft currently documents a limit of up to 100 COPILOT calculations in 10 minutes.
- The function requires an internet connection.
- It cannot calculate in workbooks labeled Confidential or Highly Confidential.
- It requires a qualifying Copilot subscription and supported access.
Microsoft currently identifies the function model as gpt-4.1-mini, dated April 14, 2025, while noting that the model may evolve. As a result, identical formulas may not always return identical wording or results.

If you need to preserve the current wording or classification, convert the result to ordinary values:

- Select the COPILOT result cell or spilled output.
- Press Ctrl+C.
- Use Paste Values, or press Ctrl+Shift+V.
After pasting values, the cells no longer update when the prompt or source data changes. Keep a copy of the original formula elsewhere if you may need to regenerate the output.
Practical advice for personal-finance workbooks
- Keep calculations deterministic. Use Excel formulas for totals, percentages, balances, dates, and comparisons.
- Limit the context. Reference only the cells needed for the request, and avoid including unnecessary personal or financial information.
- Review every output. Check classifications, generated text, and web-related answers against the underlying records.
- Use clear prompts. Specify categories, tone, number of items, and length when those details matter.
- Freeze important results. Paste values when you need a stable snapshot for a report or review.
- Do not treat it as professional advice. For tax, legal, regulatory, lending, or investment decisions, verify the result using authoritative sources and appropriate professional guidance.
FAQ
Is the COPILOT function available in every version of Excel?
No. Microsoft currently limits access to specified Frontier and Microsoft 365 Insider availability, supported Excel platforms, and eligible Copilot subscriptions. Account type, rollout status, and organization settings can also affect access.
Can COPILOT see my entire workbook?
No. The worksheet function receives the prompt and the cell or range references supplied in the formula. It does not automatically inspect unrelated worksheets, workbooks, or enterprise information.
Can I use COPILOT to calculate a budget total?
You can ask it, but you should not rely on it for a financial calculation. Use a standard formula such as =SUM(B2:B100), which is deterministic and easier to audit.

Why does my COPILOT result change after recalculation?
AI-generated responses are not guaranteed to be permanently stable. The model or its behavior may change, and the same formula can produce different wording or output later. Copy the result and use Paste Values when you need to preserve it.

Use COPILOT for text-heavy, exploratory tasks such as summarizing comments, labeling written data, and drafting descriptions. Give it only the ranges it needs, leave room for spilled results, and verify the response. For totals, lookups, budget calculations, and other numbers that must be right, use standard Excel formulas instead.
